                             REQUEST FOR PROPOSAL


STRATEGIC DEVELOPMENT, DESIGN AND PRODUCTION OF WEB SITE
AND PRINT COMMUNICATION MATERIALS FOR YUKON ENVIRONMENTAL
AND SOCIO-ECONOMIC ASSESSMENT BOARD.


PROJECT CONTEXT

Yukon Environmental and Socio-economic Assessment Board (YESAB) was established
under the Yukon Environmental and Socio-economic Assessment Act (YESAA). The Act
sets out a process to assess the environmental and socio-economic effects of projects
and other activities in Yukon. YESAB is a neutral, transparent and independent
organization that administers YESAA.

YESAB’s goal is to ensure the assessment process is the best possible arrangement for
all interests. Our commitment is to be an impartial, effective and efficient organization.
Ease of accessibility and an intuitive layout and flow of information is an important part of
that commitment and should be reflected in all communication materials.

YESAB currently has a web presence that is outdated in appearance, structure, and
presentation of content. An opportunity exists to re-design the site to better reflect the
needs of YESAB and YESAA participants. Upon completion of the project, YESAB will
assume full responsibility for web site content, maintenance and administration. Content,
coding and graphics will become the property of YESAB.


SCOPE OF WORK

    a. Design, layout and production of a new web site at www.yesab.ca. Majority of
       content and photos provided by YESAB. Website to incorporate design elements
       from YESABs graphic manual.

    b. Supply content management system that allows for changes and updates to all
       text, photos, and minor design elements. Allow for content management by
       multiple users.

    c. Upon completion of the web site, provide one year of web site technical support
       to YESAB.

    d. Design and delivery of new YESAB tradeshow booth to replace existing booth.
       .Design elements and content provided by YESAB.

    e. Design of one print booklet that maintains the web sites look and feel. Content
       and design elements provided by YESAB.

    f.   Design and delivery of power point slide templates that maintain the web site
         “look and feel”.

    g. Include regular update meetings with YESAB staff and Board at specific stages
       of web site and materials development.

    h. All costs associated with the Scope of Work and Deliverables should not exceed
       $21000.00.

    i.   All components of the project as identified in the Scope of Work and Deliverables
         must be completed by February 28, 2013.


DELIVERABLES

The contractor will deliver a complete and functioning web site, an in-house content
management system for the web site, technical support for the web site for 1 year after
completion, a tradeshow booth, a poster and a series of PowerPoint slide templates with
a similar look and feel. The contractor will work with YESAB communications staff to
ensure consistency with organizational goals, objectives and graphic standards. The
project will be completed by February 28, 2012.


FORMAT OF PROPOSAL

Proposals that do not provide content as below will be deemed incomplete and will not
be evaluated.

 I. Directly Related Project Experience

  Please submit up to three pages of detail, on three recent projects that would be most
  relevant to the scope of work outlined in this RFP. Identify the company and a contact
  person with their contact information as a potential reference.

 II. Personnel

  The names and brief resumes of project leads and technicians who would conduct the
  work outlined in this RFP, and their respective experience with this type of project.
  Identify their specific project roles and availability (October 2012 – February 2013).

 III. Conflict of Interest

 Include a statement indicating any potential conflict of interest working with YESAB.

 IV. Approach

 Provide a summary of less than three pages that outlines the approach to fulfilling the
 scope of work. Provide an outline reflecting this approach.

 V. Schedule

 Provide a schedule to meet the deliverables outlined for the Scope of Work by
 February 28, 2013 assuming an award date of October 1, 2012.

 VI. Testing

 Provide a summary and approach to how the web sites functionality will be tested as
 milestones are reached.

 VII. Cost

 Provide a detailed budget to complete the Scope of Work.
