Guidance on completing the Employment Application Form
Please read these notes before completing your application.
Read the Job Profile
The job profile explains what competencies, skills and knowledge are required to be able to perform the job. When
completing part two of your application form focus on the technical and professional know how section, which forms a
list of our selection criteria. It is very important that you provide relevant examples to demonstrate how you meet every
one of them. The competencies, as listed in the job profile, will be assessed during the testing and interview process.
Give examples of your experience
Bear in mind that your application will be assessed on how well you have demonstrated that you meet each of the
selection criteria. This means that, when reading your application, we will be looking for specific examples addressing
each one of them. It may not be enough to just list your responsibilities in your current and previous jobs.
Don’t disregard any involvement that you have had outside of paid employment such as community / voluntary / leisure
/ political interests. Consider in what ways you have had to develop or use skills relevant to the post.
Completing the Form
When completing the SUMMARY OF SKILLS AND EXPERIENCES RELEVANT TO THE JOB in part two of the application form,
you may want to use items from the technical and professional know how section as headlines. This will help you to focus,
and to address all of them.
Ensure that the final version of your application form is well organised, well presented and relevant to the job you are
applying for. This will be part of the shortlisting panel’s consideration in marking your application.
Where possible, we would prefer to receive your application electronically. However, you can also send a paper copy as
long as the application is presented as a typed document. If this is a problem please contact the HR Team. Make sure
that you don’t leave any parts of the application form incomplete, and that you return all three parts of the form.
Give yourself enough time to be able to complete the application on time, and return it before the closing date.
Applications received after the closing date will not be accepted.
What do we do with your details and the information provided?
You will have noticed that the form is divided into four parts. Upon receipt of your application the HR team will separate
the document into it’s different parts, which are used as follows:
Part One – Personal & General Details: This part is not released during shortlisting and will only be made available to
the interview panel after a selection of interview candidates has been made.
Part Two – Employment & Education History: This is provided to the shortlisting and interview panel.
Part Three – Equal Opportunities Monitoring: This part is separated from your application upon receipt by HR and will
neither be seen by the recruitment panels, nor by anybody else outside of the HR team at any time. The information on
this form is treated as confidential to SHP and is used for monitoring purposes only, to ensure that our recruitment and
employment practices are non-discriminatory.
Part Four – Offending History: This form will be confidential to the Chief Executive and the HR team. It may be shared
with the recruitment panel, if the information provided is relevant to the post in question and needs to be part of the
deliberations during the recruitment process.
After the recruitment process, the application form and information of unsuccessful candidates is kept on file for six
months before it will be destroyed. For successful candidates the parts one and two of the application form will be the
beginning of the person’s personnel file at SHP, which can be reviewed by the employee and his/her manager in
question at any time upon request. Parts three and four are kept separately and are only accessible to the HR team for
monitoring purposes according to statutory requirements. References will automatically be requested once a conditional
is being made, unless instructed otherwise by you latest at the interview. However, please note that a firm offer cannot
be made without having received satisfactory references.
