I. OVERVIEW This spreadsheet lists all Cortex Customers that ACCOUNTS
are currently paying maintenance. It includes RECEIVABLE
the date their maintenance increased and the
amount they are currently paying by month.
This information is used to see, at a glance, how
much money Cortex should receive in
maintenance per month for a given year.

B. WHEN DO I The spreadsheet should be updated: ACCOUNTS

C. UPDATING THE Go into Quickbooks. ACCOUNTS
   ANNUAL MASTER RECEIVABLE
                     Select “Control T”.
   MAINTENANCE
SPREADSHEET BI- Print a copy of the list.
MONTHLY Verify that the amounts on the Excel
Spreadsheet match the amounts on the
Quickbooks printout. (Note that the customers
in Texas, Tennessee and Washington will have
slightly lower amounts in Excel because the
                     QuickBooks amount includes taxes. Don’t
change Excel amounts for these customers.)
If amounts do not match, update Excel
Spreadsheet to match the amounts in the
                     QuickBooks printout.
If you do not know the reason for the amounts
not matching, go into QuickBooks and select
the customer in question. Select “Customer
Register” and note the month and reason the
                     change occurred.
                     Record appropriate changes in Excel.
If there are customers on the Excel Spreadsheet
that are not on the printed list form
QuickBooks, go back into QuickBooks, select
the customer in question and see if we are billing
them annually or if they have cancelled
                     maintenance.
                     Record appropriate changes in Excel.
If customer has cancelled maintenance, cut them
from the Excel Spreadsheet and paste them
                     onto the “Old Customers” tab.
With the addition of SDS maintenance being
roughly 83.3% resale, please reduce the net
monthly income by the appropriate amount
that is paid out to AIE for those resale
items. Otherwise, the income figure will be
                     overstated.
