Applications are invited for the following vacant positions:
Title : HR Administrator
Department : Human Resource Department

The duties and responsibilities include -
1.1 Administer Payroll:
Maintain efficient salary files for ease of reference
Receive bio sheet and load information for new employees onto monthly payroll
schedule specifying salaries and benefit contributions.
Obtain garnishee orders from the Sheriff, communicate with the identified employee
and load on monthly payroll schedule. Once loaded, continue to monitor duration.
Receive communication from Fleet Department on traffic fines and load onto
monthly payroll schedule
Receive commission report from Sales Manager and load onto monthly payroll
Receive communication from Accounts Department and load staff loans on monthly
Receive communication on resignations, dismissals, etc
Specify information onto monthly payroll schedule Ensure that all leave due is
paid to employee on termination
Ensure that all salary deductions are made on employee termination
Collect timesheets from all employees and check documents have been filled
out correctly i.e. donor codes; correct leave correspondence; signatures from
both employee and manager.
Once verified attach timesheets to payslip
Sent monthly payroll schedule to HR Manager for verification and send off to
Outsourcing service provider.
Submit monthly payroll reports to Accounts Department within the allocated time
Print out payslips and distribute accordingly within the allocated time frame
Administer EMP 201:
Receive deposit slips from Accounts Department and submit directly to SARS
1.2 Administer Benefits
Fill out/ coordinate the registration and deregistration of new, terminated and
due for maternity leave employees on the UI19 then submit to Department of
Manage all other forms required for staff due for maternity leave.
Administer Provident Fund:
Compile schedule for monthly provident fund schedule.
Make adjustments for staff that have requested to increase contribution.
Complete withdrawal falls and submit to Provide Fund Administrators
Monitor payments made to terminated employees
Complete and submit all provident fund related claim forms
Administer Medical Aid:
Facilitate all new entrants and cancellations in relation to medical aid
Ensure monthly medical aid deductions are accurate
1.3 Administer StatsSA
Receive StatsSA form
Complete form detailing staff movement (recruitment, termination, salaries)
Fax completed form to StatsSA
1.4 Administer Severance Schedule
Update the severance schedule on a quarterly basis
Ensure salaries are reflecting correctly
Ensure leave days due are correctly captured
1.5 Coordinator Annual Tax Returns
Monitor that all annual statutory reporting pertaining to payroll are adhered to the
financial tax year and flagged with Outsourced Payroll service provider.
All relevant files are received and saved and proof of submission to SARS
Print out and distribute IRP 5’s to employees
1.6 Administer Leave
Verify leave applications, and only capture validated ones.
Capture leave information onto monthly payroll schedule
Load and remove new and old employees (across all leave categories)
Compile monthly leave report and provide a report to all line managers
1.7 Administration of Terminated Personal Files
Ensure a personnel file in created for every SFH staff member, containing the
Signed (employee; dept manager; dept director) contract of employment
and job description; bio sheet; ID; qualifications; recruitment notes;
beneficiary form with copies of ID for beneficiaries; offer or waiver of
medical aid form
Ensure on termination: termination documentation is filed; exit interview;
provident transfer or withdrawal forms.
On a bi- annual basis archive personnel files of staff members that are no longer
in the employ of SFH.
Applicants are required to possess the following:
Formal Education - Matric
Tertiary qualification; and specifically a HR qualification would be an added
Technical / Legal Certification – Payroll certification and computer literacy.
Experience - Previous working experience especially within an administrative environment /
