Job Title: Transportation Secretary

Reports to: Transportation Supervisor
SUMMARY Provide secretarial support to the Transportation Supervisor and department staff, including drafting letters, memos,
prepare timesheets for staff, act as the liaison for accounts payable, monitor department budgets, attend staff meetings and provide
confidential and other reports when needed.

ESSENTIAL DUTIES AND RESPONSIBILITIES
D 25% Secretarial support to Supervisor and staff in all areas of responsibilities for this position.
D 15% Provide confidential reports, acting in a discretionary and professional manor.
W 15% Attend staff meetings, transcribe notes of dictation and publish minutes and reports.
M 15% Prepare timesheets, process required district reports for payroll and maintain records.
W 10% Liaison for accounts payable, process invoices, monitor budgets, and disperse petty cash.
W 10% Interpret district/department policies and regulations for administrators and staff.
D 2% Initiate action, exercise judgment and provide direction to others as needed.
D 1% Access the student information software program and the AS400 accounting program.
D 1% Serve as receptionist, greeting visitors, vendors and responding to questions.
D 1% Other duties as assigned.

EDUCATION AND TRAINING High School diploma or equivalent. Equivalent vocational school or short term courses, such as
typing, dictation, commercial driver training, commercial trade training, etc. Previous computer training required.
EXPERIENCE 3+ years of experience in word processing, accounting, customer service, general office, and secretarial skills.
SKILLS, KNOWLEDGE, & EQUIPMENT Language and writing skills, basic math, computer skills, accounting skills, general
knowledge of interpreting policies/procedures, working with students and adults and general office skills. Have the ability make
independent decisions and judgments and resolve issues. Must have good customer service skills.
CERTIFICATES, LICENSES, & REGISTRATIONS Valid Colorado driver’s license required for hire. CDE small vehicle
certificate required 3 months from hire date. CPR and First Aid required 3 months from hire date.
SUPERVISION/TECHNICAL RESPONSIBILITY Only in the absence or by the direction of the supervisor. Help other staff
members with computer questions, accounting, and general office procedures.
JUDGMENT AND DECISION MAKING Work is self motivated and directed by the Transportation Supervisor. Give direction to
bus drivers, parents and students regarding transportation issues. Also make decisions with school secretaries regarding students and
parent issues, routing and driver information. Collaborates with the Transportation Supervisor and at times with the Director of
Operations. Also collaborates with other office staff, trainers and mechanic and district schools, when needed.

DIVERSITY OF DUTIES Extensive knowledge of Board of Education, district and transportation department policies and
procedures. Requires cross training in transportation rules, regulations, policies and procedures, basic accounting, office procedures,
customer service; organizational, problem solving and communication skills; microcomputers, two-way radios and Transportation and
District related software. In the absence of the supervisor, I would have to make decisions regarding drivers while on route, speak to
parents and students, make decisions with schools regarding students or routing issues at the time. Listen to parent complaints/issues
and resolve as many of them as possible before they ask to speak to the supervisor. Provide assistance in emergency situations.
SAFETY TO SELF AND OTHERS High exposure of self to repetitive motion injuries due to keyboarding.

occasionally required to lift and/or move up to 10 pounds and occasionally lift and/or move up to 25 pounds.
WORK ENVIRONMENT The level of noise that is typical in the work environment for this job is moderate.
MENTAL FUNCTIONS While performing the duties of this job, the employee is regularly required to analyze, communicate, copy
coordinate, compute, evaluate, synthesize, use interpersonal skills, and negotiate. Frequently required to compare and compile.
Occasionally required to instruct.
