									2012 Data Collection Arrangements for EYFSP, Key Stage 1 and Year 1 Phonics Check

To make the management of EYFSP, Key Stage 1 and the Year 1 Phonics Check data collection and submission as simple as possible, we
have brought all related information into this single document.

The dates for submission of the data

Schools and settings must make arrangements to carry out all assessments so that they can be submitted to the Information Management
Team at Bradford Council.

Early submission of the data is strongly recommended to allow the Information Management Team to quality assure your assessments and
resolve any issues with you prior to the final data being submitted to the DfE.

Other important dates are:

1st June 2012 - EYFSP & KS1: the date your assessment cohort is defined for KS1 and EYFSP. All pupils relevant to the key stage in your
school up to and including this date must be assessed and their results submitted. Pupils joining the school after this date must not be included.

18th June 2012 – Year 1 Phonics: The school has to test every child on their roll during the week of 18th June 2012 for the Year 1 Phonics. If
children move schools during the check week the Standards and Testing Agency recommend the following: The Phonics check for this child
would be done by the school the child is leaving. The child is likely to be most comfortable with their ‘old’ school, be more familiar with the
teacher administering the check, and therefore this is likely to be the fairest reflection of their ability. Undertaking the check in the new school
may be more unsettling for the child.

Assessment and Reporting Arrangements (ARA)

The following documents have been issued by the Standards and Testing Agency to provide guidance on the assessments. All those
responsible for assessment and reporting need to read these requirements and ensure they are aware of any changes from previous years.

Technical Preparation

EYFSP only: All Early Years settings must download and install the latest version of the eProfile software before submitting their EYFSP return.
The latest version is Version 3.3. The software is available from Suffolk local authority website at: http://eprofile.org.uk/index.html

How to submit your data

Once you have completed the assessments it needs submitting to the Information Management Team. How you do this is dependant on the
type of system your school or setting uses.

Schools using CMIS

    Contact the CMIS support desk at Derby on 01234 832020

Schools using SIMS

      Ensure you are using the most recent SIMS software update which is:
      Transfer your eProfile data in SIMS
      Export your results as an XML file
      Locate the XML file generated on your system
      Rename the file as follows:
      For EYFSP: Rename to: 380****_380LLLL_EYFSP12 (where **** is your four digit establishment/DfE number)
      For KS1: Rename to: 380****_380LLLL_KS112 (where **** is your four digit establishment/DfE number)
      For Phonics: Rename to 380****_380LLLL_PH12 (where **** is your four digit establishment/DfE number)
      Go to the School to School (S2S) website and upload your file as a generic file.

Early Years Settings

    Use eProfile to produce a CTF file and then submit via the S2S website

What happens to your data once it has been submitted?

The Information Management Team will:

   1. Collect your file from the S2S website
   2. Check the data in your file against the data quality standards required of Local Authorities by the DfE*
   3. Contact you if any issues are identified to agree any necessary amendments**

* It is important to note that the students submitted in your file will be taken as final. Submitting your file to the S2S website is taken as
authorisation from the school that the students included are correct.

** Where changes are agreed you will be asked to make the amendments in your SIMS or CMIS system and resubmit the amended file via the
S2S website. This ensures the assessments at your school are consistent with those submitted by the Information Management Team to
QCDA

Analysis of your data

The Information Management Team produces an analysis of the data submitted by your school via Bradford Schools Online. We aim to publish
this report before the summer holidays. Please look out for the news item advising when the report is available.

Wrong Names   When data is submitted for a child
              it must have the child’s legal
              name. The legal name is held in
                       the schools SIMS (or CMIS)
                       system and so to keep things
                       accurate you are strongly
                       recommended to populate the
                       eProfile software with an export of
                       names from SIMS (or CMIS). If
                       this is not possible they will have
                       to be entered manually, care must
                       be taken in copying the SIMS (or
                       CMIS) list into the eProfile. Staff
                       responsible for maintaining the
                       eProfile must be encouraged not
                       to change names. If a name has

                                    entered. If a pupil does not speak
                                    English and has arrived too late in the
                                    summer term for an assessment in
                                    their own language to be made – then
                                    the school can put D for Maths and
                                    Science only. Schools should discuss
                                    their intention to use D with Alison
                                    Philipson.

                                    W: working towards L1 must either put
                                    P scale levels in or EAL. Pupil’s who
                                    do not speak English, even if newly
                                    arrived, should have W recorded for
                                                        speaking and listening, reading and
                                                        writing.
