Re: 2011 Affiliation Process and Club Grants
As per our previous correspondence, the affiliation process has been changed for 2011. Detailed
information can be found on the website, however we hope that the new process will be
simpler and more easily adaptable to each individual club.
Clubs will affiliate in levels, 1 through to 4, and each have different requirements and
entitlements. Please see the attached brief for a summary of these differences. For maximum
benefit to your club, please ensure that you read all the information in this letter and on the
website carefully, and chose the affiliation level that best suits your club. If you have any
additional queries or concerns, please feel free to contact myself (Sue Wells) to discuss your
clubs affiliation level and process, however, it is advisable to organize this well in advance to the
close of the grant applications.
Grant applications 2011
The 2011 budget allows for a maximum of $20,000 in grant allocations to Clubs. This allocation
is divided into two, with $10,000 available for Sporting Clubs and $10,000 available to Non-
Sporting Clubs. Affiliation levels will also affect your grant eligibility and maximum grant value.
Other grants may be on offer throughout the year, inclusive of the Club Professional
Development Grant, Elite Team Grant and Sport/Activity/Event Development Grant, as outlined
in the Grants Policy attached. Once again, these grants are only available to certain club
affiliation levels. Please see the attached document regarding eligible or potentially eligible
clubs for grants in 2011.
This grant is available to be used for any Flinders club related part or full expense to include:
Insurance Expenses (where applicable)
Priority will be given to the following clubs:
Those with predominantly student membership.
Those whose activities are based on campus (clubs which cannot reasonably do so like
Hockey will be exempted from this preference).
Those who contribute to the expense claimed for.
Please find attached the Club Grant Policy, which has as its Appendices the 2011 Grant
Application form, Asset List form, and the Authority to Pay (ATP) Voucher. With this application
you MUST submit a membership list; a suggested spreadsheet is attached if your club requires
assistance in this area.
Please note that ALL CLUBS MUST PROVIDE THE RELEVANT AFFILIATION LEVEL DOCUMENTS,
including the annual reporting requirements, regardless of whether a grant is being applied for.
Due to the changes this year in affiliation, it is important to make an informed decision as to the
level of affiliation desired and the required documents needed (which may well be different to
those submitted previously). Any Club NOT completing the required information will BE
REMOVED from the Flinders Insurance Coverage List and will be disaffiliated, removing them
from accessing any privileges associated with being an affiliated Flinders Club, on any affiliation
level. Please note that all affiliation documents and Annual Reporting Requirements are to be
submitted in electronic format. Clubs needing assistance with formats will find a suggested
format for Financial Statements is available on the website.
Due dates for 2011 Grant Application
The due date for Grant Applications (including ALL Annual Reporting Requirements) is 31st
March, 2011. Late applications will not be accepted.
Please note that submission of a grant application is not a guarantee for clubs to receive a grant,
also please note the impact that being a community club has on grant applications.
All forms will be printed and placed in your pigeon holes, emailed to club representatives, and
listed on the website for your access.
