                                    Hostel Awards

                               Rules and Regulations


THE AWARDS DESCRIPTIONS AND NUMBERS:
1. Awards will be given under three categories “Cultural, Sports and Organizational”.

2. There are six types of awards “the Roll of Honor (ROH), the Citation, the Person of the
   Year (POY), the Color, Special Mentions and Special contribution”. Apart from these
   there is one more award “Passing Out Color” given under general category only to students
   from passing out batch

3. The ROH and Citations may be awarded only to students from the passing out batch i.e. a
   person expected to graduate in the coming graduation. The other awards may be given to
   any student from hostel.

4. Under organization, there is one more type of awards - the Best Office Bearer (BOB) award.
   The BOB award is to be given to the best office bearer from the Hostel Council members.

5. The minimum and maximum number of the awards PER CATEGORY (except where stated
   otherwise) are:

# Minimum = 0 implies that no award need be given in that type. Only if it is felt that a student
has lived up to the merit of an award, should that award be given.

* Only for organizational category. Not per category. The BOB would be given to 1 or 2
Councilors/secretaries from among all the Hostel Student Council members.

** Only awarded in the cultural and sports category.

NOTE:

1. Awards may be given to a single student in multiple categories. However, awards cannot be
   given in multiple types for the same category to the same student.

Types are: ROH, Citation, POY, Color, and Special Mention

Categories are: Sports, Cultural and Organizational

2. Awards are not transferable. If a student who had been awarded a citation (color) is awarded
   a ROH (POY), this citation (color) should not be awarded to anyone else.

PROCEDURE FOR DECISION OF AWARDS:

A discussion will be conducted on the nominations, followed by a check for a unanimous
decision. If so, the above agreed upon name(s) are decided upon. If no unanimous decision can
be reached upon, then a secret ballot is cast, where each member in the committee writes
zero/one against the nominations on his vote. The votes for each nomination are totalled /
compared, and after a further discussion, a decision to award / not award may be arrived upon.

1. A single committee will decide all the awards. The committee is chaired by one of the Hostel
   Inmate appointed as chairperson by Hostel One Council. The committee comprises of the
   members chosen by Hostel One Student Council.

2. The recommendations for the awards would come from within the committee. The ROH
   (POY) would be chosen from among the nominations for Citations (Colors) if someone is
   eligible.

3. If the student miss the Citations (Colors) then their profile would also be considered for
   Passing Out Color (Special Mention) if eligible.

NOTES:

1. If any person on any committee is in contention for the respective award, he must sit out
   during the discussions of that award.

2. If the Chairperson is in contention of the award, he must nominate a person not in contention
   for the award, for the sitting of that award.

3. All decisions taken by the committee must be countersigned by all members of the
   committee.

4. The committee is required to make a report on its deliberation and the reasons for selecting
   the students, for the reference of future batches.

QUORUMS:

1. QUORUMS - 75% of the committee must be present for any decision to be taken.

ELIGIBILITY CRITERIA:

1. Any student who has had disciplinary action taken against him or has engaged in activities
   known to have been detrimental to the institute/hostel / his fellow students MAY NOT be
   considered for any award.

2. No candidate should be awarded any award without the consent of more than 70% of the
   present committee members.

3. No candidate should be awarded the ROH / POY award without the consent of more than
   85% of the present committee members.

4. For ROH/ Citation/ Passing out Color the complete profile of the student during his whole
   stay at hostel would be considered; whereas for POY/Color/Special mention only the
   current year profile of the student would be considered.

5. Roll of Honor (Cultural):

    i.    Compulsory points:

         a.   The student should have contributed to the cultural scene of the hostel throughout
              his stay in the hostel.

         b.   He should have nurtured new talents.

         c.   He should have represented Hostel-1 (may be with a team) at institute level Cultural
              activities (like PAF, Swar Sandya, Surbahar, Rang, Kaladarshan etc.).

         d.   He should have been involved in cultural activities for minimum 1 year (for
              Masters) and 2 years (for Ph.D.).

         e.   He should have received minimum one cultural color and one more award (cultural
              color or special mention). Extra cultural colors or Person of the Year (Cultural) will
              fetch more points.

         f.   Institute level representation would be preferred.

    ii. If the student was primarily involved only in one cultural field:

         a.   He should be exceptional in that particular field getting positions for the hostel
              single-handedly/ having led teams. (Left to interpretation of the committee and
              previous years’ discussion should be referred).

         b.    Significant change in the culture should have happened (the hostel should have
              improved in GC standings in the concerned field during his stay) “OR” we should
              have won GC in his cultural field during the stay “and” should have significant
              positions in all the rest of the years.

         c.   His actions should have led to increase in the enthusiasm in that particular field.

    iii. If the student was involved in more than one field:

         a.   He should be extraordinary in more than one field OR very good in one field and
              above average in other(s). (Left to interpretation of the committee and previous
              years’ discussion should be referred).

         b.    Position in GC among top three (with major contribution from this person) in any of
              the field he has been involved in for all the years of his stay.

         c.   If he has led PAF or any cultural activities for a victory then this particular point
              will be counted in favor of the person and is equivalent to winning a GC. (Definition
              of led – Conceptualization in all the fields and involvement in all the fields).

         d.   Individual events should be considered lower in priority as considered to group
              events.

6. Roll of Honor (Sports):

    i.    Compulsory points:

         a.   The student should have contributed to the sports scene of the hostel throughout his
              stay in the hostel in more than one sport (All athletics events and all swimming
              events are considered as one sport each).

         b.   He should have nurtured new talents.

         c.   He should have represented Hostel-1 (may be with a team) at institute level sports
              activities.

         d.   He should have been involved in sports activities for minimum 1 year (for Masters)
              and 2 years (for Ph.D.).

         e.   He should have received minimum one sports color and one more award (sports
              color or special mention). Extra sports colors or Person of the Year (Sports) will
              fetch more points.

         f.   Institute level representation would be preferred.

    ii. In case the student has exceptional contribution in two sports:

         a.   The student must have been one of the key contributors in the team which should
              have won among top three positions in two sports for all the years during his stay.

         b.   His actions should have led to increase in the enthusiasm in that particular field.

    iii. In case the student has excellent contribution to more than two sports:

         a.   The student must have been a key contributor in one of the sports and the hostel
              must have won among top three positions in the same sport during his entire stay.

         b.    He should be actively involved in two or more other sports with the hostel winning
              any of the top three positions in the GC due to his contribution (not necessarily all
              the years).

7. Roll of Honor (Organizational):

    i.   Compulsory points:

         a.    He should have excelled in hostel organizational activities. (Left to interpretation of
              the committee and previous years’ discussion should be referred).

         b.   Organization throughout the stay in hostel.

         c.   Created enthusiasm among people and should have an impact.

         d.   Institute level representation should be compulsory (GSec, Hostel Co, PAF OC,
              Sports, etc.)

         e.   The student should have received minimum one “Person of the Year
              (Organizational)” and one color. Extra colors will fetch more points.

8. Roll of Honor (General):

    i.   If ROH is not awarded in at least one category then a “General ROH” can be awarded.

    ii. If the person misses ROH Sports/ Cultural “AND” ROH Organizational then that person
        may get ROH General (Not necessarily).

    iii. If the person has significant contribution to sports as well as cultural scene during his
         stay and misses ROH sports/cultural, then he may get ROH General (Not necessarily)

9. Citation (Cultural/ Sports/ Organizational):

    i.   It is intended that the citations be given to students who are nearly but not quite qualified
         for the ROH.

10. POY / Colors / Special Mention (Cultural/ Sports/ Organizational):

    i.   The colors are to be awarded to the top performances in the respective categories up to
         the maximum specified. The performances are to be rated by consensus of the
         committee. The committee may take in account performances in:

         a.   Institute (Inter-IIT / Inter-Hostel) events.

         b.   Inter Institute events.

         c.   Any activity initiated/revived which helped in drawing out talent or generating
              enthusiasm.

    ii. A student whose performance and contribution in that year has been exceptional
        compared to that of the other students being considered for colors may be considered for
        POY. The student should have won acclaim in at least three sports (for the sports POY)
        and in two cultural fields (for the cultural POY). [Category specific details for POY are
        given later].

    iii. A student, whose performance falls short of the color award, may be considered for a
         special mention.

11. Person of the Year (Cultural/Sports/Organisational)

         a.   He should have nurtured new talents.

         b.   Same as 5.i (except e) for Cultural, 6.i (except e) for Sports, 7.i (except e) for
              Organisational.(only current year profile would be considered)

12. Freshman of the Year (Cultural/ Sports):

    i.   This award is to be awarded to the top performances in the respective categories. The
         performances are to be rated by consensus of the committee. The committee may take in
         account performances in:

         a.   Institute (Inter-IIT / Inter-Hostel) events.

         b.   Inter Institute events.

         c.   Any activity initiated/revived which helped in drawing out talent or generating
              enthusiasm.

    ii. This award is given to a student of first year who has shown his/her talent in the
        concerned field.

    iii. He must have participated in concerned fields’ events.

    iv. Winning of any event will fetch more points.

    v.   He should have excelled in hostel cultural/sports activities (Left to interpretation of the
         committee)

13. Best Office Bearer:

    i.   Awards Committee will propose names (Min 2 and Max 4) of office bearers who they
         think are capable of being the Best Office Bearer

    ii. Elections will be held for those students.

    iii. In case the difference of votes between first and second candidate is less than 5% of the
         voting population, then Awards Committee will decide the final BOB.



14. Special Contribution Award

    i.   The award may be given to a person who has made very significant contribution in an
         area that does not directly come under Cultural/ Sports/ Organizational. The contribution
         should have significant impact on the visibility of Hostel One at institute level or on the
         level of H1 inmates. Extraordinary contribution to a technical field/science/society can
         be considered for this category.

    ii. The interpretation of “significant Contribution” is left to the interpretation of the Award
        Committee

    iii. Any inmate presently staying in hostel is eligible.



Note: The rules and regulations for the hostel awards were updated during Council 2007-08 by
Mr. Ankit Jain (General Secretary, Council 2007-08) and Awards Committee members 2007-08:
