by means of a Franchise code. These franchise codes consist of two numerics and are unique to
the McCarthy Group:
Eg. 03 – Mercedes Benz
    08 – Toyota
    15 – BMW

The vehicle Model code relates to a specific vehicle within a model range.
Eg. BMW 318I Automatic Executive
    Toyota Run-X 160I RT

When new or used vehicles are brought into stock the correct model code must be selected to
ensure accuracy of invoicing and subsequent reporting and enquiry functions. The vehicle
stocking routines as well as stock search routines provide a search option which accesses
information held on the VMC.

The VSA transaction is used to check the availability and/or status of a specific vehicle within the
McCarthy Group. Searches can be done within the entire McCarthy Group, within a Division or
within a specific Company.

The price range, year model range and/or kilometers selections are primarily used by used
vehicle departments. It is however not always recommended to enter specific kilometer readings
or selling prices as the search is then restricted within these parameters and slight variations will
not be displayed.

telephone number where the vehicle is located, can be viewed by entering the line number of that
vehicle in the relevant field.

When an offer to purchase is captured, the user status and salesman fields are automatically
updated. Updating these fields before the offer to purchase is captured on the system is done via
the VMA routine.

The VME displays detailed information relevant to a vehicle, e.g. whether the vehicle is in stock or
sold, the cost price, the sales invoice number etc. Function keys are available to flip from this
screen to other more detailed enquiries e.g. the total value of all accessories fitted to a vehicle
will be displayed on the ‘VME’ screen, but by using the F6 key, these accessories are itemised.

The VXE displays all accessory and reconditioning items that have been loaded against a specific
vehicle via the VXR routine.

The supplier reference number column displays the order number until such time that the
creditors invoice is processed. As soon as this happens a value will be displayed in the ‘actual
value’ column. This value is always exclusive of VAT.

A ‘60’ in the supplier column is an indication that the order has been issued to the parts
department, ‘70’ to the service department and ‘08’ to an outside supplier.

If the vehicle has been transferred within the group and you wish to see all reconditioning and
accessory items which were processed by a company that is not the current holding
company, enter the company number in the "order company number" field on the input screen.

                                     VIC Invoicing routine

Step 1 - Information capture for Wholesale Trade-in vehicles
When completing the VIC routine in order to process a pro forma or tax invoice, it is compulsory to record the
vehicle information for all wholesale used vehicles traded in, as follows:

-        The VAL Number
-        The highest Trade Cover Price obtained
-        The covering Trade Dealers name

Step 2 - View and select suitable In transit wholesale vehicles
The VWL routine allows assigning of wholesale vehicles which can be selected and viewed on your desk top
using your own individual profile, for vehicles entered onto the system the previous day

Step 3 - Vehicle and stocking dealer information
By entering a ‘D’ opposite the selected suitable vehicle, more information is displayed together with the sales
managers office and cell phones numbers

Step 4 - Assign selected suitable In transit wholesale vehicles
After contacting the Sales Manager concerned to confirm the vehicle details, the vehicle can be assigned by
marking the assigned box provided, which then matches the listed price and assigns
the vehicle to the purchasing dealer. The assigned vehicle is then immediately removed from the In transit listing
and transferred to the purchasing dealers assigned vehicles In transit list

Step 5 - Keep track of In transit wholesale vehicles assigned to you
A ‘vehicles assigned’ routine is provided where you can enter the expected arrival date and when the vehicles
assigned listing is updated each day the earliest arrival date will appear at the top of your list. The tracking of
outstanding and received documentation can also be monitored on this routine

As soon as an offer to purchase has been completed it must be captured onto the system using
this routine, which will update the status and the salesman’s name on the stock master to
indicate that a sale is in progress on the vehicle. It is important to ensure that as much data as
possible is accurately entered, as this will enable the extraction of sales details which can be used
for follow up or future marketing statistics.

The drivers details and postal address must be accurately captured both for marketing purposes
and the after sales follow up system. If certain information is not readily available then it can be
entered at a later stage using the VDD routine. The VDD allows a cell phone number and fax
number to be captured which is printed on the VFU report.
The PF8 function key provides a selection of activities relevant to a particular customer. These
activities can be extracted at a later stage for marketing eg. invitations to launches, sporting
functions etc.

The VFU routine extracts a list of customers who have previously purchased vehicles from the
McCarthy Group. The VFU routine, however, provides this information in the form of a report, or
name and address labels which may be requested for use on envelopes when mailshots are to be
posted. The labels are printed overnight at Business Connexion Durban and sent to the
dealership the next day.
The most important parameter on the request screen is the "salesman" field. If the salesman
employee number is not entered then the report will print on the mainframe printer at Business
Connexion , due to the large number of records. This report will then be sent to the dealership. If
the salespersons employee number and the printer number are entered then printing will occur
overnight at the dealership on the printer specified. The following points must be considered when
inserting the request :-

1) Was the salesman working for the group at the time the model was available ?
2) If a start date and end date are entered, was the salesman working for the group during that
   period ?
3) If a model code and a start/end date are entered, was the salesman working for           the
   group within that period?
If the answer to any of these questions is "no", then the parameter input is invalid since no
records will be found satisfying the parameter conditions and the following message will be
printed:- "NO RECORDS EXTRACTED FOR THIS SELECTION CRITERIA'

The VFU also has the ability to download this information, and/or those customers having specific
and common extramural activities, to a PC on the TCP/IP network and merge it with a marketing
related letter in Microsoft Word. Please contact your nearest Liaison Centre for further
information.

If an email address, fax number and cell number have been captured on the VDD (Drivers
information) screen then these will print on the VFU report.
The email address and fax number have also been added to the download file.

When a used vehicle is brought into stock the system requires an indication of whether this
vehicle is to be sold as a retail or wholesale unit. Business Connexion provides McCarthy Call-a-
Car with a file on a daily basis detailing all ‘retail’ units which are subsequently advertised on the
internet. The file contains the dealership detail including the used vehicle sales manager name
held on the VCE routine. This detail enables Call-a-Car to communicate directly with the
dealership concerned should there be a potential customer.

Sales managers may also cancel the internet advertisement for a specific vehicle by means of this
function.

All used vehicles brought into stock as ‘wholesale’ deals are automatically advertised on the
Wholesale system and may be listed via the VWL routine. Once the required search parameters
have been captured the subsequent display will not include any wholesale vehicles within your
own company. This facility provides an opportunity for all other McCarthy dealers to source
vehicles within the group before they are sold to the trade.

The system will not allow a used vehicle to be invoiced to the trade unless it has been advertised
on the wholesale system for a minimum of 7 working days.

Franchise MD’s, Divisional MD’s and Dealer managers may override the 7 day window via the
VWX routine.

By placing the cursor alongside the required vehicle and pressing PF1, the selected vehicle detail
will be displayed. If the ‘transfer vehicle’ flag is amended to ‘Y’ then the vehicle will immediately
be moved from its current location to your company and a transfer document will be generated.
In addition an EML message will be sent to the sales manager appearing on the VCE screen as
well as to the person doing the transaction. If the system cannot find a sales manager employee
number on the VCE screen it will send this EML notification to the ‘advertiser’.

If a vehicle is transferred in error then Franchise MD’s, Divisional MD’s and Dealer managers may
reverse this by means of the VWR routine.

The Vehicle Invoicing System provides the facility to generate McCarthy Club entries at the point
of invoicing a NEW vehicle for Customer Types 04 (Fleet), 05 (Super Fleet), 06 (Hire Company)
& 09 (Export). The VIU routine has a field indicating whether the customer is to be given free
membership to the McCarthy Motor Club. The valid input to this field will either be ‘N’ (No) or ‘Y’
(Yes).

Please note that this will only affect dealerships that have made prior arrangements with Seelan
Govender regarding the automatic issuing of free memberships. Also, customer types 01
(Private), 02 (As is), 03 (Small Business), 07 (Quasi Gov) & 08 (Government) will not require this
field to be updated as these types will automatically create a McCarthy Club membership.

The Vehicle Invoicing routine also generates a free McCarthy Club membership for all Used
Vehicles sold for the above customer types.

Asset registers are distributed to all dealerships at month ends, however you can request an
online print out of the available parameters.

Most of the options are self explanatory except for the few mentioned below:-

The DIVISION code required is the one held on the company master of any dealership in your
division and can be obtained by using the CME routine.

To get the required printout:

    Key in the company number where the asset is held, or leave it blank and type DIV to obtain a
     divisional printout.

    Enter the asset prefix if a specific type of asset is required or eg. MD for demo vehicles.


    Print report, press F7 (help) and mark selected code with a “X” and enter.


    Enter the printer number where the print-out must print.


    Do you need the print-out in compressed format? Yes or No.


    Enter “X” alongside the required report.
