Convert an older version of PowerPoint to 2007

When you first open it, you notice in the title bar that it says in compatibility mode. That means you will not
have all of the 2007 features.

Open and Convert an Outline Document in Word to PowerPoint 2007
It is helpful to use the Outline Tab in the Navigation Bar




Click File, Open
Change the type to All Outlines

Slides Tab
You see a thumbnail of each slide and can simply click on one to navigate through your slideshow for editing




Outline Tab
This is useful when you wish to edit only the content or make your content more consistent. This is the best way
to add slide titles that are missing

Layout

The layout of a slide can be changed at any time by selecting the slide and clicking the option button on the
Home Tab, Slides Group, Layout Button

Add a Slide


                                                               On the Home Tab, Slides Group, select the New
                                                               Slides Button. If you select the option arrow for
                                                               that button, you can also select the layout for that
                                                               new slide.

                                                               The Layout determines the placeholders that you
                                                               can select to type text or insert images, etc.




Delete a Slide
Select it in the Navigation Bar and press the Delete key on the keyboard

Views

Normal – use for navigation and editing slides
Slide Sorter – use for rearranging slides
Notes Page – type notes to print out for use in your slide presentation
Slide Show – view the slides with animation, transition and all that you want your audience to experience

Click and drag your slides to different orders or delete those that you no longer wish to present by clicking on
them and pressing the delete key on your keyboard.

   theme.




The theme carries through with many features. One is WordArt. If I choose to go to the Insert Tab, Text Group
and select WordArt, designs appear that match my theme.

Overview of background styles

Background styles are background fill variations derived from combinations of the theme colors (theme colors: A
set of colors that is used in a file. Theme colors, theme fonts, and theme effects compose a theme.) and
background intensities in the current document theme (theme: A combination of theme colors, theme fonts,
and theme effects. A theme may be applied to a file as a single selection.). When you change document themes,
the background styles are updated to reflect the new theme colors and backgrounds. If you want to change only
the background of your presentation, you should choose a different background style. When you change
document themes, you change much more than the background — you also change the set of colors, heading
and body text fonts, line and fill styles, and theme effects (theme effects: A set of visual attributes that is applied
to elements in a file. Theme effects, theme colors, and theme fonts compose a theme.).
Background styles are displayed in thumbnails in the Background Styles gallery. When you place your pointer
over a background style thumbnail, you can preview how the background style will affect your presentation. If
you like the background style, you can then click to apply it.

Backgrounds

Add a background style to your presentation

1. Click the slide or slides that you want to add a background style to.
   To select multiple slides, click the first slide, and then press and hold CTRL while you click the other
   slides.
2. On the Design tab, in the Background group, click the arrow next to Background Styles.




3. Right-click the background style that you want, and then do one of the following:
   To apply the background style to the selected slides, click Apply to Selected Slides.
   To apply the background style to all of the slides in your presentation, click Apply to All Slides.
   To replace the background style for the selected slides and any other slides in the presentation
      that use the same slide master (slide master: The main slide that stores information about the
      theme and layouts of a presentation, including the background, color, fonts, effects, placeholder
      sizes, and positions.), click Apply to Matching Slides. This option is available only when your
      presentation contains multiple slide masters.
   To change the available background styles, change the theme or theme colors, as the background
      styles will be updated to reflect the new theme colors and backgrounds.
   To add the background styles gallery to the Quick Access Toolbar, right-click a thumbnail, and then
      click Add Gallery to Quick Access Toolbar.

Customize a background style for your presentation

1. Click the slide or slides that you want to add a background style to.
   To select multiple slides, click the first slide, and then press and hold CTRL while you click the other
   slides.
2. On the Design tab, in the Background group, click the arrow next to Background Styles.




3. Click Format Background, and then choose the options that you want.

To make your presentation handouts easier to read, you can hide nonplaceholder objects (object: A table, chart,
graphic, equation, or other form of information. Objects created in one application, for example spreadsheets,
and linked or embedded in another application are OLE objects.) (such as shapes, images, charts, or SmartArt
graphics) that are on slide master layouts or custom layouts. To do so, click the slide or slides that you want to
hide the background graphics for, and then on the Design tab, in the Background group, select the Hide
Background Objects check box.

Use a picture as a slide background

1. Click the slide that you want to add a background picture to.
   To select multiple slides, click a slide, and then press and hold CTRL while you click the other slides.
2. On the Design tab, in the Background group, click Background Styles, and then click Format
   Background.

3. Click Fill, and then click Picture or texture fill.
4. Do one of the following:
   To insert a picture from a file, click File, and then locate and double-click the picture that you
      want to insert.
   To paste a picture that you copied, click Clipboard.
   To use clip art (clip art: A single piece of ready-made art, often appearing as a bitmap or a
      combination of drawn shapes.) as a background picture, click Clip Art, and then in the Search text
      box, type a word or phrase that describes the clip (clip: A single media file, including art, sound,
      animation, or movies.) that you want, or type all or part of the file name of the clip.
      To include clip art that is available on Microsoft Office Online in your search, select the Include
      content from Office Online check box, click Go, and then click the clip to insert it.
5. Do one of the following:
   To use the picture as a background for the slides that you selected, click Close.
   To use the picture as a background for all of the slides in your presentation, click Apply to All.

    To adjust a picture's relative lightness (brightness) or the difference between its darkest and lightest
    areas (contrast), in the Format Background dialog box, click the Picture pane, and then choose the
    options that you want.
        To have text appear on top of the picture, add a text box. On the Insert tab in the Text group, click
    Text Box, and then drag to make it the size that you want. Enter your text in text box.

Add a texture background

1. Click the slide that you want to add a background texture to.
   To select multiple slides, click a slide, and then press and hold CTRL while you click the other slides.
2. On the Design tab, in the Background group, click Background Styles, and then click Format
   Background.




3. Click Fill, and then click Picture or texture fill.
4. Click Texture , and then click the texture that you want to use as a background.
5. Do one of the following:
   To use the texture as a background for the slides that you selected, click Close.
   To use the texture as a background for all of the slides in your presentation, click Apply to All.

Delete a background

1. Click the slide that you want to delete the background for.
   To select multiple slides, click a slide, and then press and hold CTRL while you click the other slides.
2. On the Design tab, in the Background group, click Background Styles, and then click Reset Slide
   Background.

Inserting Clipart



Insert Tab, Illustrations Group,
A task pane appears on the right. Type the category of clipart that you want and click Go

To select a clipart image, click one on the image

Make the graphic transparent

1.   Under Picture Tools, on the Format tab, in the Adjust group, click Recolor.




2.   Click Set Transparent Color, and then click the color in the picture or image that you want to make transparent.

Inserting Pictures

A window appears for you to locate and select your picture from your files

Copy and Paste and Image from the Internet
Open the page with the picture displayed, right-click on the image, Copy, return to your PowerPoint
presentation and right-click on the slide, Paste

Create Your Own Shapes
Insert Tab, Illustrations
                                     Click the shape that you want and draw the area out on the slide for that
                                     shape.


                                     To edit the shape, tap the right-mouse button on one of the border lines of
                                     the shape and select Format Shape




Group Objects

Hold down the Control key as you click to select each object




Select the Format Tab, Arrange Group or click the Picture Tools Option and select Group for moving more than
one object at a time.

Add Movies




Insert Tab, Illustrations Group,                , if From File, locate the file and select it

Add Sound – Use the icon on a layout slide

1. Click the Insert tab.
2. Click the arrow next to Sound.
3. To insert a sound file from your computer or a network server, click Sound from File. Browse to the file, and
   double-click it to insert it.
4. To insert a sound from the clip library, click Sound from Clip Organizer, and search for the clip in the Clip Art
   task pane. Scroll to the clip you want, and click it to insert it onto the slide.

Before the sound is inserted, you're prompted with a message asking how you want it to start. The sound
appears as a sound icon on your slide, and it plays right after you insert it, so you know what it sounds like. To
hear the sound again in normal view, double-click it. An icon appears on your slide.

Play throughout the presentation What if you have a long-playing sound, and you want it to keep playing even
when you click the mouse to start something else on the slide (such as an animation effect or movie clip), or to
advance to the next slide? You can make it play across slides.

1. Select the sound icon.
2. On the Ribbon, under Sound Tools, click the Options tab.


3. In the Sound Options group, in the Play Sound list, select Play across slides.




This sets the sound to start automatically when the slide is displayed and to keep playing no matter what you
click, until it's finished or you reach the end of the show, whichever comes first.

Play through some of the slides To make the sound play across slides but stop after a certain number of them,
first open the Custom Animation task pane (Animations tab, Custom Animation command).

The sound effect you've inserted on your slide is represented by its file name in the task pane. When the effect
is selected on the slide, it's also selected in the task pane.
 Click the arrow next to the sound effect to display its menu. On the menu, click Effect Options.
 In the Play Sound dialog box, you have a few options for how to stop the sound. To specify a number of slides,
use the arrows to select a number in the box next to After.
Movement

4. Once you animate an object an animation line with an option button appears in the task pane on the right
   with the name of that animation



                                             a) Click the Option Button for the Animation
                                             b) Select Effect Options
                                             c) Change the options for sound, fade, one letter at
                                                 a time, etc. depending on the animation that you
                                                 have selected
                                             d) After your selections, click OK




Bullet Lists

1.   Select a layout for a slide with a bullet list
2.   Type the text for the bullets
3.   With the bullet list selected, click Slide Show on the menu
4.   Click Custom Animation
5.   Click the Option Button to the right of Add Effect

Slide Transition

Use this feature to select how each slide advances to a different slide
Click on Slide 1, select the Animations Tab, Transitions Group (Option Button, more transitions)




As you hover over the choices, your slide displays the transition look for the presentation
If you want a sound on the first slide only, apply the transition to all slides and then when on the first slide insert
a sound.

Slides Advance Automatically
The default is for the user to click the mouse for a new slide. You can set the slides to automatically advance on
a timed interval.

Smart Art Graphic

Before you create your SmartArt graphic, visualize what type and layout are best for displaying your data. What
do you want to convey with your SmartArt graphic? Do you want a certain look? Since you can quickly and easily
switch layouts, try different layouts (across types) until you find the one that best illustrates your message. Your
graphic should be clear and easy to follow. Experiment with different types by using the table below as a starting
point. The table is intended to help you get started and is not an exhaustive list.

Also, consider the amount of text that you have, because the amount of text often determines the layout that
you use and how many shapes you need in the layout. In general, SmartArt graphics are most effective when the
number of shapes and the amount of text are limited to key points. Larger amounts of text can distract from the
visual appeal of your SmartArt graphic and make it harder to convey your message visually. However, some
layouts, such as Trapezoid List in the List type, work well with larger amounts of text.

Some layouts for SmartArt graphics contain a fixed number of shapes. For example, the Counterbalance Arrows
layout in the Relationship type is designed to show two opposing ideas or concepts. Only two shapes can
contain text, and the layout cannot be changed to display more ideas or concepts.

Packaging a Presentation on a CD

The computer running the slide show from the CD does not need PowerPoint 2007
loaded on it.

1. Insert a blank disk
2. Office Button, Publish, Package for CD




3. Click OK
4. Click the Options Button to add more files




   to password protect, keep the fonts embedded, click OK




5. Click the Copy to CD button
