GWHS – Final debate and vote on Ncomputing: Approved
Ruben GWHS approved to make the purchase through GovConnection. If we
Baker approve, we need to set a standard of what this can and should be used for.
JFK HS is using Ncomputing in the counselor’s office already. It is a great
solution for: Library student stations, the Future Centers in the high schools,
counselor office, and in locations where web searching and word processing is
the primary function of the computers. Concerns about Warranty on the
product and staff development for site support need to be addressed.
Hardware issues on the Ncomputing box are generally not repaired but
replaced. There is a need to record this information in a format that those who
support the product have a resource to research solutions. April or May STR
session added to it for vendor to get information out to schools, either add
session or add this to Tech Fair.
The RFQ should include:
3 Ncomputing boxes and the PCI card kit.
Pricing for the PS2 and USB versions.

details on this session.

Stress replacement for defective parts, not repair, getting an
evaluation system for DoTS to learn on.

The vendor has a call center for support.
Install is done by us (Site support).
Software Licenses issue needs to be absolutely clear – check it
out on a per vendor basis.
Support announcement to STRs will be drafted by Kipp.
OK to order for Diana – DoTS would still like to know where
these are being ordered.
Dale Gaggle.net accounts using E-rate and Title IID funds have 60,000 accounts. We are Approved
Downing currently using 20,000 accounts for student email. Student Digital lockers are available
to all those who have Gaggle.net email account. Users need to know that they have to
re-upload the file not just save. Teachers are recommended to have students use the
date as a way to distinguish between versions. Digital lockers can be used across
several students to share the file. Sharing levels are set to stop the students currently at
District Publish level (so they can’t publish to the internet). Email is filtered and
flagged messages are routed through a human monitoring system, blocking the
messages and telling the student, teacher, and administrator the reason why it is
blocked. Attached images are also scanned for pornography. The teacher can go into
all of their student’s files and the student wouldn’t even know that the teacher had been
there. Students use profile pages to find other students’ files when sharing documents.
Our current license includes 75MBs of storage space for every user. ALHS is using the
digital lockers in their Science Department – Ron Sherwood. Montclair is using it for
student work. Policy on data retention: upload students from IC put in by graduation
year, when students graduate delete their account, during the summer “reserve” the
account so they can use it in the Fall, if the student is blocked 3 times they are moved to
“send to Admin” status only. Dale will check on pricing for more than. Students can
blog, create folders, and use message boards from teachers. Gaggle.net is CHIPA
Compliant. Students can log in from outside of the district. Teacher has the same
amount of storage as a student. Further information is needed about storage of
administrator information that needs to be kept confidential, but we are really looking at
this for students. Access is granted upon request. There isn’t a recall if the file is lost
or deleted by the student so there should be a disclaimer on the Gaggle.net page.
Kipp Discuss new Charter and Direction of TARC
Bentley / Co-chair Kipp and Bud. Information will be sent out to STRs about what our
Bud Bullard objectives are and what we are doing.
Proactive TARC:
At every meeting, have one group present about products or issues so that
there is a growing awareness about changing technology.
o Brainstorm who is presenting for the next meeting in case someone
has something more pressing.
After TARC approval, get the product information to Purchasing Dept. to get
an RFQ, so the District can leverage the best price possible.
o When things go out to bid they will be on the purchasing website,
which is in process of being redone and should include one page for
technology.
Get the information back out to schools.
o Use the Tuesday telegram, STR email, and website to push out the
information to the schools. Communications should break down the
information as to importance to elementary, secondary, and
departmental. Whichever method of communication is used, search
capability will be needed as this grows.

solution but raises the issue of ease of use.

Kipp Internal: Question in debate about managing to continue to do server consults
Bentley with both Network and Site Support. Past issues include: server setup,
(external – knowledge of OS, and limited team members to service, facilitate, and manage
Gaggle) our growth for storage. Internal solution could range upwards of 300 GB of
storage per student. New student accounts could be automatically created but
exiting students would have to be manually added. Some schools wipe all data
each summer. Student accounts managed by IC, password formats are still to
be determined, but not the requirement of the internal data storage. Cross-
platform access is also a consideration. Managing the accounts for students
would be difficult for DoTS.
External: Schools can use Gaggle.net for student email. Gaggle.net has some
filters, pyramid approach to the accountability, teacher sets up accounts for the
students – instructional aspects teacher to student or project orientated so that
student to student in other locations for collaboration. Human Monitoring
System to review email is provided by Gaggle.net. Schools control
interventions on unsafe items. We haven’t been encouraging schools to make
use of Blogs (again filtered). Gaggle district cost is about $20,000 (with E-rate
funds to support). 40,000 licenses currently purchased, but 25,000 in use
currently – can we drop it down annually if not being used? More storage
available for an additional price through Gaggle.net? Gaggle.net is
recommended for schools, not recommended for departments. To be effective
we have to have teacher involvement to get the accounts to the student, not
quite as easy for use.

Webcam Solutions: Matthew: Web-based solutions don’t require additional software, the second is a client install like
Skype. The client-based solution is the suggested choice. Skype, AIM, iChat on OSX, Windows Live Messenger, Yahoo
Messenger are being reviewed. There are security issues with Skype that are inherent to all chat solutions. Keep on agenda.
Low-cost computers: Greater communications needed. An offer was made for off-lease computers from a local distributor
which met the donation requirements but were not worth the value they were being offered for. The Dell outlet site is an
option, but they are out dated or cancelled orders– it is difficult when using the refurbished machine site needs to find 30
machines that are configured the same and then get the purchase completed. Dell refurbished site works like an auction site
that once the item is gone it is gone. Hardware Standards Committee Meeting on April 30 th in C1 at 1:00 these component-
by-component prices will be available for review for that meeting from Dell. Look at CFI’s as well, look at what Tony D
has done as far as imagining as well – Tony to send out information in advance of the meeting.
Mobile Audio Enhancement System: Pat joined us. Henry MS would like to buy a mobile audio enhancement system,
portable speaker that has IR. Is this something that needs to go before the Hardware standards committee – no. Support
from DoTS is already in place for this product. The hardware standards committee in the past has viewed and judged and
recommended the products but then there is nothing district wide that says this is the standard. Suggested that it be called a
classroom solution. Do we want to evaluate it? Not necessary.
The communication to schools and departments is that they should abide by the standards that are set by the Hardware
Standards Committee or come to TARC, in order to determine the appropriate support for the item. So this needs to be a
better communication coming from TARC, and the standards committee. There is not enough time to prepare this before
April 30th meeting, but work will continue over the summer and evaluate the products for a shoot out in the fall. Henry will
be a Pilot, other schools will not be allowed to purchase. There needs to be a discussion about where we draw the line.
