The success of the 2009 Auction depends on the successful solicitation of donations. This
guideline sheet is intended to answer questions and provide guidance in soliciting donations.

What kind of items should I seek for donations?
All items should be new. Items that have been successful in past auctions include:
• Gift certificates
• Vacation/weekend rentals
• Tickets to Atlanta area events
• Karate lessons
• Professional Artwork
• Birthday parties and birthday cakes
• Memberships to museums, the zoo
• Theme basket of gift items
Don’t forget about your own abilities! Parents in the past have donated:
• Knitted sweaters
• Information Technology assistance such as wireless setup in your home
• Cooking dinner for four
What tends not to work as well?
• Professional services such as chiropractic and dental
How do I ask for a donation?
We have provided a letter on the website for you to use with a potential donor. It is often better to
ask in person and then provide the letter once the vendor expresses interest. Give the vendor an
idea about what you were looking for in terms of a donation and see what he/she thinks.
Remember, there are several other schools also doing auctions this spring, so it will be important
to help the vendors understand why a donation to The Clifton School is a good choice!
What should I do once they say yes?
Get all the information that you need to fill out the form and put it in the Auction box in the lobby
of either school as soon as possible. Remember, we’ll need some sort of picture for the catalog. If
it is a gift certificate, see if they have a menu (restaurant) or a logo that we could use. Make sure
that the vendor knows that The Clifton School Parent Council will be sending out receipts for tax
purposes after the Silent Auction.
What should I do with the item?
Arrange a time with the vendor to obtain the donated item. Any paper-type donations such as gift
certificates, tickets, vacation rentals can be dropped off in the lobby with your donation form at
any time. All other items should be dropped off in the lobby of either school beginning on March
2, 2009. All items must be dropped off at either campus by March 20, 2009. If you are able to
store the item in your home, please do that. Otherwise, let the vendor know that you will pick up
the item at a time closer to the auction. If the vendor wants you to pick up the item immediately
and you don’t have space to store it, please contact Seth so we can make other arrangements.
