					                           Affiliated Cardiac Societies of the ESC


Background

In 2005, in parallel with its priority of developing joint activities with the National Cardiac Societies
of Cardiology within the European region that are full members of the ESC, the Board of the ESC
decided to create a platform for National Cardiac Societies and other professional bodies interested
in cardiovascular medicine but based outside Europe and the Mediterranean Basin, to enable them
also to have closer collaboration with the ESC. Between 2005 and 2011, 34 Cardiac Societies
applied and were granted this specific status.

In January 2008 other countries were invited to join the scheme, on the basis of their affiliation to
the WHF or to a pan-continental association and on the number of attendees they send to the ESC
Congress. In this proactive invitation, the ESC presented the affiliation programme as a way to
increase and encourage collaboration for mutual benefit, as official partners, and to establish a
closer friendship between the relevant organisations, but with no costs or binding responsibilities
involved.

Only one National Cardiac Society or other professional body per country with an interest in
cardiovascular medicine can apply to the ESC for the Affiliation programme.

Objectives

Principles of collaboration

Affiliated Cardiac Societies will be offered the possibility to participate in most of the activities of
the ESC. Different activities may be jointly organized by the ESC and the Affiliated Cardiac Society,
according to particular needs and resources.

Congresses
Affiliated Cardiac Societies undertake to encourage their members to participate in the congress
activities of the ESC.

Members of Affiliated Cardiac Societies are encouraged to send abstracts to all congresses of the
ESC (annual congresses and subspecialty congresses). There will, however, be no guarantee of
privileged selection.

Young cardiologists from Affiliated Cardiac Society may have the benefit of free registration to up
to 25 members of the Affiliated Cardiac Society who are under 36 years old or are in training, to
attend the annual ESC Congress.

Affiliated Cardiac Societies may propose experts to be considered as abstract graders and
chairmen of sessions.

The ESC is willing to organise joint scientific sessions at the annual congresses of the Affiliated
Cardiac Societies, if there is mutual interest and sufficient available resources. The Affiliated
Cardiac Society covers the ESC speakers’ costs incurred in attending these congresses, i.e. flight
ticket, local accommodations, hotel and registration to the congress.
Visits by ESC Leadership to the annual congress of the Affiliated Cardiac Society will be considered.

Journals
Members of the Affiliated Cardiac Societies are encouraged to submit scientific papers to the ESC
journals, as well as to the subspecialty journals published by the ESC, and they are also
encouraged to subscribe to these journals.

Other forms of collaboration may be considered, such as the creation of specific language versions
of the journals, if approved by the publisher and by the Editor-in-Chief.

Editors of the official journals published by the Affiliated Cardiac Societies are invited to join the
Editors’ Network of the European Society of Cardiology.

Educational events
Members of Affiliated Cardiac Societies will benefit from educational events organized by the ESC.

Educational products
Affiliated Cardiac Societies may adopt the ESC Core Syllabus, and use it for any educational
purpose in their countries.

Affiliated Cardiac Societies are encouraged to purchase ESC educational products, such as books,
distance learning programs, CD-ROMs, pocket guidelines, and similar.

Practice Guidelines
Affiliated Cardiac Societies are encouraged to endorse the ESC Guidelines officially.
Publication and translation of Guidelines will be regulated by a separate contract.

Policy Conferences
Affiliated Cardiac Societies will be offered the possibility to participate in an observational capacity
in Policy Conferences, Consensus Conferences, and in preparation of position papers, policy
documents, or other similar documents, if they so desire, and at their own expense

Registries
Affiliated Cardiac Societies may be offered the possibility to use or to contribute to the
EurObservational Research Programme protocols. Depending on local possibilities and interest,
Affiliated Cardiac Societies may participate in the EurObservational Research Programme, and ask
the ESC to manage data compiled in the affiliated countries.

Training and Research Grants
The ESC may facilitate training and research programs in European cardiac centres at the request
of an Affiliated Cardiac Society. Each year, starting from 2010, 8 grants of €25 000 will be offered
in open competition to applicants from the Affiliated Cardiac Societies to young cardiologists, to
allow them to spend a period of clinical or research training in a centre within one of the ESC
member countries.

Accreditation
The Affiliated Cardiac Societies will be encouraged to have their educational and scientific events
accredited by the European Board for Accreditation in Cardiology (EBAC).

Fellowship
Members of Affiliated Cardiac Societies are encouraged to apply for Fellowship of the ESC, either
on an individual basis or a group application.

Rights and Duties

Rights of Affiliated Cardiac Societies and of their members

Affiliated Cardiac Societies will benefit from specific rights when entering the ESC “family”:

    -   Web Site: special “Affiliated Cardiac Societies” web pages have been created within the
        ESC Web Site, which can be used to promote the congresses and other activities of the
        Affiliated Cardiac Societies. Links will be provided to the Affiliated Cardiac Societies’
        websites.
    -   The individual members of the Affiliated Cardiac Society benefit from rights similar to those
        of the individual members of ESC National Cardiac Societies, if they provide the ESC with a
        written confirmation of their membership from their Affiliated Cardiac Society upon request
        for ESC benefits.
    -   A meeting of representatives of Affiliated Cardiac Societies with the Board of the ESC will
        be organized every year at the ESC Congress.
    -   Preferential communication with the ESC and the Affiliated Cardiac Societies and an ESC
        Board Member (usually the ESC Vice President of the National Cardiac Societies and
        Affiliates. The ESC Director of Advocacy and Representation is the principal contact person
        for the Affiliated Cardiac Societies.


However, the following limitations apply:

    -   Affiliated Cardiac Societies will have no voting rights at the General Assembly.
    -   Members of Affiliated Cardiac Societies will not be eligible for election to positions on the
        Board of the ESC.
    -   Affiliated Cardiac Societies will have no formal representation on the ESC Committees and
        Task Forces.

The individual members of the Affiliated Cardiac Societies have similar rights to the individual
members of the ESC National Cardiac Societies, if they provide the ESC membership department
with written confirmation of their membership from their Affiliated Cardiac Society:

    •   Discount prices on ESC educational products
    •   Advantageous subscription rates to the ESC journals
    •   Information about ESC congresses *
    •   Information about ESC Educational Programmes*
    •   Online version of the quarterly “My ESC Newsletter”*
    •   Right to apply for membership of ESC Working Groups, ESC Associations and one ESC
        Council (CCNAP)
    •   Individual members of the Affiliated Cardiac Societies have the right to apply to become
        Fellows or Nurse Fellows of the ESC.

* Note that information relating to congresses and educational programmes, as well as the ESC
Newsletter are distributed by email. This information can therefore only be circulated if the
individual member has subscribed to the above services through “My ESC” account
(www.escardio.org).

Duties of Affiliated Cardiac Societies

The Affiliated Cardiac Societies undertake to encourage their members to participate in ESC
activities and to use its scientific and educational products.

The Affiliated Cardiac Societies should appoint a person responsible for communication with the
ESC.

The ESC will not manage the membership databases of the Affiliated Cardiac Societies. However,
the Affiliated Cardiac Societies may be requested (to the extent permitted by local law) to share
the list of e-mail addresses of their members in a usable format. The ESC may then communicate
directly or indirectly with these members concerning ESC programmes and products. The ESC will
respect the confidentiality of this data in accordance with current legislation, and will not transmit
the data to any commercial third parties.

Methods of application

Any request for affiliation membership must be institutional, as opposed to individual.

An official letter of request from the President or Secretary should be addressed to the ESC Vice
President of National Cardiac Societies and Affiliates through the ESC Affiliated Cardiac Societies
Department at the European Heart House, or to the current President of the ESC.

Documentation    required, if possible in the English language:
          •      official statutes / by-laws
          •      names and roles of current board members
          •      contact information for the office and board members
          •      board and membership structure
          •      brief history of organisation
          •      Membership list
          •      resources, such as web site, journals published (web addresses, no of issues,
                 English version available, etc..)
             •   Details of main activities: congresses, working groups, regional entities



Methods of approval

Each application is reviewed and a decision to accept or reject it is made by the ESC Board, and
then announced during the ESC General Assembly each year. The affiliation is official only counting
from this meeting during the ESC Congress.

A Memorandum of Understanding will be signed between each Affiliated Cardiac Society and the
ESC: this document states that Affiliated Cardiac Societies have no voting rights at the General
Assembly and are not eligible for election to positions on the Board of the ESC, nor do they have a
formal representation on ESC Committees or Task Forces.
