Opening:
The meeting of the PatchWorld project has been called to order at 9.00 a.m. on
May 25th, 2009 by Ms. Carol Debono, representing the hosting partner AKS
Association for School Councils.

Welcomes
    After the participants registration, Ms. Carol Debono, on behalf of AKS
Association for School Councils, wished a good work to all the European partners
involved in the project.
Mr. Fabrizio Boldrini, Project coordinator, underlines the importance of the meeting
for the realization of the final experimentation phase with the European families
that won the previous national phase of the Social Network Activities and the Quiz
Contest.

The project coordinator Fabrizio Boldrini explains the evaluation of the Progress
Report by the EACEA and the answer given by Centro Studi e Formazione Villa
Montesca, that allowed to make the second payment to the project partners.


Discussion about the project experimentation in the different countries

Mr Alessandro Innocenti (Giunti OS) makes a presentation analysing the
experimentation and its progress so far from a technical point of view. The aim is to
identify the dimensions necessary to evaluate the user acceptance of Patchworld
learning environments as result of the national experimentations in the participating
countries. It is underlined that the quality of a learning enviroment is NOT an
“absolut value”. He points out some main characteristics of the different activities
carried on in the learning environment implemented in the framework of the
PatchWorld project:

         • Contents are written by participants

Active User Ranking
         • Quantitative evaluation
         • User visibility in web community
         • Netiquette

Quiz Contest
         • Multi-user synchronous
         • Game involvement
         • Sense of presence (social cues)

He also underlines some Quiz Contest technological issues, explained in the
following points:

           •   Bandwidth requirements
           •   Synchronous access managements to the game room
           •   (known) Bug of new version of Flash Player
           •   Error conditions difficult to recreate
           •   Question files not compliant to excel template


A report on each of the activities at national level carried out by the families
involved in the concrete implementation of the PatchWorld moodle platform has
been presented by CSFVM, having a look at the entries made by each user and at
the assignments developed.

Overview: after the social network activities and the Quiz Contest at national level,
a new section in the PatchWorld learning environment has been developed and
optimized in order to involve the winner families from all the project countries in the
Social Network activities at transnational level.
A general overview of these activities has been presented. That is, taking into
consideration the different sections and activities to be developed by the
participants, these can be explained as follows:

- Explain the family name: Each European family presented to the others its last
name through the Glossary Tool.

- Presentation of the family place: The families described the place where they live
through images and photos. The place images has been archived in a general
database where each family can see and comment its homework.
The families used the forum as a support to explain the information about family
place and to exchange their opinions and ideas.

- The recipe assignment: various images from the family cooking book are presented
as result of the work done by the families from all the partner countries.

- The traditional holiday habits. The families described the place where they usually
spend their holidays through videos.

The project partners present the process of experimentation from the first step,
when they were requested to send the coordinator the block of questions required
during the previous meeting in Rzeszow, to be then translated in each partner
country language for the national activities.
The calendar of the national activities was established, the project platform was
translated, the participating families were informed about all of that and chose their
usernames and passwords and on April 1st, the online experimentation began.
Moreover the families were involved in each country in the participation in the Quiz
Contest at national level, a scheduled timetable has been set and two families from
each partner country have been singled out as winners of the rounds.

All the partners present the results of the experimentation carried out in each
country involved in the PatchWorld project.

It was underlined by the Romanian partners that the families were very
enthusiastic and looking forward to taking part in all the activities. They had a lot of
fun, telling each other about the meaning for example of their family names and
describing their favourite food.
However, as the weeks passed by, few of them took part in all of the activities.

Before playing the quiz, the families completed the assignments of the social
network activities. The partners gave a description of the single activities
developed during each of the scheduled weeks.


The Nederland partners also informed that the involved families made also some
similar assignments on the E-journal patchworld site.

Some important conclusions singled out after this first national phase was that the
family worked together in a positive and funny way, parents learnt lot from their
children’ PC skills and are surprised to discover what things their children know or
do not know, children ask their parents many things about the family and they
together implemented the activities on the learning environment.
One note concerning the level of the quiz questions: it was considered by some of
the participants as high for most of the children aged 10 -13 and therefore difficult
for them to play. The quiz contest was very interesting for the players aged 14-16
and for the parents.

Some recommendations:
  - Different activities and assignments for the different ages: 10-13; 14-16;
  - More time for the social network – at least 1 week for assignment;
  - Bigger database of questions for the quiz game;
  - Clear rules for fare play and for correct communication (the game is for fun
     not just for gaining scores);
  - Continuation of the game after the end of the project – how, where and
     developing more database
  - Bringing the game format in school – in help of the teachers and in order for
     common home work to involve the parents

Fabrizio invites all the partner to send by e-mail their presentations about the
experimentation phase.

After a deep discussion among all the partners on the following steps of the game
at transnational level, they focussed on the rules to be followed in order to carry on
the second part of the game, the Transnational Quiz Contest (Final Phase).

    All the partners agreed on admitting all the 18 families (2 from each country) to the
    Transnational Quiz Contest.
    Joost Thissen (Stichting Reflexioin_NL) has been designed to draw the families
    names at the presence of all the other partners (see photos in the patchWorld
    website http://www.edu-projects.eu/patchworld/projgall.asp ) in order to establish
    the two opponents for each match to be played in the Quiz Contest, and make the
    timetable of the final rounds.

    Some basic rules (to be then deeply detailed by the coordinator and shared among
    all the partners) and an exact organization of the matches and the involved
    opponents have been set, as explained herein:

For each match the questions will be 20 and each family will have to answer to 10
questions. In the semi-final and final the questions will be 30 per match (15 for
each family).

The agreed date on which the partners are going to involve their families are June
5th, 6th, 7th at 6.00 pm – 9.00 pm. and June 12th, 13th, 14th at 6.00 pm – 9.00
pm.

The coordinator Centro Studi e Formazione Villa Montesca edits the timetable of
the matches and the regulations in collaboration with Giunti OS. All the partners
agreed.


Discussion about the dissemination strategy and activities in the different
countries

All the partners presented their dissemination activities. Fabrizio recommended to
continue till the end of the project to work in the dissemination strategy.

Presentation of the financial and administrative issues

Next administrative requirements:

By 30/06/2009 the partner shall provide the Coordinator with:

2nd INTERIM FINANCIAL REPORT: containing the incurred expenses up to
30/05/2009. This is to say that the partners will use the same file used for the 1st
interim report and will update the expenses. Each expense shall be proved by
supporting documents.

2nd INTERIM ACTIVITY REPORT: containing the activity implemented up to
30/05/2009. Don’t forget to attach copies of products and of the dissemination
material produced.

The two reports shall allow an easy re-conciliation: the incurred expenses shall be
covered by the implemented activities.


The project will be over by the end of December 2009, therefore all the expenses
and the related activities shall be over for that time.

The preparation of the report is the occasion for re-planning your expenditures
estimations in relation to the planned activities, so to avoid difficulties in expending
the grant during the last project period.

Next pre-financing payment:

Following the approval of the 1st interim report by the European Agency, all the
Partners that proved to have spent the 1st pre-financing payment, received the 2nd
pre-financing payment, equal to 30% of the Partner’s grant.
After the approval of the 2nd interim report by the coordinator, all the partners that
will prove to have totally spent the 2nd pre-financing payment, will be entitled to
receive the 3rd pre-financing payment, equal to 30% of the Partner’s grant.

* The National Reports are the final documents describing the results of the
experimentation       in each country the partners will draw up a National Report
about the results of the experimentation on the basis of a uniform index (delivered
by the Coordinator) so as to facilitate the aggregation of the data for the drawing
up of the final report.

The Final Synthesis Report will be the final document summarizing the project
results and analyzing weaknesses and strengths (CSFVM).

It was pointed out that the dissemination activities are transversal to the entire
project, so dissemination has to be carried out during all the project activities.
