                             Visual Art Sale
                      Friday May 11th – Sunday May 13th

Dear Artists,
It is my great pleasure to welcome you to the West End Community Centre’s
7th Annual Art In the City event! Please take the time to read the following
information package, as it will hopefully answer all of your questions. We have
made some positive changes to Art In The City – dictated by your input and
suggestions from last year.

Art In The City Registration Information:
Saturday, March 10th at 9:00am (in person at the West End Community Centre)
Sunday, March 11th at 10:00am (by phone 604-257-8333)
    Beginning on the time/day advertised, exhibition space will be sold on a
      first come, first serve basis.
    To purchase an exhibition space, a current WECC Membership must be
      shown or an additional fee of one dollar will be charged for a non-member.


Art In The City is proud to be a participant in this years West End Art
Krall organized by the West End Business Improvement Association
(WEBIA), and will be promoted through their program guide and appear
on their Art Krall map. In addition to this, the West End Community
Centre will advertise Art In The City with our own promotion campaign
that will include WECC recreation guide(s), newspaper ads, community
calendars and websites, social media, posters, postcards etc….

Event dates, times, set-up and take-down:
  For your convenience, artists may leave their booth/art set up overnight on
  Friday and Saturday if they wish. The arena will be locked and hired VIP
  security will be on site after the event each night. If you choose otherwise, all
  art must be taken home each night and set up again during arranged times.
  The West End Community Centre will not be responsible for lost, stolen or
  damaged items while on display at the art show and sale.

Set-up: 12:00pm – 7:00pm
Art In The City event: 7:00pm – 9:00pm (Opening Gala and Art Sale)
Take down: 9:00pm – 10:00pm

Saturday, May 12th
Set-up: 9:00am – 10:00am
Art In The City event: 10:00am – 4:30pm
Take down: 4:30pm – 5:00pm
Sunday, May 13th
Set-up: 9:00am – 10:00am
Art In The City event: 10:00am – 3:00pm
Take down: 3:00pm – 5:00pm

Opening Gala
*Friday, May 11th (7:00pm-9:00pm) will be the gala event and sale to launch Art
In The City! Each artist will invite their guests personally (you will be given
invitations when you register). In addition to your invited guests, the West End
Community Centre will also extend the invitation to dignitaries, media, the
business community, restaurants, banks, merchants, hotels etc to highlight
artists as an option for companies to purchase art for their establishments.

PDF files. As an artist at AITC, you can help promote the event and invite your
contacts to come and see your exhibition space as well as visit the other artists.
We can provide you with a PDF file of the official poster, postcards and invitations
for your facebook page, website and your contact lists.
The Art In The City promotional campaign will include the West End Community
Centre recreation guide, newspaper ads, community calendars and websites,
social media, posters, postcards etc…
Art In The City event program guide:
 Names of artists and their mediums will be listed in the event program guide
   and map, which will be handed out to all visitors at the entrance. Please know
   the name you have registered in/with will appear in this guide; unless you
   arrange for it to appear differently. Also confirm your art medium(s).

Art in the City will feature Visual Art items only. Visual Art items such as
photography, paintings, sculpture or drawings; all mediums welcome.
No pottery - This is NOT an opportunity to sell pottery such as mugs,
cups, plates, bowls...etc. The West End Community Centre offer a craft
fair every November that would be more suitable for these pottery items.
Note: sculpture is allowed.

    Wanting to meet the financial needs of all our community purchasing art
     work and to encourage sales for artist, we have agreed to accept giclee
     prints (as done in years past) that support your original art work. As artist,
     you have the option of selling only original art work, as well as giclee prints
     to accompany your original art work at your booth for a more affordable
     price point.
    Items must be original works of art by the artist, supporting giclee prints
     and cards are permitted. Please be discrete with selling cards, no large
    No Flea Market or Craft Fair items permitted (no jewelry, magnets,
     placemats, etc…).
    No commercially produced or imported items will be permitted, no resale
    As already stated, no pottery such as mugs, plates, bowls etc. Only
     sculpture will be permitted. Artists are welcome and encouraged to demo
     during the show.

Please note that the Community Centre reserves the right to ask an artist to remove
articles that do not comply with the above mentioned protocol and staff may also revoke
an individual’s privilege to participate in future Art Shows and/or Fairs for similar

The Centre will provide each artist with the following:
 a 10’ by 10’ space
 a 10’ x 8’ fencing back drop for every booth (blue wire Super-Save event fencing)
 2 chairs for each space
 1 – 3’ x 6’ table
 Advertisement & promotional materials
 Hired private VIP Security Company: on-site in arena overnight Friday and Saturday
 Gala Party

Cost: $73/individual exhibition space (one Artist)
      $93/shared exhibition space (2 or more Artists and/or an organization)
      (Additional $1.00 for non WECC members)

Helpful hints for your exhibition space:
   Use “S” hooks to hang art work off the wire fencing
   Cover the back of your fencing with black fabric (10 feet x 8 feet in size) to create
     a back-drop for your art
    If you want added light for your work, bring your own battery operated lights.
    There are only a few designated spots with electrical outlets, inquire when you
     register to confirm if you have access to “power”.

                         Additional Information and Overview:

   1. We have a limit of 50 spaces to be sold on a first come first serve basis.
   2. Booth numbers and location will be determined on a first come, first serve
      basis. Artists will choose a space according to a position on the map. The
      map of the space layout will be available at the time of registration.
   3. All artwork on display must be for sale. (We suggest that you bring enough
      work to adequately cover the 10’ by 8’ fencing at the back of your space.)
   4. Artists are welcome and encouraged to demo during the show.
   5. The artist takes home 100% of the sales (no commission fee).
   6. Refunds: The West End Community Centre must be given notice at least 7
      days in advance of the event for a full refund to be given for the space. If
      less than 7 days notice is given, no refund will be issued. No refund will be
      given if the space is not resold.
   7. Parking: Underground pay parking is available off Haro Street: The elevator
      may be used to bring your art to the main floor. For unloading purposes
      only and at your own risk- You may stop temporarily on Haro Street and
     use the side doors to enter (we recommend you have someone stay with
     your car as you quickly unload – this is a no stopping/parking zone.
     Warning: Parking tickets have been issued. The front doors are locked until
     9:00am on Saturday and 10:00am on Sunday when the Centre opens.
  8. You are welcome to decorate your space, provided that your arrangement
     does not infringe upon the area of the artists around you.
  9. Spaces must be cleaned up before leaving on Sunday. Please do not leave
     unsold items or garbage lying around. Garbage bins will be identified by the
     staff on duty.
  10.       The West End Community Centre is a shared, publicly funded
     community facility used by both families and individuals, and the use of the
     centre must reflect this fact. Users of the centre must comply with all
     applicable City of Vancouver by-laws and federal and provincial legislation,
     including the B.C. Human Rights Code, which prohibits discriminatory
     conduct that would expose persons or groups to hatred or contempt,
     therefore WECCA will remain sensitive to any art work that may be
     perceived as sexually explicit or inappropriate and reserves the right to
     determine the appropriateness of art displays.
  11.       As an artist you can accept cash for all sales (Cheques if you wish at
     your own risk).The Community Centre is willing to supply the use of a Visa,
     MasterCard, and debit machine (through our front registration office) to
     vendors that do not already have access their own. Vendors are responsible
     for submitting a sales record (supplied by us) at the end of each day. At
     the conclusion of the exhibition, your total will be calculated and a service
     charge (of 2.0%) will be deducted from your total for the use of the
     machines. A cheque will be mailed to you within 14 business days to the
     address you provided us on the top of the “Artist Transaction Records”.
     More information and details of this process will be provided to each artist
     in their artist welcome package on Friday, May 11th, 2012.
  12.       All vendors must be present for all 3 days during the hours of
     the exhibition hours. You may NOT pack up or leave earlier than the
     outlined and agreed upon exhibition hours.
