Overview
What is PaC Educator Gradebook?

PaC Educator Gradebook is an online district tool that allows teachers and
administrators to easily record and track the educational progress of each student in
their class. Grades and student progress can then be shared with parents and students
via Skyward’s Family and Student Access modules.



What can PaC Educator Gradebook do for me?

    Frees up more of your time for teaching versus paperwork.

    Student data is automatically available to you. No need to import or export data.

    Secures confidential student grades and progress data.

    Makes the entering, maintaining and communicating of student grades and
       progress information less tedious and time consuming.

    Assignment grades for a class of 75 students can be entered in 30 seconds or
       less with the “Quick Entry” grade option.

    Opens the lines of communication between teachers, parents, students and
       administrators.

    Attendance, emergency and general student information is readily available to
       you via the Gradebook module. You do not need to exit and open up a separate
       module to view these pieces of information.



How does PaC Educator Gradebook work?

      All of the preliminary setup is done at the district level so the
       system is ready to use when you walk into the classroom.

      Teachers login with a district appointed user name and password.

      Select the class(es) they want to work with.

      Add assignment dates for homework, projects, quizzes, ect.

      Enter scores for the students once the assignments are completed.

                          Getting Started



Logging In

   1. Click on the link or shortcut that starts your Skyward Gradebook. The Login
      screen appears.


   2. Enter your Login.

      Note: In most cases your user name will be the first five letters of your last
            name and the first three letters of your first name followed by 000 (three
            zeros). If this does not work please see your district security
            administrator to obtain your user name.


   3. Enter your Password. The password is setup in PaC under Security by the
      system administrator. You can change your password while logging into PaC,
      after you have logged into Java Educator Access or you can contact the system
      administrator to change your password through Security.


   4. Click Login.


   5. Click the Gradebook button on the left-hand side of your screen.

                                   Classes




Selecting Classes

   1. Login to the system (see page 2).


   2. A list of your classes will automatically display on the screen. Select the class
      you want to work with.




   3. To work with a different class, click the Classes button and select another class
      from the display list. A check mark appears to the left of the class you are
      currently working with.

Class/Student Display Options


These options display in the lower left-hand corner of the selected class display screen.
These options allow you to alter the order and appearance of the student’s names on the
screen.


 Name – Allows you to display or not display the student’s names on the screen. The
 option can be used to ensure student confidentiality as needed, i.e. when there are too
 many “eyes” near the computer.


 G (Group) – Evenly spaces the displayed names or separate names with only a single
 space between the first and last names. This option allows you more display room for
 students with longer names.


 First – Allows the order of the names on the screen to be sorted by first name. To
 change the order of the names click on the First button. If the button is sunken in and
 has a darker shade to it that indicates the order of the students names are listed by
 first name, last name.


 Last – Allows the order of the names on the screen to be sorted by last name. To
 change the order of the names click on the Last button. If the button is sunken in and
 has a darker shade to it that indicates the order of the students names are listed by
 last name, first name.


 ID – Displays the student’s ID number. For confidentiality reason you may wish to only
 display student ID numbers.

                              Assignments




Adding Assignments
   1. Login to the system (see page 2) and select the class you want to work with (see
      page 3).


   2. From the class display screen click the Assignments button.




   3. Click Add.


   4. Select one of the assignment category codes listed. Note - The assignment
      category codes are maintained by the school office personnel. Example:
      Homework, Participation, Quiz, etc.

   5. Complete the Assignment information screen:




      a. Enter a Description of the selected assignment for the selected category.
         Example: Chapter 1 Test, Pages 10 – 12 Evens, Etc.

      b. Assignment Group (reserved for future use) – It will allow you to group
         assignments together for reporting purposes.

      c. Assign Date – This is the date the assignment was given to the students. It
         defaults to the current date.

      d. Proposed Due Date – The date you anticipate the assignment will be due.

      e. Actual Due Date – The final date the assignment is due.

      f.   Max Score – This is the highest possible score students can receive for the
           assignment.

      g. Weight Multiplier – allows you to make an assignment have a greater, lesser
         or equal value to the other assignments for the class within the category.

Adding Assignments Continued…

   6. Click the appropriate box(es) if you want to post the assignment information to
      Family and/or Student Access. Doing so makes the assignment information
      available for inquiry by parents and students via the districts Family and Student
      Access pages.


   7. Click OK.


   8. A list of your additional classes (if applicable) appears on the screen. Check the
      box to the left of any class(es) that will be using the same assignment
      information.




   9. Click OK. A message appears indicating that the assignment has been
      successfully added. If you would like to add another assignment click YES and
      repeat steps 5 - 9. If you have finished adding assignments click NO.

Cloning Assignments through the Assignments Button

   1. Login to the system (see page 2) and select the class you want to work with (see
      page 3).


   2. From the class display screen click the Assignments button.




   3. Click List Assignments.


   4. A list of the class assignments displays on the screen. Highlight the assignment
      you want to clone to another class and click Clone.




   5. Modify the assignment information as needed and click OK.

   6. A list of classes displays on the screen. Click the class(es) to which you want to
      clone the assignment information.


   7. Click OK. An information box appears to let you know the assignment
      information has been successfully cloned. To create another assignment click

Deleting an Assignment through an Assignment
   1. Login to the system (see page 2) and select the class you want to work with (see
      page 3).


   2. From the class display screen click on the Assignment you want to delete.




   3. A screen with the assignment information will appear, click Delete.




   4. A message box appears to confirm that you want to permanently remove the
      assignment. Click YES.

Entering Comments through an Assignment

   1. Login to the system (see page 2) and select the class you want to work with (see
      page 3).


   2. From the class display screen locate and click on the Assignment to enter
      comments.




   3. A box with the assignment information will appear, click Show Comments.




   4. The assignment column will expand and display an area to enter a comment for
      each student. The comment will hold up to 30 characters.

   5. When all comments have been entered, to close the comment area, click on the
      assignment to bring up the assignment information screen.


   6. Click Show Comments. A black border will surround the score cell for students
      that have comments.


Entering a Comment through an Individual Score Cell
   1. Login to the system (see page 2) and select a class to work with (see page 3).


   2. Go to the student you want to add a comment to and then select the score cell
      for the assignment the comment will be added to. Double click the cell.


   3. A screen will appear with the student’s name and assignment information, under
      New Comment, enter a comment for the assignment on this student.




   4. Click OK.


   5. Click Close.

Entering a Comment through Quick Grade Entry using the
Assignments Button
   1. Login to the system (see page 2) and select a class to work with (see page 3).


   2. From the class display screen click the Assignments button and select List
      Assignments.


   3. A list of the class assignments displays on the screen. Highlight the assignment
      you want to add comments to for the students and click Quick Grd.




   4. On the Quick Entry screen next to the score is a Comment area that will allow
      you to enter individual comments for each student.




   5. When all comments have been entered click Close.


   6. Click Close again on the Assignments listing screen.

Entering a Comment through Quick Grade Entry by Selecting an
Assignment
   1. Login to the system (see page 2) and select a class to work with (see page 3).


   2. From the class display screen click on the Assignment you want to add
      comments to.




   3. Click Quick Grade Entry.




   4. On the Quick Entry screen, next to the score is a Comment area that will allow
      you to enter individual comments for each student.




   5. When all comments have been entered click Close.

Entering Comments through Batch Score Entry
   1. Login to the system (see page 2) and select a class to work with (see page 3).


   2. From the class display screen click on the Assignment you want to add
      comments to.




   3. Click Batch Score Entry.




   4. Enter a Comment for all students or only particular students at this time.




   5. When all comments have been entered, click OK.

Assignment Details Report through the Assignments button
   1. Login to the system (see page 2) and select the class you want to work with (see
      page 3).


   2. From the class display screen click the Assignments button.


   3. Click List Assignments.


   4. A list of the class assignments displays on the screen. Highlight the class you
      want to run the report on and click Report.


   5. Indicate the options you want to print on the report. To select or deselect, click
      your mouse in the check box next to the option.


   6. Click Run Report.


Assignment Details Report through an Assignment
   1. Login to the system (see page 2) and select the class you want to work with (see
      page 3).


   2. From the class display screen select the Assignment you want to run a report for.


   3. Click Reports.


   4. Select Assignment Details Report.


   5. Indicate the options you want to print on the report. To select or deselect, click
      your mouse in the check box next to the option.


   6. Click Run Report.

                                  Grades


Entering Grades from the Main Gradebook Screen

   1. Login to the system (see page 2) and select the class you want to work with (see
      page 3).


   2. Locate the assignment column in which you want to enter grades. Note: To
      identify the assignments, move the cursor slowly over the assignment header.


   3. Locate the student you want to grade. Click in the corresponding box under the
      desired assignment column.


   4. Enter the student’s grade and press the enter key on your keyboard to move
      down to the next student or click in the corresponding grade box of any student
      to continue entering grades. Note: An asterisk indicates that a grade has not yet
      been entered.


   5. When grades are entered into the Gradebook the cumulative grade will appear
      under the appropriate Grading Period. You can click the A+ button to change the
      view from Grade Mark to the students’ percentage. If you click the button again it
      will give the students score out of the total points possible. Click the button one
      last time and you will be back to displaying the students Grade Mark.

Button

   1. Login to the system (see page 2) and select the class you want to work with (see
      page 3).


   2. From the class display screen click the Assignments button.


   3. Click List Assignments.


   4. Highlight the assignment to grade and click Quick Grd.


   5. Begin entering the student’s name in the Student Search field. As you type the
      cursor goes to the first student that matches the letters entered. Note: Names
      display in the same order they appeared on the previous class display screen.


   6. When the correct student is highlighted enter the student’s score.


   7. After the score is entered, start typing the name of the next student and enter
      his/her score. If you hit the Tab key it will move you across to the next student
      from right to left, if you hit the Enter key it will move you down to the next student.


   8. When all of the scores are entered for the assignment check the Order Scores
      Were Entered box to view the grades in the order they were entered. Note: This
      option works well when entering grades for assignments that are not in
      alphabetical order.




   9. After reviewing the scores click Close.

Entering Grades Using Quick Entry through an Individual
Grading Cell

   1. Login to the system (see page 2) and select the class you want to work with (see
      page 3).


   2. From the class display screen double click in a grading cell for the assignment
      you want to enter grades for.


   3. Click Q-Grade.




   4. Begin entering the student’s name in the Student Search field. As you type the
      cursor goes to the first student that matches the letters entered. Note: Names
      display in the same order they appeared on the previous class display screen.


   5. When the correct student is highlighted enter the student’s score.


   6. After the score is entered, start typing the name of the next student and enter
      his/her score.


   7. When all of the scores are entered for the assignment check the Order Scores
      Were Entered box to view the grades in the order they were entered. Note: This
      option works well when entering grades for assignments that are not in
      alphabetical order.


   8. After reviewing the scores click Close.

Mass Assign Scores through an Assignment

   1. Login to the system (see page 2) and select the class you want to work with (see
      page 3).


   2. Click on the assignment you want to grade.


   3. A screen with the assignment information appears, click Mass Assign Score.




   4. Enter the score that is to be assigned to all students.




         Assign All Scores – This option will mass assign the score entered to all
          students for the assignment.
         Adjust All Scores – This option will adjust all scores by the amount entered.
         Remove All Score – This option will mass delete all the current scores for the
          assignment.


   5. Click OK.


   6. A question box appears, “Would you like to overwrite existing Scores?”. Click
      YES to overwrite previously entered scores for the selected assignment or click
      NO to retain previously entered grades.

Batch Score Entry through the Assignments Button
The Batch Score Entry process enables quick entry of grades, special grades and
comments for an assignment. The scores are updated to the PaC system after the
entire batch is entered and sent.

   1. Login to the system (see page 2) and select the class you want to work with (see
      page 3).


   2. From the class display screen click the Assignments button.


   3. Click List Assignments.


   4. Highlight the assignment you want to enter scores for and click Batch.


   5. For each student you can enter their Score, Special Code, indicate if the
      assignment is No Count or Missing and a Comment for the assignment. Special
      Codes are setup by the district administrator in PaC. If you enter a Special Code
      (i.e. MIS = Missing, NHI – Not Handed In) for a student, the code will display in
      the score cell rather than the student’s score on the main screen. This code will
      also appear on the assignments reports.




   6. When all of the information is entered, click OK.


   7. Repeat steps 4 – 6 if you need to enter information for another assignment, but if
      you are done at this time click Close.

Mark Score as No Count
This option allows you to take a student’s score (lowest or any) and not have it count
towards the student’s grade in the class.

   1. Login to the system (see page 2) and select the class you want to work with (see
      page 3).


   2. Locate the score for the student that will not count towards the student’s grade
      and double click inside the box.


   3. A screen will appear with the student’s name, assignment information and the
      grade the student currently has for the assignment.




   4. Under New Score, leave the score as is or enter a new score and select the box
      next to “No Count.” This will indicate to the system that this score will not count
      when calculating the student’s grade. Enter a Special Code for the assignment,
      if applicable; these codes are setup by the district in the PaC system. If you
      enter a Special Code (i.e. MIS = Missing, NHI – Not Handed In) for a student, the
      code will display in the score cell rather than the student’s score on the main
      screen. This code will also appear on the assignments reports. Check the box
      next to Count as Missing if you want the scored assignment to appear on the
      Missing Assignments report. Enter a New Comment if applicable.


   5. Click OK to save the information.


   6. Click Close to go back to the main class screen. The score that was marked as
      ‘No Count’ will be in a colored font and the background of the cell will be grey, so
      you can visually see the score will not count in the student’s grade.

Semester Column – Options Button
The Options button on each semester column has two selections: Change Grade Period Display
Options and Change Semester Score Calculations. The Change Grade Period Display allows
you to select which Grading Periods you want to display on the screen. If you only want to see
the current grading period, you can hide the others by deselecting the checkboxes for Display
Assignments and Display Grade Period. This option is available under the Options button on all
terms and semesters.

The Change Semester Score Calculations option allows you to indicate how you want the
Semester grade to be calculated, by using Weighted Term Grades or the Cumulative
Assignment Scores. These options are only available on the semester column.

The Weighted Term Grades option allows you to setup the percentages that each term and
semester exam (if applicable) is worth to figure the final semester grade for the class. For more
information about this option and how to set it up please refer to page 28.

The Cumulative Assignment Scores option allows you to figure the students’ Semester grade
based on all assignments for the terms in the assignment without taking into account any
formula/percentages for the terms. For more information about this option and how to set it up
please refer to page 29.

Setup for Semester Grade Calculation Using Weighted Term Grades
This option will allow you to setup the percentages that each term and semester exam is
worth to figure the final semester grade for the class. A Semester Exam grade bucket
must be setup in the PaC system for users to have access to this capability. If the
Semester Exam grade buckets are not properly setup, then you will not be able to use
this feature.

   1. Login to the system (see page 2) and select the class you want to work with (see
      page 3).


   2. On the Semester Exam column, click Options and select Change Exam Score
      Settings.




   3. Enter the Max Score for the exam and you can leave the Weight set to 1.0.


   4. Click OK.


   5. On the Semester column, click Options and select Change Semester Score
      Calculations.




   6. Under Options, check the box next to Weighted Term Grades.


   7. Under Formula for Sem # enter the percentages each term and the semester
      exam is worth when figuring the semester grade.

Setup for Semester Grade Calculation Using Cumulative
Assignment Scores
This option will allow you to figure the students Semester grade based on all
assignments for the terms in the semester without taking into account any
formula/percentages for the terms. Therefore, if the formula for figuring the Semester 1
grade is Term 1 = 40%, Term 2 = 40% and Semester Exam = 20%, instead of figuring
the grades using the percentages it will take all of the scores for all the assignments
during the semester and calculate the grade.

   1. Login to the system (see page 2) and select the class you want to work with (see
      page3).


   2. On the Semester column, click Options and select Change Semester Score
      Calculations.



   3. Under Options, check the box next to Cumulative Assignment Scores.




   4. Under Options, check the box next to Cumulative Assignment Scores.


   5. Under Cumulative Date Range, enter the Start and End Dates for the scores to
      use. The Grading Period beginning and ending dates will default, change if
      necessary.


   6. Under Formula for Sem # enter the percentage for the Cumulative Assignment
      Score and Exam (if applicable but not required).


   7. Click OK.

                               Attendance




Entering Attendance

   1. Login to the system (see page 2) and select the class you want to work with (see
      page 3).


   2. From the class display screen click the Attendance button.




   3. Click Open Seating Chart. A seating chart similar to the following appears.




   4. Click the pull down menu (▼) to indicate if a student is absent or tardy.


   5. Click Close when you are done entering attendance.

   6. When you are back on the class display screen, the students you have marked
      as Absent or Tardy will be shown on the screen. The box next to “Attendance
      has been taken” will automatically be checked for you once attendance is taken.
      Note: To view absent types and reasons click Types or Reasons from the
      Attendance pull-down menu.




Modify Student Attendance
If attendance as been taken for the current date and you need to update it, you can
simply click in the attendance cell next to the student and select the new attendance
code for the student. This will update their attendance in the class for the day.

   1. Login to the systems (see page 2) and select the class you want to work with
      (see page 3).


   2. From the class display screen click in the attendance cell for the student you
      want to update.


   3. A list of absence types available through the web will display on the screen,
      select the code you want to use to update the student’s attendance.

Student Inquiry Options




When you click on a student with your mouse, a menu will display with some individual
student selections. These options are for the individual student and will only display
information for that student.

   Student Information

   Student Profile – Displays student demographic information.

   Schedule – Displays current year schedule information.

   Attendance – Displays attendance history records for all periods of the day, this is
   not class specific.

   Emergency Contact – Displays emergency contact information for the student.

   Test Scores – Displays test score information for the student.

   MARSS/ASI – Displays state information entered on the student’s State/NCLB tab.

   Course Add/Drop – Displays scheduling transactions made for the student.

   Inquiry and Display Options Continued…



   Reports (Individual Student)

   All Assignments Report – This is a report of all the assignments for the class and
   the scores the student received.

   Completed Assignment Report – This report will list all of the assignments the
   student has completed and the grade they received.

   Missing Assignments Report – This is a report of all assignments not graded for
   the class and considered a ‘missed’ assignment. For an assignment to be included
   on this report the assignment must be required and today is past the assignment due
   date.

   Progress Report – Detail – This report is used to send to the parents to show how
   the student is doing in the class. It breaks down the categories and the assignments
   under each category, the students score and grade for the assignment as well as the
   percentage each category is worth to come up with the current percentage and
   grade for the student.

   Progress Report – Multi Class – This report will print the category summary
   information, total percent and grade for the student for each class the student has.


   Options (Display)

   Single Student Display – This will display the individual student on the screen and
   hide the remaining of the class. Can be used to have students view their current
   grade.

Categories


The Categories button is used as a reference to view the categories that are setup for
the class. The Categories are setup in PaC by the system administrator and their weight
towards the grade. You do not need to use all of the categories for the class. If for
some reason you do create assignments for a category, instead of 100% weight for the
class it will be out of percentages minus the one category so the other categories still
carry the same weight.
Below the Categories button is an option called, Category Setup. With the district
administrator’s approval teachers have the option to update the categories for the class
and indicate the categories you want to use and assign percentages to them. You will
also be able to indicate the Score Method, if you want to use total points or base the
score on percents assigned to the categories. You can not remove a category if scores
have been assigned to it; you can only adjust the percentage.


   1. Login to the system (see page 2) and select the class you want to work with (see
      page 3).


   2. From the class display screen click the Categories button to view the list of
      assignment categories created by the district and available for use.


Category Setup
   1. Login to the system (see page 2) and select the class you want to work with (see
      page 3).


   2. From the class display screen click the Categories button.


   3. Select Category Setup.


   4. Update the information to the categories for the class and select the Score
      Method, use total points or base score on percentages assigned to categories.
      At the bottom of the screen will be a list of classes the changes will affect.


   5. When all changes have been made click OK.

Grading Codes


The Grading Codes button may be used to reference the grades a student may receive
in a class. In addition to the grade the low and high values for the grade are displayed.
The grades and their values are setup in PaC by the system administrator. With District
Administrator approval teachers will be allowed to modify the Grading Scale low and
high values.


   1. Login to the system (see page 2) and select the class you want to work with (see
      page 3).


   2. From the class display screen click the Grading Codes button to view the list of
      assignment categories created by the district and available for use.


Grading Codes Setup
This option allows you to modify the Grading scale by changing the high and low values
for the grades.

   1. Login to the system (see page 2) and select the class you want to work with (see
      page 3).


   2. From the class display screen click the Grading Codes button.


   3. Select Grading Codes Setup.


   4. Update the high and low grades values for the necessary grade mark(s). At the
      bottom of the screen will be a list of classes the changes will affect.


   5. When all changes have been made click OK.

Reports


The Reports button is used to generate assignment reports for the current class. The
reports will print each individual student on a separate page so you can see his/her
progress in the class. Reports will only print students enrolled in the class for the range
of the report. For example, if a student is enrolled in second semester only for a year
long class and a report is run for Term 1, the second semester student will not display on
this report.

All Assignments Report – This is a report of all the assignments for the class and the
scores the student received.

Completed Assignment Report – This report will list all of the assignments the student
has completed and the grade they received.

Missing Assignments Report – This is a report of all assignments not graded for the
class and considered a ‘missed’ assignment. For an assignment to be included on this
report the assignment must be required and today is past the assignment due date.

Progress Report Detail – This report is used to send to the parents to show how the
student is doing in the class. It breaks down the categories and shows the percentage
each category is worth to come up with the current percentage and grade for the
student. When printing the report by class, if a student does not have any graded
assignments the Category Summary will properly reflect that.

Progress Report Summary – This report is a simple straight forward report that gives
you a list of students in the class, their percentages and current grade in the class.

Progress Report – Multi Class – This report will print the category summary
information, total percent and grade for each student for each class they have. As an
example, a teacher has 5th grade, which is divided into a separate class for each subject;
each student will print only 1 or 2 pages with the class summary for all classes on those
pages.

Grade Sheet Report – This report will print the assignments and their scores in a grid
similar to that of the main Gradebook screen for the selected term.

Export Scores to Excel – This option will export all of the assignments, students and
scores into an Excel spreadsheet.

The Assignment Details Report is run for individual assignments and can be found under
the Assignment button/area, please refer to page 15 for more information.

Post Grades


This option allows you to enter term grade information from the Gradebook into the PaC
system.

   1. Login to the system (see page 2) and select the class you want to work with (see
      page 3).


   2. From the top row of buttons, click Post Grades.


   3. Select the Term. Only the current term will accessible.




   4. The grades for the term will display on the screen, but can not be accessed to
      change.




   5. Enter Comments for the student by using the comment codes provided when you
      click the Options button and select Codes. It will default to the Grade codes;
      therefore you will need to click Comments.


   6. When the comments have been entered, click Close.

Defaults


This area allows you to indicate what options you want to use when you are in the
Gradebook. You can enter a default maximum score so when adding assignment, the
score will default to what is entered, select the grading periods to display in the
gradebook or you can select to show dropped students in the Gradebook.

   1. Login to the system (see page 2) and select the class you want to work with (see
      page 3).


   2. From the top row of buttons, click Defaults.


   3. Select the options you want to use:

       a. Maximum Score Default – This option will default the score entered as the
          assignments Max Score when adding a new assignment to the class.

       b. Grading Period Options – This option allows you to indicate for which term(s)
          you want to display or hide the assignments and grade period in the
          gradebook. The current grading period can not be hidden and it will be
          grayed out so you can not modify it.

       c. Show Dropped Students – This will display students that have dropped the
          class along with grades they have received on assignments.

       d. Font Size Small (default) – This will display the gradebook in a smaller font
          on the screen.

       e. Font Size Large – This will display the gradebook in a larger font on the
          screen.
