BRISTOL BAY NATIVE ASSOCIATION
POSITION TITLE: LMS Records Specialist
OBJECTIVE: Ensure that records of Native Allotments and Restricted Native Townsite
Lots are in the proper order so accurate information can be retrieved quickly and reliably, in
accordance with the Code of Federal Regulations and guidelines established by the
Bureau of Indian Affairs.
Candidates must demonstrate the ability to accomplish the Essential Job Results stated
Job knowledge / documentation required.
High School / GED + four years of work experience or college education.
Familiarity with the Bristol Bay area, people and cultures and land use patterns.
Ability to operate a Windows based computer and scanner and work proficiently in
Word, Excel; and familiarity with Microsoft Access. A basic understanding of the
concepts behind data management in a relational database.
Occasional moderate lifting of stored records, not weighing more than 50lbs.
Good analytical/problem solving skills and an understanding of and/or willingness
to learn math and statistical analysis.
Excellent verbal and writing skills for documentation, training, and technical
Preferred: Undergraduate degree in related field. “Hands-On” experience with GIS
software package such as ESRI ArcGIS.
ESSENTIAL JOB RESULTS
Achieve Program goals
File pertinent documents in their respective restricted Native allotment or Town
Storing files in an organized professional manner.
Developing policies for file room use and a plan for check out/return of active files.
Scanning relevant Native allotment and townsite documents into digital document
formats (*.pdf.) and making them available for LMS staff to access via the LMS
Intranet database and mapping application (RealtyNet).
Scanning relevant documents from Inactive Probate files.
Maintaining accurate information in the Realty Database via RealtyNet.
Keeping accurate records of which documents were scanned.
Placing notice cards in folders that list which documents have been scanned.
Labeling inactive files that will be archived.
Organizing folders for long-term storage.
Retrieving relevant U.S. Surveys, Master Title Plats, and Subdivision Maps from the
Alaska Dept. of Natural Resources and make them accessible via RealtyNet.
Assisting the GIS Professional with
o Maintenance of the realty database, scanned document files, and GIS data.
o Working with the BBNA Network Administrator to create regular data
backups of the realty database, scanned documents, and GIS data.
o Filling information requests for realty database information, maps, and
other land management related information.
Attending training in records management, relational database management
(Microsoft Access) and GIS software / data management.
Using a standard map layout to be used for all map requests. The layout should
include standard styles for

o Scale bar
o BBNA logo

Providing mapping, database, and document request support to both LMS and
Natural Resources staff as needed.
Maintaining relationships with GIS and records management professionals at Alaska
DNR, the U.S. Bureau of Indian Affairs (BIA) and the U.S. Bureau of Land
Management (BLM) with the goal of being able to share and exchange updated data
Keeps Management Informed
Documenting activities for statistics and monthly reports
Participating in scheduled staff meetings.
Producing a comprehensive monthly report to the GIS Professional & Realty Officer
Protect program integrity and client privacy
Abiding by BBNA’s policies in regard to confidential information and keeping any
confidential information gained through employment at BBNA absolutely
confidential during and after this employment.

WAGE: $35,000 – $45,000/year ($17.95 to 23.08/hr.)
REPORTS TO: Realty Officer or designee
