Fixed Term for One Year
This post in the Faculty of Health, Life & Social Sciences requires the post holder to
take responsibility for providing effective administrative support for a range activities
in the newly established Centre for Bespoke Educational Services.
You should be educated to HND level or equivalent and have prior administrative
experience, preferably in further or higher education. In addition excellent
interpersonal, communication and organisational skills are required together with the
ability to work on your own initiative, under pressure and to meet deadlines.
Experience of IT, especially spreadsheets and databases is essential and some
Committee Servicing experience would be an advantage.

The University
Napier University bears the name of one of the most illustrious Scots, John Napier of
Merchiston, the sixteenth century philosopher and mathematician. He is probably
best known as the inventor of logarithms, a major advance in the history of
mathematics. He was born in Merchiston Tower, now an integral working part of one
of the University’s three main campuses: Merchiston, Craiglockhart, and Craighouse.
In just three decades, Napier University has been transformed from a fine
polytechnic into a major Scottish University, complete with its new campus at
Craighouse, which combines magnificent historical buildings with beautifully
landscaped grounds.
The University’s location in Scotland’s capital city Edinburgh, a major international
and financial centre, and its proximity to Scotland’s industrial heartland, has enabled
it to collaborate closely with commerce and industry and to provide students with the
chance to integrate study and work experience. The city has a huge student
population and is a wonderful place to study.
Napier is now one of the largest higher education establishments in Scotland with
over 13,500 students offering in the region of 150 Undergraduate and 120
Postgraduate courses, with a staffing complement of more than 1,500.
The Faculty
The Faculty of Health, Life & Social Sciences offers an exciting range of programmes
at diploma, degree, honours, masters and doctorate levels in a wide range of
disciplines. The Faculty offers a vibrant and challenging academic environment and
provides leading edge education and research.
Research activity within the Faculty encompasses many disciplines and the research
culture within the entire Faculty continues to grow year on year, as evidenced by the
number and quality of articles published, research grants awarded and excellent peer
esteem in which our researchers are regarded.
The Faculty has strong links with the National Health Service; other clinical
environments; social work; charities and voluntary agencies; and strong, emerging
Community Health partnerships.
The Faculty is split into three Schools, supported by a Faculty administrative team.
The School of Life Sciences, based at Merchiston campus, offers an exciting and
active academic environment with a diverse range of opportunities for research and
study. Research and teaching interests in the School cover a wide spectrum of the
biological and life sciences, sport and exercise science, and herbal medicine.
The School of Nursing, Midwifery and Social Care is based over two main campuses
(Canaan Lane and Comely Bank), and offers an extensive range of nursing and
midwifery programmes at pre-registration, post-registration, and Masters level. Also
on offer are a number of programmes which contribute to the increasing Educational
Development of the nursing profession with graduates gaining a recordable teaching
qualification with the Nursing & Midwifery Council.
The School of Health & Social Sciences is based over two main campuses
(Craighouse and Canaan Lane) and offers undergraduate programmes in the
disciplines of Complementary Therapies, Psychology and Sociology. A successful
postgraduate programme in Careers Guidance is also available. External
contributions are made from cultural studies, history and geography to create an
academic environment which enhances the cross-fertilisation of ideas, research and
experience.
The Faculty administrative support is based over all of the campuses at which the
faculty has a presence. It supports School, student, module and programme focused
activities, whilst also underpinning the organization of nursing & midwifery student
placements and cross-Faculty quality enhancement. The team also supports the
activities of senior faculty staff based within the Dean’s office, including the Dean and
three Associate Deans.
Centre for Bespoke Educational Services
This project administrator post is being established to support the newly established
Centre for Bespoke Educational Services, an exciting initiative within the Faculty,
which is at the heart of the implementation of the strategy for growth outlined within
the Faculty Plan (Realising Our Potential).
The vision for the CBES is that it will act as an integrated centre for the Faculty’s
Continuing Professional Development (CPD) activity. It will act as the driver for the
development of innovative part-time training courses and programmes which will
allow nurses, scientists, and professionals allied to health sciences to be able to
expand their skills set through the delivery of high quality on-line, blended or taught
quality assured materials in a timescale which meets their needs. Some of these
courses will be short and intensive whilst others will be longer-term in nature and
lead to accredited qualifications. The work of the Centre will include developing
activities in the domestic market, whilst linking closely with colleagues leading
international developments for the Faculty and university.
For CBES to operate effectively the Centre will collaborate widely with the academic
staff within the Faculty, whilst also building strong links with the University’s
professional support services; pooling expertise, economies of scale and eliminating
any duplication of activities.
Canaan Lane
The post will be based at the University’s Canaan Lane Campus. Canaan Lane is a
small campus in Morningside on the south side of the city, a short walk from
Merchiston and easily accessible from the other main campuses and from the centre
of the city. Located in the grounds of one of Edinburgh’s hospitals this academic
campus accommodates the Dean’s Office for the Faculty of Health, Life & Social
Sciences,

Responsible to: Director of the FHLSS Centre for Bespoke Educational
Services (CBES)
Reporting through: Project Manager (CBES)
Purpose of Post: To provide a full administrative service within the Faculty of
Health, Life & Social Sciences. The main focus of this post
will be supporting CBES.
This is a generic administrative job description therefore the
range of duties to be undertaken will depend on the
individual circumstances pertaining to the particular location
and purpose of the post.
Main Duties and Responsibilities
Administrative:
- Provide a full confidential administrative service to the Faculty/School
- Provide first line of contact both internally and externally for the Faculty
- Act as a minute secretary at meetings, ad hoc groups and University sub-
committees. This will involve minute taking, preparation and distribution of
minutes and agendas
- Maintain appropriate databases and the University Student Management
Information System (NIMROD)
- Maintain files and records of activities both manual and PC based
- Manage financial matters for a designated area as required. This could
include dealing with purchase orders; purchasing card; web requisitioning;
and/or monitoring budget spend via the University’s financial system.
- Arrange meetings (room booking and hospitality) and make travel
arrangements for staff.
- Maintain and co-ordinate diaries
- Liaise with external agencies and visitors arranging travel, etc as required
for visits and/or events.
Academic and Student Support
- Provide support and advice to academic staff and students, dealing with a
wide variety of enquiries on course related issues on a day to day basis
- Responsible for meeting deadlines in respect of the administration of CPD
programmes
- Assist with Quality Enhancement procedures, providing administrative
support in relation to the scrutiny, validation and review of the Faculty’s
courses
- Support the collection, inputting and verification of assessment marks and
input Boards of Examiners decisions as required
- Support the collection and inputting of Elective and Option choices, class
lists and related information as required
- Support the distribution, collection and analysis of student questionnaires
- Collate, input, analyse and report on statistical data relating to student
performance, progression and retention
- Responsible for maintaining and updating CPD material e.g. programme
documentation, leaflets, student letters, student handbooks, annual reports
- Liaise with Programme Leaders in order to prepare statistical data in
relation to student performance, progression and retention and
complementary summary reports
General
- Assist with the University’s Award ceremonies
- Assist with the organisation of student open days
- Liaise and provide support across the Faculty if required
- Liaise with other Academic areas and Support Services
- Participate in any training and staff development considered necessary for
the post-holder including PDR
