Call Sang Sporer (973) 984-8950 or e-mail sangsporer@gmail.com Woodland Home and School Association Committee Descriptions 2009-2010 Art Committee: Volunteers assist our art teacher, in matting and hanging children’s artwork in the main hall on our decorative trees throughout the year. Decorate the multi-purpose room for the holiday concert. During Art/Science Fair receive children’s work from art/science teachers to mat and label at home. Help hang displays in the multi-purpose room 1-2 days prior to the Fair in March. (Yearlong, at your convenience) Back to School Luncheon: Luncheon held during the first full week of school for all faculty and staff in our school library. Committee volunteers organize and solicit food donations, serve the luncheon and clean-up. (September) Book Fair: Volunteers needed to help set up, take down, and assist children in selecting and purchasing books. Chairperson deals directly with vendor and is responsible for signing up classes for times to visit Book Fair to make selections and purchases. Other responsibilities include promotion of event, coordination of volunteers and arranging the Book Fairy program. (March) Book Publishing: The second graders will write and illustrate a book in the spring. This activity will only be done if we get enough parents to volunteers to assemble the books, type the pages, etc. (Winter/spring). Box Tops for Education/Campbell’s Soup Labels: Encourage parents and children to send in General Mills Box Tops and Campbell’s Soup labels. Collect from school periodically. Send reminders to parents. Submit to General Mills and Campbell’s as required. (Yearlong, at your convenience) Bulletin Board: Meet with chairperson to plan the monthly themes and decorations for the central hall bulletin board. Some months may be taken care of by other committees such as MAC Drug in October, Fun Fair in February and Staff Appreciation in May. (Yearlong, 1st of every month) Bus Riders/Transportation Rep: Parents needed to ride the bus routes for the first three days of school for the morning and afternoon routes. Help children on and off the bus, check off the names of the riders, report problems or discrepancies to the Transportation Representative. Also serve as Transportation Representative for the school and act as contact person for questions and concerns regarding MSD bus transportation. (August/September) Coins for A Cause: Assist teacher with the Coins for A Cause campaign. Includes making a bulletin board, taking money to the bank weekly, running the voting machines and ice cream social on election day. (February-April) Cooperative Arts Day: Assist teacher with Cooperative Arts Day. The children will participate in various outside and inside activities throughout the morning, which need many parent volunteers. (June) Cultural Arts: Attend showcase of performances in the spring. Decide which programs will be presented at Woodland as assemblies. Promote programs via backpack flyers, e-news and Woodland Courier. Decorate the bulletin board by the library monthly. A Cultural Arts volunteer should be on hand for each event to assist performers. Assemblies are funded by the WHSA. (Spring Showcase and bi-monthly programs) Directory: Enter student data and produce student directory. Have student information sheets ready to be filled out at Back to School Night by parents. Computer knowledge is essential. Ideal for Moms who work outside the home,or have small children. (September) E-News Coordinator: Keep Woodland school parents informed of the latest news and announcements via email. Create a school-wide distribution list to distribute announcements, WHSA meeting minutes, school closing information, etc. (Year-long) Fall Fling: This event brings Woodland families together for dinner and social. Chairperson arranges for entertainment (i.e. magician, DJ or karaoke) funded by the WHSA. Coordinate sale of pizza at the fling. Solicit donations for desserts. Volunteers needed to distribute backpack flyer, organize desserts, decorate and assist with clean-up. (September/October) Fall Fund Raiser: Wrapping paper and holiday gift and food items will be sold. Orders are done via backpack. Volunteers needed to organize and distribute merchandise after it is delivered to the school. (September for November delivery) Friendly’s Fundraiser: Arrange for a day that Friendly’s will donate a percentage of its dinner proceeds to the WHSA. Publicize the event via backpack, e-news and in the Woodland Courier and work with the restaurant. (February) Fun Fair: Chairpersons will decide upon a theme for this parent-run indoor carnival type event held on a Saturday in February. Four chairperson positions are available (games/decorate, basket raffle, refreshments and volunteer coordinator) as well as committee members to help classroom parents organize games, prizes, decorations, food and raffle. (January-February) Halloween Candy Drive: Collect extra candy parents may have from Halloween but did not get enough trick or treaters to give it away. Candy will be given to the Interfaith Food Pantry. (November 1-9) Holiday Gift Drive: Coordinate the donation and collection of gift items for Woodland families in need with our school counselor (December, assemble the week before Christmas) Junior Great Books: A one-day parent volunteer training workshop is required in the fall to obtain the skills necessary to teach children to interpret literature. After training, deliver this well-received interactive program to all first and second grade children during the second half of the year. (Feb., March & May) Kids Art: A spring fundraiser where the children create cards of their own design. (April/May) Ladies Restaurant Night: Arrange and coordinate with local area restaurant an evening out for our Moms. Have the restaurant donate back a percentage to the school. (October - November) Landscaping: Identify areas surrounding the school in need of “curb appeal”. Plant seasonal plants in planters to decorate school entryways. Organize the help of parent/girl scout volunteers. (Seasonal – on your own time) Library Helper: Assist our school librarian, Ms. Grossman, one day per week in the morning with checking-in books, discharging books, shelving books, attaching book jackets and various other projects. (Yearlong, one day per week) MAC Drug Committee: Assist the school counselor in promoting a positive attitude among children. Represent Woodland at district MAC Drug Free Committee meetings. Responsible for ordering drug-free handouts and decorating the WHSA bulletin board in October. (Yearlong) Public Relations Representative: Contact local newspapers to initiate coverage of various events taking place at Woodland. Attend meetings with Mary Donohoe, Community Relations Specialist for the Morris School District, on an as needed basis. Public relations experience a definite plus! (Yearlong) Room Parent Chairperson/Grades K, 1 and 2 Room Parent Chairperson: An overall room parent chairperson and one for each grade are needed to select and coordinate room parents. These are chairperson only positions. A sign up sheet for room parent and assistant room parents for each class will be sent home in September. (Most work in September/October, Yearlong, mostly phone work and e-mails) Second Grade Picnic: Second grade parents volunteer to plan a day of activities, food and fun for Woodland second graders at an off-campus location. (May - June) Spring Plant Sale: Just before Mother’s Day, the WHSA offers an assortment of outdoor plants that can be ordered, paid for, and picked up at school on a designated date. Volunteers needed to distribute flyers, collate and distribute orders. (April - May) Staff Appreciation Day: In May, volunteers provide lunch for the staff and present them with a gift of appreciation from the WHSA. Organize and prepare the luncheon. Solicit staff’s ideas for the gift. Research requests and decide on purchase with the officers. Decorate hall bulletin board with the luncheon theme. Design artwork piece for children to decorate that will be displayed on the bulletin board during May. (April - May) Thanksgiving Food Drive: Coordinate the collection of food items for the Thanksgiving Interfaith Pantry Food Drive with our school counselor. Work entails sorting collected food items for delivery to the Pantry. (November, Assemble the Friday before Thanksgiving) T-Shirts/Promotions: Coordinate purchase and sale of t-shirts, sweatshirts, rest mats, bumper magnets and other assorted Woodland items at major school events in the beginning of the school year. (Sept/Oct) Volunteer Committee: The chairperson for this committee will act as a contact person for the staff. If help is needed (for example, if a teacher needs help copying papers or cutting shapes), the chairperson calls on committee members to assist. (Yearlong, when the need corresponds with your schedule) Walk-a-thon: We are considering doing a walk-a-thon to raise funds for a named purchase. Past walk-a-thons have been very successful and promote good health. (Fall) Wee Deliver: Volunteers to work with second graders to oversee and support the operation of Woodland School Post Office. (Once a week, yearlong or to work with your schedule) Woodland Courier: Editor produces five editions of the school newspaper each year. Articles submitted by teachers and WHSA members are typed and put into newsletter format. Proofreaders and volunteers to copy and distribute the newsletter are also needed. This is a wonderful publication that keeps all Woodland families informed of the happening at Woodland. (Year Long) Duties of Officers: Co-President: Presides over all meetings of the WHSA and the Executive Committee and board, shall be a member of the Parent Liaison Organization, and performs other duties as may be prescribed by the by-laws. Coordinates the work of officers and committees of the WHSA. Member of the WHSA Executive Committee. Recording Secretary: Records the minutes of all meetings of the association. Will send notification of WHSA meetings to the parents via backpack and e-news prior to each monthly meeting and coordinate refreshments for each meeting. Member of the WHSA Executive Committee. Corresponding Secretary: Reports on correspondence received by the WHSA at each meeting. Sends thank you notes to teachers, parents and others. Sends appropriate cards or gifts as directed by the Executive Committee. Treasurer: Has custody of the funds of the association. The treasurer keeps an accurate record of receipts and expenditures. Reports and presents on WHSA financial statement at each meeting. Prepares and files state and federal income tax forms at end of fiscal year. Member of the WHSA Executive Committee.
