							Regular Board Meeting                                    February 8, 2010

ATTENDENCE:
    Jeff Ross, Bill Evans, John Denton, Chris Simms, Joe Connor,
    Steve McGowan.

ABSENT:
    Terry Porter, Sue Cash, Terry Howle.

GUESTS:
    Lisa Lauck, Bob Ezell, Tim Kopischke, Paul Holland.

CALL TO ORDER:
    Vice President John Denton called the meeting to order at 6:00 PM,
    Monday February 8, 2010.

MINUTES:
     The minutes were reviewed. Bill Evans: the only thing he saw was
that
     he was not here. Motion to accept January minutes was made by Joe
     Connor as amended, and second by Steve McGowan.
     Motion carried, minutes are approved.

TREASURER’S REPORT: Jeff Ross
    This is the format that you will be receiving each month that will
    show year to date column thru end of year. January was a pretty quiet
    month, all in all just the highlights; dues were up $7,600 because
    some members paid annually. Income we were $500 above budget,
    sales were down a little bit. Expenses were pretty quiet; we were
    $1,000 favorable on utilities. The only negative was on capitol. The
    only thing I’ve changed is the forecast on capitol is an increase of
    $30,000, $20,000 for the small stuff on pool and another $10,000 for
    the smoke eaters for the bar. The $20,000 should handle everything
    but the guttering for the pool. We have $97,800 in the bank, $49,600
    in the general fund and $48,200 in the trail fee account.

PRO SHOP: John Denton
       Everything is pretty quiet, there isn’t a lot going on there. We are
trying
       to keep their hours down, when there is no one here playing golf they
     are not here. Kevin is collecting fees such GHIN and trail fees, etc.
GOLF COURSE: Chris Simms
     Not much going on, they are getting equipment ready for the coming
     season. John: I had a question posed to me by a member about the
     clean-up going on over behind #2? Jeff: that is not the club, Darren
Hack
     asked if he could do it and we told him, since it’s not club property he
     could do it.

MEMBERSHIP: Bill Evans
       We have 20 new applications to vote on tonight, they are: Jeff Torbett,
       Nate Metzger, Steve Oliver, Kritt Allbritten, Greg English, Russ
       Bohannon, Dan Bailey, Michael Riley, Hollis Clark, Jessica Leigh
Sater,
       Ronnie Stroud, Dustin Crane, Michael Flood, Stephen Gallimore,
Chris
       Hrdlicka, Rob Caturano, Mark Nettles, Barry Swift, Kent Bohannon,
and
       Dale Walker wants to go back to regular from social. The vote was
taken
       and all were voted into the club. As of January 11th we had 434
members
       with 393 full members, we lost 2 members, this doesn’t count the 20
we
       voted on tonight. Of the 20 we voted on tonight 3 are swim/tennis
and
       the rest are regular memberships. Are these all on the auto draft?
Paul: if
       they don’t specify it on the application I’ll send them a letter and ask
that
       they send me a cancelled check and get them on the auto draft as we
do
       all new members. The no initiation fee has ended as of the 31st of
January
       so the fee has gone back to $750.00. Bill: as the chair of the
membership
       committee I move that we continue the $100.00 incentive for
members to
       bring in new members until February 28th. The motion was second by
       Steve. Motion passed.
HOUSE: Bill Evans
    As I read the minutes I recall a conversation I had with a member
    about a heater or the cold seats in the women’s restroom, my first act
    tomorrow will be to ask Roy and ask him to purchase a heater suitable
    for the restroom and it will be in there before the weekend.
    There was an email sent to board members about the hours of the
    club, Chris why don’t you take this because you were the first to
    respond. According to the email the two club members and their
    parents came out around 6 PM or a little before to watch the super
    bowl and the bar and the clubhouse was closed. Winter hours are
    until 9:00 PM and they should abide by the posted hours. Paul: may I
    interject that there was only $114.00 taken in that night but that does
    not give her there right to close and lock the building and go home
    early. That needs to be looked into and the bartenders told they have
    to abide by the posted hours.

EMPLOYEE POLICIES: Bill Evans
       Terry has asked about this in the past, but I have no copy of any
existing
       employee policies, so I guess the request by the president is that he
wants
       us to develop an employee manual, there has certainly been discussion
on
       job descriptions and duties. It is my hope to establish guidelines for
       our employees.

BUILDINGS AND GROUNDS: Bill Evans
    The last snow we had I think we survived fairly well we did end up
    closing the club early just for safety reasons. As it is snowing now we
    will have to make a decision in the morning about opening time
    for the club. Concerning the AT&T easement, Jeff: we got a check for
    $2,435.

SWIMMING POOL: Terry Howle
       Terry is not here; John said that we have not heard back from our
letter
       to the State. Jeff: we have heard from the letter indirectly, Dan Boaz
       talked to Charlie Ross and he called the man in Frankfort and we are
still
     waiting to get references on other pools that have used these
chemicals.
     Terry has gotten estimates on covering the pipes.

BAR: Joe Connor
     There was still discussion the price of drinks both well drinks and
     premium drinks.

MEN’S NIGHT: Joe Connor
     There was some more discussion on the bartender closing early.
     Started chili last Thursday night but no one knows that food is being
     served. We are either losing money on men’s night or the bartenders
are
     not ringing it up right. We need to let men know what kind of food is
     going to be served on men’s night. There needs to be more and better
     planning in respect to the food. Maybe take a poll from the men on
what
     they want and what kind of price they are willing to pay for food.
     Lots of discussion followed.


CHILDREN’S ACTIVITIES: Joe Connor
    There is nothing until Easter.

SOCIAL ACTIVITIES: John Denton
      This Saturday night is the adult Valentine’s Dance with Steve Bauer.
      The 19th is the Middle School Dance with Steve Bauer and Chase
Martin.
      The 27th we are going to have a Tailgate cook-off then Karaoke with
      Steve Bauer following the cook-off.
      Jeff: there was some discussion the other night about opening up part
of
      the course for sledding; the only thing I can see would be an issue
with
      our liability insurance. David said as long as they stay off the greens
      there wouldn’t be a problem.
      We might have Essy come out sometime next month and do cook-off
      night, we’ll have get in contact with him as to when he will free to
      come out.
TOURNAMENTS: Steve McGowan
    Nothing on the D&D or the Invitational yet, but for the couples Kevin
    said that Parker’s does the food for the tournament night and we will
    work on the band for the dance.

NOMINATING: Sue Cash
   Nothing.

GOLF HANDICAP: Steve McGowan
      We have ordered the new score cards and will be using the old ones
      until the new ones come in. Kevin is taking fees for GHIN and trail
fees.

SUMMER GOLF ACTIVITIES: Steve McGowan
   Nothing at this time.

TENNIS: Sue Cash
    Nothing at this time.

SNACK BAR: Joe Connor
    Nothing at this time.



CAPITOL INPROVEMENTS: Bill Evans
    Rick Sutton has worked on this smoke issue for about a year, he has
    gotten 4 estimates that range from $4,100 to $9,900. One of the bids
    was from Steve Warren and Rick felt his was an overkill for the club.
    The bid that Rick felt was the best for the club was from Brad Morris
of
    Air Quality Engineering and was $4,100, he explained the system to
    the board. My proposal is to contract with Brad Morris and purchase
    thru his company for the $4,100 with a guarantee. The motion was
    second by Steve. The motion carried.
    Jeff: I would also like to add that we spend the effort to have the rest
of
    the bar area cleaned, that smell is never going to go away.
    Bill: that is the second part of this and that is to have the walls and the
    surface areas cleaned.
    Chris: I had a member approach me about having a group of ladies to
      come in and do it and we would reimburse them.
      Jeff: I think this is too big a job.
      Bill: there is a company here in town that does this type of cleaning,
and
      I’ll more than happy to get prices from Service Pro, Forte, Ambers
      Cleaning.
      Jeff: what about the window man?
      Bill: has the window man not come out yet?
      Jeff: no one has seen him.
      Bill: we haven’t paid him yet either.

OLD BUSINESS
    The hearing on the land is still scheduled for March 22nd.
