Throughout the academic year 2003-2004 (AY03-04), The Seed Grant has allowed the Department of Spanish
and Portuguese (SPPO) to further enhance its Student Services; particularly in our abilities to offer free tutoring
and conversation practice for the many undergraduates enrolled in our program. These services support
students’ success in their Spanish coursework and provide assistance throughout the second language
acquisition process. With the financial support of the grant, we have significantly improved the resources
available for both the student participants and the instructors who facilitate tutoring and/or conversation
sessions. Due to the growing demand for such services and continuing advancements in technology, it is
essential that we continue to make such improvements for all who utilize the SPPO Teaching and Learning
Centers’ (TLC) services.

This report details the progress made thus far in the development of the tutoring and conversation centers during
the 2003-2004 academic year. Included are a brief history of the TLC; the original proposed program activities
supported by the Seed Grant and a description of how we have fulfilled or changed these plans; an itemized
budget detailing how the funding was spent; an overall assessment of the project; plans for the future of the
SPPO TLC and suggestions for future Seed Grant participants. Statistical data and detailed graphs charting
student use of the SPPO TLC, enhancements made to our WebCT Instructors’ Resource Page, assessment tools
and a description of the position of Conversation Coordinator which was created in order to assist the TLC
supervisor with the development and management of Student Services will follow.

I. History

In the mid 90's the Department of Spanish and Portuguese Elementary and Intermediate Language Program
began offering extracurricular services to enhance students' classroom performance. Instructors and teaching
associates volunteered to lead conversations in local cafés and the experience was well received.

When students began requesting more formal help with specific assignments and compositions we initiated our
free tutoring services. While instructors do hold individual office hours to assist their own students, often class
or work schedules make it more convenient for students to seek help at other times. Initially the tutor room was
staffed on a volunteer basis, but as the need grew, each instructor gave one hour of service per week as part of
their teaching contract. Because of the projected increase in demand from students in the 2003-2004 AY we
revised expectations of service contributions from the instructors to two hours per week.

Initially offering a scattering of hours throughout the week, we now offer approximately 40 scheduled hours per week
in both tutoring and conversation services. There are two locations for Conversation groups, a separate location for
the Tutoring Center as well as Portuguese tutoring and conversation groups and a Writing Center for courses at the
200 level and higher. On average we have over 800 student contacts in a single quarter which means we potentially
serve 2400 students (about a third of the over 7000 registered in our undergraduate language program) in Beginning
and Intermediate courses in a calendar year.

Under the direction of the TLC supervisor and with the addition of the position of Conversation Coordinator in
2003, we successfully managed and provided resources for 80 plus instructors who served over 2800 student
contacts this past academic year! [Appendix A].

Our objective is to increase students’ success through these free support services. Our statistics and feedback
have shown that we are, indeed, making a difference to students and instructors alike.

    II. Program Elements

    With the SPPO TLC mission statement in mind, “to support and enrich the classroom experience of
    undergraduate students in courses 101-104 through small group conversation activities and free tutoring
    services”, and with funding from FTAD, we have been able to clearly define and address specific needs for this
    growing facet of our department. Listed below are the original proposed activities and how we have resolved
    our needs with additional developments to our service centers.

While the Seed Grant helped us to set the foundation on this much needed project, we found it necessary to
nearly match the grant amount with additional funding provided by SPPO. When given the opportunity to
improve our student services in our undergraduate program, we discovered that the ideas were endless while
funding was most certainly limited. Our desire to incorporate the latest technology available to us in order to
1)meet growing student demand for such services and 2) further enhance the experience of both the students
and instructors of our TLC will require additional research and development. This of course will lead to the
need for additional resources in terms of personnel, time and funding; particularly to achieve our goal of adding
computer based teaching modules for TA training and web-based activities for students who wish to pursue
additional language learning outside of their classrooms. The funding provided by the Seed Grant may not have
been sufficient for all of our proposed enhancements; however, it did allow us to add to the TLC staff and
provided us with a running start towards our goal of expanding training and web-based resources for our
instructors and students.

IV. Assessment of Project

Current student services are evaluated via open-ended surveys to all students enrolled in the elementary and
intermediate language program. The Teaching and Learning Centers (Tutoring, Conversation and Writing
Centers) have been and will continue to be evaluated via an e-mail survey sent to all participants. [Appendix E]

During visits to the instructors of Conversation Centers, the Conversation Coordinator provided additional one-
on-one training to those facilitating conversation sessions. During these visits, opinions and suggestions from
instructors were gathered. The instructor feedback resulted in the development of further resources (web-based
and other formats) for the Conversation Centers that benefit both students and instructors alike.

A focus group was held at the end of the SP04 in order to gather feedback and suggestions for further
enhancements to the undergraduate program as well as to the TLC. This two hour session gave our instructors
the opportunity to highlight what aspects of the TLC developments have proven useful and also provided us
with the necessary constructive criticism we needed to continue making improvements to our program. This
manner of evaluating our project provided us with informative data that will allow us to 1) better assess and
meet the needs of our instructors in the classroom and in the Teaching and Learning Centers and 2) improve our
TA/instructor training and professional development workshops. A detailed outline of the topics of this session
can be found in Appendix F.

V. Reflections on the Future and Lessons Learned

The Department of Spanish and Portuguese has agreed to continue to fund the 25% appointment which has
become a permanent part-time administrative position within the department. With the continuing growth and
popularity of the Spanish language program, it will be necessary to meet student-customer and TA/instructor
demands by increasing management and development of resources within our program.

With the data collected through our assessments, we have been able to define the needs of the student-clients
and the needs of the instructors for the immediate future. Development is under way in the following areas:

       Video demonstrations of instructor-student interaction in the Teaching and Learning Centers to be
        used during the 801 Graduate Associate Teacher Training Workshops and to be posted on the IRP.
       The initiation of a Mentoring program in AY2004-05 that provides new/incoming TA/instructors the
        guidance and support of experienced TA/instructors.
       Continued development of web-based activities and resources for tutoring/conversation sessions.
       Production of a TLC Brochure for students and instructors which clearly defines the purpose of the
        service centers and the expectations of the student-clients that utilize the service centers. [Appendix G]
       Development of an instructor handbook that better describes the responsibilities of TAs/Lecturers in
        regards to their professional development in the classroom and during service hours.
       Continued improvement of testing methods and consistency in testing standards for midterms, oral
        examinations and compositions.
       Creation of standard rubric for reviewing compositions in the tutoring center.
       Pursuit of additional funding to develop computer based training modules for instructors and
        interactive computer-based language learning activities for students.


Based on this pilot year for the program, we would recommend that the FTAD Seed Grant increase the amount
of funding to $10,000.00. This is not an unreasonable request considering the cost and the amount of time
needed to produce technology-based program enhancements which are essential for the generation of students
and instructors coming from a technologically advanced era. Multimedia based technologies, in and out of the
classroom, are vital to the current and future expansion of every facet of our undergraduate language program,
including the professional development of our instructors.

We can offer suggestions for others pursuing Seed Grant funding for TA training based on the lessons learned
from our experiences this past academic year. It is fundamental to clearly define your most basic needs that will
improve departmental training. Obviously, communication and feedback from instructors will help identify
these needs, along with aligning your training with the mission statement/goals of your program.

Although some of our proposed ideas were somewhat ambitious, we learned that the technology needed to come
after the most basic structure for our project was in place. Also, this framework needed to exist before conceiving
what additional forms of training we could offer within the realm of our budget, timetable and manpower.

The best advice we can offer other departments that are thinking of enhancing their TA/instructor training with
similar projects: Don’t limit your proposed ideas, however be realistic in regards to funding for your program.
Once the basics are in place, you will be able to readily identify what is missing from your program and plan
accordingly to make the necessary additions/changes.

As the saying goes, ‘if you build it, they will come”. Thanks to funding provided by the Seed Grant, we have
constructed the framework of our program on a solid foundation that will provide us with endless possibilities
for the continuing development of our GTA/Instructor Training Program Enhancement.

                         Duties of the SPPO TLC Conversation Coordinator


   Supervise, observe and communicate with approximately 25 instructors that serve our undergraduate
    students with the opportunity to enhance Spanish language conversation skills in our 2 Conversation
    Centers. Observations include a minimum, but not limited to, two sessions per week to assist in the
    facilitation of conversation sessions

   Management of conversation leaders (i.e. are they showing up, on time, using target language,
    appropriate topics, etc)

   Co-develop and maintain departmental instructor resource site on WebCT

   Engage in a one-on-one meeting with new instructors/conversation leaders at the beginning of the quarter
    and make them aware of the resources available to them on WebCT and within the Centers. This also
    gives new instructors the opportunity to learn how to facilitate conversation sessions so all student
    participants may benefit.

   Engage in a one-on-one meeting with all instructors/conversation leaders at the beginning of the quarter
    to address any specific concerns or needs, to gain instructor feedback of quality of conversation sessions,
    share ideas for conversation.

   Respond accordingly to the needs of student-clients of Conversation Centers either by personal contact or
    correspondence via email.

   Provide Centers with variety of language activities and resources for instructor/student use including the
    maintenance of picture files, conversation cards, Spanish language magazines and newspapers, and
    games.

   Hold weekly meetings with TLC Supervisor to address and resolve any logistical issues that may arise and to
    discuss progress and ideas for WebCT/Conversation Centers

   Maintain availability of materials.

   Ensure the cleanliness of the Centers

   Provide supervisors with annual report of Conversation Centers’ statistics, problems, progress and
    suggestions for future enhancements.
