Output Management Definition   Due to the convergence of functions, we use this term to refer to all output, including: print, copy, fax, scan

                               Engage a reliable, pro-active single source for purchases and support of all equipment used for these functions.

                               Decrease costs
                               The Homeownership - HHFRI area not included in the equipment replacement portion of this project, but is included from an equipment
                               support standpoint. However, if this project eliminates any equipment that may be in better condition that what they have, we would like to
Exclusions                     repurpose it for them. Note that Homeownership - HHFRI HelpCenter is included in this RFP.
                               The class of personal printer used by our Directors is often not supported by maintenance vendors.
                               Please indicate whether you prefer to includ them in your recommendation or not. If not, we can purchase them from any of our current
                               vendors.
                               We have small remote offices in E. Greenwich and Pawtucket. They have new HP All-in-Ones. This equipment will not be replaced, but must
                               be included in the maintenance agreement.
                               The HP Plotter will not be replaced, but must be included in the maintenance agreement.
General Guidelines             We require a single maintenance vendor for all output devices, and for the purchase/lease of major equipment.
                               It is not our intention to simply replace all equipment. If a unit will continue to function adequately for a year or more, and supplies are
                               available, we will continue to utilize it. An exception is HP 4100 printers for which cartridges are already being sunsetted.
                               This project covers the analysis and recommendation for RIH's Output Management equipment needs and maintenance support for 1 year.
                               Subsequent, maintenance year's may be renewed at RIH's discretion based on cost and performance.
                               All devices (except dedicated fax machines) must have trays and automatic detection for letter and legal sizes
                               In some areas, particularly the Development Division, 11 x 17 is also required
                               Determination of number and location of recommended equipment:
                                  Volume is a critical component, but not the only one.
                                  Your recommendation should not create process bottlenecks.
                                  We have a low tolerance for downtime. If you cannot reliably repair or provide a loaner within 4 hours, multiple smaller units may be wiser
                                  than a few larger ones.
                               All equipment should be easy for novices to use; functions and error messages should be easy to understand.
                               Jams and other malfunctions should be infrequent and easily resolved.
                               We have internal Help Desk staff, but vendor must have knowledgeable, available staff providing support beyond that.
                               We currently own all our office equipment. A few units are not yet fully depreciated. This is noted on the 'Existing Equipment' spreadsheet in

                               Traditionally, we found it advantageous to purchase our office equipment. However, if you have a cost-effective leasing option, please include

                               Most floors have a centralized 'copy room' which contains their copiers and fax. Floors that don't have an actual room, still have this

                            Almost all floors have 1 HP color printer. There is currently no color scanning capability.
                            We are a Windows shop (desktops and servers). Desktops are currently Windows XP SP3. Servers are Windows 2003 and 2008. File Servers
Technical Environment       are Novell 5.7. PCL 6 is our current standard print driver type.
Network Connection          Devices connecting to our network must support a minimum of 1Gig network speed
                            Currently, we do not have Wi-Fi. There are no immediate plans to implement this, but we may do a pilot in 2013.
                            Most of the printing from business applications and of legal documents is currently done to HP printers. If your recommendation is for
Compatability Testing       equipment other than this, we will need a trial device on which to test our printing functions.

                            Compatibility of the print function throughout the agency is important. Forms and other legal documents are
                            developed by IT and utilized by themselves or in business applications across the agency. This is particularly
Print Function              true between IT, Homeownership - Primary and Homeownership - Loan Center.
                            We do not anticipate a decrease in our printing volume.
                            We need an easy secure print function. Held secure jobs should not hold up other jobs in the queue or at the
                            machine. Itself
                            Many of our current copiers (MFDs) have network printing capabilities.
                            Envelope printing is not a concern. The ability may be nice to have in one area of the agency.
                            We have a separate folder/envelope stuffer.
                            Executive-Communications and Executive-Primary produce a higher volume and need better quality than
                            other business areas.
Copy Function               This function has increased due to requirements from banks and government agencies.
                            We use the duplex function, but not as much as it could/should be utilized.
                            We do not use the hole-punch option.

                            We do used the staple option. Replacing staples should be easy enough for business users to do it themselves.
                            The need for faxing continues to decrease - except in areas dealing with banks. These are mainly:
                            Homeownership - HHFRI, Homeownership - Loan Center, Homeownership - Loan Center and Loan
Fax Function                Servicing - Customer Service.
                            Faxing out from PCs is desirable.
                            Need to be able to easily configure the sending location description name on faxes to identify Rhode Island
                            Housing
                            No color faxing is needed
                            If fax function is on an MFD, we need the ability to permanently set a specific output tray to separate faxes
                            from other items.
Scan Function               We have no current volume of this function because it's provided at no charge.
                            We anticipate that this function will increase significantly.
                            All areas utilize the scan to e-mail function. 99% of this is to internal e-mail addresses. This function needs to
                            be quick and easy. We would like to populate these addresses automatically from Active Directory. However,
                            our users will not be logging into the scanning equipment.
                            We use Xerox DocuShare Content Management. We have 2 Xerox copiers using Nuance ScanFlowStore to
                            connect to DocuShare. We also occasionally scan directly to a network folder.
                            This function is being utilized in the Loan Servicing Division. The volume is expected to increase. Scanning to
                            DocuShare is expected to increase to other areas of the agency as well.
                            Color scanning is not currently available. We anticipate a low volume need for this.
                            Scanning activity should not be a chargeable function.
Color vs Black              What percentage of color in a page, tips the billing rate from black to color?
                            Which devices can be defaulted to print/scan/fax in black?

                                 How would you describe the quality of the consumables included in this contract?

                                 A steady supply of toner is imperative.
                                 Do you pro-actively ship consumables or do we need to order them from you?
                                 Where do the consumables ship from? If there are shipping charges, what are they?
                                 List all of the consumables that are included in your contract, and those that are not.
                                 Please describe your plan for any equipment that you propose to replace. This includes end-of-life equipment
Trade-In, Disposal of Existing   and/or non-depreciated equipment your chose to replace. Undepreciated amounts are shown on the

                                 Does this process entail any cost to us?
                                 How will you address privacy concerns for data that may be on this equipment? What is your drive and
