Time Card Instructions
(1) Enter Name on the Time Sheet
(2) Enter Social Number on the Time Sheet. Do not enter any dashes.
(3) Enter Department name on the Time Sheet.
(4) Enter the Ending Date of the Weekly Pay Period. This should be a Sunday.
(5) Enter your Beginning Comp Time Balance in cell K41 if you have a balance.
(6) Enter your time in the IN/OUT spaces using the drop down arrow to select the appropriate time.
Employees who are not paid for a working lunch must enter time in and out for lunch.
(7) Time is recorded to the nearest quarter of an hour.
NEAREST QUARTER ROUNDING RULE:
Take the exact time (hours and minutes) and round that number either up or down
based on a grace period of 7 minutes within each quarter.

(8) Click on the drop down arrow to enter the appropriate Absence Reason.
Click on the drop down arrow to enter the number of Absence Hours.
(9) If Overtime/Comp Time hours are to be paid, enter the number to be paid in Cell K44.
The number of hours to pay at time and one-half will be calculated and entered in cell O44.
(10) Comp Time Earned (Cell O41) will be multiplied by 1.5 and rounded up to the nearest quarter hour and
entered in O42 and K42.
(11) Sign and date your Time Card and have your Supervisor also sign and date.
(12) If the pay period ends in the middle of a week, complete the entire week before giving the form to your
payroll secretary. If possible overtime is worked prior to the end of the payroll cut off date, then
overtime cannot be paid unless time worked is over 40 hours for the week.
For example, if the pay period ends on Wednesday and the employee works 10 hours on Tuesday,
then overtime cannot be entered for the pay period unless the employee works over 40 hours for the
week. If the employee worked 10 hours after the pay period ended on Thursday, then the possible
overtime would be paid in the following payroll period. Any absences that occur after the pay
period cut off would not be entered until the following payroll.
Always complete the entire week.
(13) For weeks such as the 4th of July week, code the 4th of July as a "Non Working Day" and it will assign it absence code 000.
