PURPOSE OF E-MAIL
[Your business] provides its employees with electronic mail (e-mail) for company-related business
purposes only. Employees may not use company e-mail for personal correspondence.
Only authorized individuals may access and use [Your business]’s e-mail. Employees must log in with a
password, and those without one may not access nor use e-mail. Under no circumstances may an
employee disclose his/her password to others, regardless of their affiliation with [Your business].
[Your business] cannot guarantee the security of its e-mail system. E-mail messages may not contain any
company confidential information, even if the e-mail is meant for another employee of [Your business].
Remember that deleted e-mail messages may exist in hard copy, be forwarded to third parties, or be
retrieved from a back-up system. The company may be required to provide copies of e-mail messages in
conjunction with legal proceedings.
All e-mail messages created, sent, received, or stored on company e-mail and the information contained
therein are the sole property of [Your business]. They are considered to be business records, and may be
used in any judicial, administrative, or other proceeding.
We reserve the right to access, monitor, read, disclose, and use any e-mail that was created, sent,
received, or stored on company e-mail systems without prior notice or consent of the creators or recipients
of the e-mail. Such actions by [Your business] may occur at any time.
E-mail messages may not include content that is offensive, libelous, illegal, derogatory, harassing,
threatening, or discriminatory. Sexually explicit language, cartoons, jokes, and images are prohibited, as
are racial and religious slurs and foul, inappropriate language.
Employees found violating our e-mail policy are subject to disciplinary action, including but not limited to:
verbal warning, transfer, suspension, and termination.
