          Policy:   The BCAA maintains a regulations manual containing the policies and procedures that we use to operate the
                    society.




    Application     Each Board member will receive a full copy of the Regulations Manual. Policies are often developed by a
                    specific committee.Policies are presented by members of the Board to the Board for ratification and inclusion
                    into the Regulations Manual.




     Limitations    The Board of the BCAA should not run programs that are not included in the Regulations Manual.




Responsibilities    Committees develop policy.The Board of Directors ratify policy.It is the responsibility of the individual Board
                    member to keep his/her copy of the manual updated.




          Review:   The manual is reviewed annually by the Administration Vice President. Policies needing revision will be sent to
                    an appropriate committee for revision.


      Definition    A policy is defined as a principle adopted to guide the decisions of the BCAA. A procedure is defined as a series
                     of steps followed to put the policy into practice.Purpose of the Regulations Manual- to guide the day to day
                    operations of the society- to provide continuity in the delivery of programs to the membership - to empower the
                    Board of Directors and Committees to make the decisions necessary to run the programs for our society

      Definition   A value statement is a brief, clear statement describing the principles, standards or qualities which are the core
                   beliefs and convictions of the organization.We are involved in a healthy sport with family values and we adhere

         Policy:   The BCAA shall maintain a current constitution with by-laws that are in compliance with the laws as published
                   and monitored by the Registrar of Companies in the province of British Columbia.




    Application    Our society number is 5-7373The constitution is a governance document that states the purpose of the society.




     Limitations   We must maintain our status as a society in order to receive financial support from the Sport and Community
                   Development Branch.




Responsibilities   The Secretary is responsible to ensure that the policy is reviewed every planning cycle to keep it current and to
                   have it published in our regulations manual. The secretary reports changes to the by-laws to the Registrar of
                   Companies.




         Review:   The Board of the BCAA is responsible for reviewing the constitution and bylaws. The membership must ratify
                   changes to the by-laws.


      Definition   The constitution must state the governance and growth of the society. The by-laws must have provision for
                   dissolution and must contain a not for-profit clause.

          Policy:   The BCAA shall maintain an organizational flowchart that reflects our current lines of authority and decision

    Application     The flowchart will illustrate the relationship between the membership and the Board, where the members will first
                     contact Zone Directors with concerns or for information. The Zone Directors are in contact with the members of
                    the Executive Committee, who are responsible for the various committees that essentially do the work of the
                    society. The Job and task descriptions for all positions are included in the Regulations Manual.




     Limitations    The flow chart is meant only as a picture that can be read at a glance. Further information on the positions are
                    included in the Regulations Manual.
