ENERGY STAR Program Requirements Product Specification for Commercial Hot Food
Holding Cabinets Version 2.0
This data form is for interim use until EPA develops an XML web services-based application called "Qualified Products Exchange (QPX)" for long-term data
transfer.
Please note, this data form is for EPA-Recognized Certification Body use only and NOT designed for use by ENERGY STAR Partners.
Instructions for Using the Templates:
1. Values listed in this Certified Product Data Submission Form may be tested or reported, but both values must meet the applicable specification and
reported values should not differ from tested values in most cases. If the tested values differ from reported values, the tested values must be available
immediately upon request. The future XML-based system will require CBs to provide information on tested values, as well as reported values where they
differ.
2. Row 3: "Restrictive Input Options" indicates restricted answer choices required for the database to accept the submission. Entry choices are separated by
commas. For example, "Yes, No" fields will not accept "y," "Yes soon," "not sure." The restrictive input options indicate a pound symbol (#) when CBs must
enter data in numeric format.
3. Row 4: Required fields are marked as "Required" and must be populated with data in order for form to be accepted.
4. Row 4: "Conditionally Required" indicates a field that is required for certain product types within an ENERGY STAR specification. If the product
specification requires this information, the conditionally required field must be filled out on the form.
5. Row 4: "Optional" indicates a field that is never required for any product type within an ENERGY STAR product specification. Optional fields may be
populated at CB discretion.
6. Row 4: "Not Required" indicates fields EPA will no longer collect. Note, do not remove these columns or validation errors will occur.
7. When complete, log into My ENERGY STAR Account (MESA) at www.energystar.gov/mesa and upload this file. Each upload should be a complete data
set to replace previous uploads.
8. Save backup data files at least on a weekly basis in case requested by EPA.
General Information/FAQ
• Schedule for receipt of data:
• The Qualified Product lists on the ENERGY STAR website will be updated by COB on the 1st and 15th of each month. If the 1st or 15th
falls on a weekend or holiday, data will be updated the following Monday or workday, respectively.
• For data to be included in the posting on the 1st, CBs must upload QP data templates into MESA no later than 6PM Eastern Time on the
25th of the previous month. If the 25th falls on a weekend or holiday, data must be uploaded by the following Monday or workday,
respectively.
• For data to be included in the posting on the 15th, CBs must upload QP data templates into MESA no later than 6PM Eastern Time on
the 10th. If the 10th falls on a weekend or holiday, data must be uploaded by the following Monday or workday, respectively.
• If no additions or changes to the Certified Product Data Submission Forms have occurred since the last scheduled posting, it is not
necessary to upload data. The ENERGY STAR website will continue to display the most recent successfully submitted data form.
• Family submissions may be entered in one of two ways:
• Enter a unique row for each qualified model number, completing all data fields. Make sure to indicate the tested model name and number
in the appropriate cells in Columns AA and AB.
• Enter the family/series as a single row, completing all data fields. Make sure to indicate the tested model name and number in the
appropriate cells in Columns AA and AB. You may also list the model numbers that qualify as part of this submission (or a description of
the models that qualify as part of this submission) in Column AC. Please note that the “Additional Models” information will not be published to
the Qualified Product list on the ENERGY STAR website during this short-term data transfer process unless the field indicates "Displayed."
• Do not move or delete any columns or tabs for any reason. A certification body may edit the field names (Row 2) or add comments if they choose to
change a field name for internal clarification, but the field position (e.g. ENERGY STAR Manufacturing Partner in column B) cannot be changed.
• Data submitted to EPA should ONLY be ENERGY STAR qualified models. Models may be available now, in the future, or no longer available. Please
keep models qualified but no longer manufactured on the spreadsheet. Please keep models qualified but not yet available in the market on the spreadsheet.
Pending qualification models should be left off the spreadsheet.
• For the question "To What Major Markets is This Product Sold?," the "Date Available on Market" will apply to all listed countries. If a manufacturer does
not want a model to be indicated as available in a particular country, the country should not be included in the major markets list. Major market(s) may be
added at a later point when the model is available in that country.

Definitions
The following list provides definitions on common ENERGY STAR field names provided across all templates (gray-purple shaded boxes) in the order in
which they appear on the data form. For questions on product-specific attributes (blue shaded boxes) please contact the relevant ENERGY STAR inbox.
• ENERGY STAR Manufacturing Partner: Organization that has signed an ENERGY STAR Partnership Agreement, typically the brand owner.
Columns H and I allow CBs to indicate if the OEM is different from the partner.
• EPA-issued Organization IDs: An ENERGY STAR database identification. This can be found by logging into a CB's My ENERGY STAR Account
(MESA) and searching for the product manufacturer, laboratory, or verification entity name.
• CB Unique Model Identifier: CB-issued internal identification marker for products. EPA will not utilize this data.
• Date Available On Market: Date product is first sold within one or more major markets. Product will not appear on Qualified Product List (QPL)
until after date available on market has passed.
• Date CB Notified Partner of Product Qualification: Date the CB notifies the manufacturer that the product is qualified. Product(s) may begin to be
marketed as ENERGY STAR qualified once a product qualification notice has been received.
• Date Tested: Date of laboratory test. If product tested over a period of time, most recent date should be used.
• Product Description: Marketing description of product available to consumers.
• Notes: Information the CB deems relevant to EPA to explain unique issues or changes concerning the model's listing.
