                              Registration information

Registration is Online only!

In support of the International Health Initiative Program, Environmental Stewardship and
Sustainability, the Mid-Atlantic Region is going green. Registrations for all 2011 Undergraduate
Round-Up Conferences will be processed online via the Online Registration System.

The registration period will be August 1, 2011 through September 9, 2011. There will be NO
late registration. Sorors are encouraged to DOWNLOAD and READ the registration packet
prior to processing your registration. Registration packets will be available online at . The registration fees are listed below.

       Undergraduate Registration:          $55.00
       Graduate Registration:               $75.00

Sorors with a valid email address will receive a Registration Confirmation email that will
include your confirmation number immediately after registering online. The confirmation
email is your proof of registration. Please remember to bring your Registration Confirmation
email and your 2011 financial card to the Undergraduate Round-Up conference.

Online Registration Overview

Go to:, click on the Events link and click on the Undergraduate
Round-Up link to be directed to the online registration system. Chapters are encouraged to
assist sorors who are unfamiliar with the online registration process.

Follow the instructions provided to log in, complete your online registration form and process
your payment.

Individual soror registrations must be paid by credit card. Chapters processing group
registrations must submit a chapter check or money order. Payments by chapter check or money
order (chapter group registrations only) will only be accepted through September 9, 2011.

The chapter Basileus, Tamiouchos, and Graduate Advisor can log in, select group registration,
complete the online registration, and submit your payment. Chapters may pay by credit card,
chapter check or money order.

For chapters processing group registrations and paying by chapter check or money order, select
“purchase order” as the method of payment when registering. Chapters utilizing this method of
payment for online registration are to mail the payment and a copy of the registration
confirmation email immediately after the online registration request is made. Payment must be
postmarked within three (3) business days of registering online or your registration may be
cancelled. A $10 per person cancellation fee will be assessed on all cancelled registrations. A
$75 fee will be assessed for a Returned Chapter Check.

Registration Reminders
 There will be NO on-site registration.
 There will be NO late registration.
 Once your registration has been submitted, very limited modifications will be allowed.
 You are encouraged to DOWNLOAD and READ the Undergraduate Round-Up conference
  registration packet prior to processing your registration online.
 Take your time so that your registration is submitted as accurately as possible.
 Only financial sorors may participate in Undergraduate Round-Up meeting activities.
 Personal checks will not be accepted.
 Chapters who register online and choose to mail in their payment by chapter check or money
  order must still adhere to the postmarked deadline dates.
 Payment must be postmarked and received within three days of registering online and
  no later than September 9, 2011.
 If payment is not received by September 9, 2011, the online registration may be deleted
  from the system.
 Refund requests must be made in writing (emails will be accepted) to the Undergraduate
  Round-Up Registration Chairman, and postmarked/dated no later than September 16, 2011.
 Refunds will be processed at the conclusion of the Undergraduate Round-Up conference and
  must be approved by the Regional Director. A processing fee of $10.00 will be deducted
  from all refunds.
 Chapter checks, certified checks or money orders should be made payable to AKA Mid-
  Atlantic Region.
 Sorors must register online at the Mid-Atlantic Region’s Conference Registration site.
 Registration fees: Undergraduate Sorors $55 and Graduate Sorors $75. This fee includes
  workshops, general sessions, Friday receptions, continental breakfast, lunch, and souvenir.
 Round-Up attendance is mandatory for all undergraduates and graduate advisors.
 Round-Up is highly recommended for each member of the graduate advisors’ council.

Round-Up Attire
   Friday: Casual/Paraphernalia
        o Friday’s Agenda: Undergraduates will meet with the Regional Director, Soror
           Linda Gilliam, followed by an Undergraduate Mixer
        o Graduate Advisors’ Council will also meet separately with the Regional Director
   Saturday: Business Attire-NO PANTS (Rededication Ceremony will be held)
        o Saturday’s Agenda: Continental breakfast, Workshops: Nominations,
           Membership, Connections, Program and Conflict Resolution
        o There will also be a special LIVE message from our Supreme Basileus, Soror
           Carolyn House Stewart.

Community Service - Operation fill a soldiers’ shoebox
   Sorors are asked to bring to the Roundup shoeboxes containing toiletries for our Service
   Each box will be donated to our military.
   Each box should contain at least 10 items and may include personal size soap, lotion,
    deodorant, shampoo, razors, conditioner, hand sanitizer and any other items you feel
   The chapters that donate the most boxes will be recognized at the conference.
   Please help us celebrate the tremendous job our service people do for us each day and

Hotel Registration
   Round-Up will be at the Holiday Inn Bordeaux, 1701 Owen Drive, Fayetteville, NC.
   The hotel rate is $80 per night plus tax (single or double room).
   Reservations must be made by August 28, 2011.
   The $80/night (plus tax) room rate is not guaranteed for reservations made after this date.
   Be sure to reference Alpha Kappa Alpha to receive the group rate.
   Lodging/incidentals are the sole responsibility for each soror (i.e. phone calls, movies,
    room service, etc.).
