Purpose: Under the general supervision of the Administrative Officer, serves as principal assistant for carrying out broad
administrative support functions (maintenance of premises and equipment, travel and transportation,
procurement and inventory control).
Major Duties And Supervise transport operations for more than 15 drivers (FT& TA) which include: assignment of drivers and
Responsibilities: vehicles, checking vehicles, logs and mileage reports, keeping the mileage counted sheet for fuel consumption
and vehicle repairs, making sure that vehicles are in operational conditions to ensure effective transport services
to the office.
Provide advice and assists all staff members and their dependents, by processing/ requests for visas, travel
permits, visitors identity cards, driving licences and other necessary personnel - related documents. Follow-up
with Ministry of Foreign Affairs to ensure timely approval.
Prepare official travels and their settlements, gather information concerning the purpose of each travel, reserve
and confirm travelling tickets and hotel accommodation and obtain necessary visas. Prepare Travel
Ensure the maintenance of equipment and office furniture, building and vehicles. Assist in reviewing the office
premises to ensure a good and secure working environment for all staff members.
Undertake all administrative arrangements for meetings, workshops, seminars and visitors by co-ordinating
transportation, hotel accommodation, conference room reservations and audio-visual equipment as required.
Assist in preparation supplies and equipment requirements for budget preparation purposes. Assist the supervisor
in the establishment and maintenance of administrative services.
Drafts correspondence, memorandum and reports from oral instructions, previous correspondence or other
available information sources in accordance with standard office procedures.
Perform other duties as required by the supervisor.
Minimum Education: Completion of secondary education. Additional training in Business Administration is desirable.
Requirements Experience: Five years of clerical work, which should have provided a good knowledge of administration practices
Language(s): Fluency in English and Arabic.
