First Time Users

Moodle is the College Virtual Learning Environment (VLE) and it is accessible
from within the College through the College Portal

From outside college you can access moodle by typing this weblink into your
web browser https://vle.ocvc.ac.uk/moodle

Oxford & Cherwell Valley College | Accessing Moodle 2
You will need to enter your username and password which will be exactly the
same as the ones you use to get onto your computer in College.

Once you have logged into Moodle you can click on any of the blue titles
under the Course Categories heading and you will see the individual courses
listed. Click on the course you want to see and, if it is your first time visiting
that course, you will receive a message asking if you want to enrol on the
course. This happens for both staff and students.

Click Yes on this and you will then be able to access any of the materials on
your chosen course.
Now that you have logged into a course you can then be given permissions to
edit the material. This has to be done through another member of your staff
team or your curriculum manager. Please see page14 to find out how to do
this.
If you want to add another member of staff, that person needs to log onto
Moodle first for it to recognise them and allow them editorial access.

                      Adding Courses to Moodle
Adding a new course to Moodle can only be done through the VLE Co-
ordinator Karen Williams. She will add a new course for you which you can
then edit and add content yourself.

Once Karen confirms your new course has been added to Moodle, you can
log in as above, access your chosen course and you will see an empty
Moodle course as shown below.

The page is split into 3 columns which you can rearrange as you like. Each of
the boxes you see above are called blocks.

Each block has a different function and can be edited to contain what you
need your students to access including links to websites, Word, Power Point,
pdf etc.

The blocks down the centre of the screen are known as topic blocks. These
are numbered 1 -52 representing each week of the year.

Oxford & Cherwell Valley College |Accessing Moodle 3
                        Understand the Symbols

To edit your newly created course, you need to turn on the edit function. Click
the ‘Turn Editing On’ button in the top right hand corner of the course page as
circled in the image on page 3.

You will now see new icons all over your course page. Each of these has a
function which is listed below:

This allows you to move the block to the right. There is also a left
          hand arrow too.

This allows you to move the block up and down. This can only
move up or down one block at a time.

This function allows you to edit the block you are in.

You can delete any particular block you don’t want.

The eye open means you are allowing students to see the block
and all its content. A closed eye can only be seen by tutors or
           administrators of Moodle.

Single person icon allows you to add a group to your block. More
than one person in the icon symbolises that you have a group
            already added.

This icon allows you to show only the one topic block it is in.

You can highlight one topic block as the content for that particular
            week.

This icon indicates a forum.

This allows you to assign roles to other staff member. This is shown
in more detail on page 14.

                             How to Edit Moodle
Now that you have your editing function on, you can edit all the blocks and
add new ones to your course.

Each block is edited in a very similar way, so only a few are mentioned to help
you get started.

Editing Topic Blocks

The first topic block doesn’t have a number shown but is known as topic 0.
This block is for you to add content about the course.

Example

(This page can be found on Moodle: ILT/Moodle Practice)

To add text to this block click on the editing icon in the top left hand
corner of that block. The following page will appear.

Oxford & Cherwell Valley College |Accessing Moodle 5
You can add your text in the box above and change the text as you wish. You
can also add links to other websites by using the hyperlink button.

The page shown below will appear, where you can add the URL (Website
address). When you click OK you will be sent back to the page above.

When you have completed your text, scroll down and click on Save Changes.
This will take you back to your course page.

Editing Other Blocks

With your editing still turned on, scroll down to the block on the right called
‘Blocks’. Using the drop down options, you can choose new blocks to add to
your course.

To add links to websites, use the HTML option. This will give you a new HTML
block, which you can edit using the edit icon. You can then give your new
block a name and add content.

The hyperlink to another website, use the information found on page 6.

                              Adding Resources
This is a two step process.

1. You must transfer your saved resources to the Moodle site. This is
done by scrolling down to the Administration block and clicking on files.

This will show the screen below. Click on ‘Upload a file’.

This will show the screen below. Browse through your own files and find the
resource you wish to add. Then upload your file.

It will then inform you that your upload was successful.

2. The second process is to add your resource to the course. First you
need to get back to your course by clicking on the breadcrumb circled above.
Your course title will be shown there.

Oxford & Cherwell Valley College |Accessing Moodle 8
In the topic blocks you will see a drop down box which says ‘add a resource’,
click on the ‘Link to a File or Website’.

This will show you a page where you can add information about the resource
and what you want your students to do with it.

To upload your file to your course, you need to click on the circled button
above.

This will open the page below where you will see your resource that you
uploaded to Moodle.

Do NOT click on the box to the left of the resource. To add it to your course
you click on Choose. This will take you back to the adding a new resource
page above.

Oxford & Cherwell Valley College |Accessing Moodle 9
You will now see your resource in the ‘Link to a file or website’ section.
You can also ask it to open your resource in another window by using the
drop down option in the window section.
Once you have selected everything you want, click save changes.

This page won’t tell you if it has been successful or not, so to get back to your
course, use the breadcrumbs as before.

You will now see your resource in your topic block.

You can also add activities, which again is a two stage process. You need to
upload your quiz, hot potatoes etc to Moodle as you did with the resources
and then click on the ‘add an activity’ on your course page. This will bring up a
list of options depending on the activity you wish to include.

Oxford & Cherwell Valley College |Accessing Moodle 10
                               Adding Forums

As you can see from the list of activities, you can also add forums where you
can create a topic of conversation and ask them to add their views.

To create a forum, click on the ‘add an activity’ drop down box and then select
forum.

If you are unsure what all the drop down boxes mean, click on the yellow
circled question mark beside them.

Oxford & Cherwell Valley College |Accessing Moodle 11
Once you have selected everything you need, click on ‘Save Changes’. It will
then ask you to add your new discussion topic before taking you to another
screen where you can add details about your forum.

This is where you pose your question to your students and post your forum.
You will then be shown everything you have chosen for your forum
before you us the breadcrumbs to head back to your course where you
will see your forum added to the topic block beside the forum icon.

Oxford & Cherwell Valley College |Accessing Moodle 12
                                 Settings
Within the Administration block you will find the word settings. This enables
you to add or remove topic blocks. This can be found below the summary and
is circled below.

You can also allow or deny students access your course by selecting the
option in the ‘Availablity’ section on this page.
If you do not know what each drop down option means, click on the yellow
circled question mark.
Click Save Changes and you will go back to your course page.

Oxford & Cherwell Valley College |Accessing Moodle 13
Adding another member of staff to a course
To add a new member of staff to a course so that they have editorial rights,
you need to be able to have editorial rights yourself.

You also need to make sure that the new tutor has logged onto Moodle at
least once before, so that it can recognise their name.

You then need to open up the course the new tutor is requesting access to
and go to the Administration block and click on Assign Roles.

You will then see a page listing the different roles you can assign.
Click on Teacher and the page below will appear.

You then add the person’s name to the search box and click search. Their
name will then appear in the right hand column. To grant them teacher access,
you need to highlight their name and then click on the arrow circled above to
move their name to the left hand column.
It will not change page so you will need to us the breadcrumb route again to
get back to your course.
