1 Introduction
A variety of online services are now available to students via the ’Student Web Services’ link on the
Student Registry website. When students click this link they will be asked to login using the CoSign
login system which they should be familiar with (they should use normal university username and
password here). When they’ve successfully logged in they will be taken to their personal ‘Online
Student Information’ page:




2 Student Web Services Student Help (staff access to student views)
    There is facility within LUSI for staff to link themselves to a student account thus enabling them
    to see exactly what that student sees in his / her personal Student Web Service area. If you
    have access to this facility you should see the two icons below in your LUSI Desktop window:




3 Web: Lusi Online
    a. Linking your account to a students

           Find students id number (I usually open up basic details and copy the id number)
           From LUSI Desktop double click the ‘Web: LUSI Online’ icon

      Click ‘Web Administration




      Select SWS Accounts




      Go to the ‘Update Account Link’ section
      Enter your username into the Windows Account box
      Enter the students id number into the next box




      Click Save

b. Search for existing links

      Enter your username into the search box
      Click the ‘Search’ button

   Details of currently linked accounts will appear in the window below. Please note, you cn
   only link you account ot one student at time in the live LUSI systems and all links are cleared
   nightly so a link made today will not still be linked tomorrow. The example shown in this
   document is taken from the LUSI Demo system where multiple links can be made.

4 Viewing a Student Web Service area
        From the LUSI desktop double click the Web: Student Services Icon (this replicates what
         the students do when they click the link on the Student Registry website).

        Login using your CoSign login details




        You should now see the Student Web Service home page for the linked student

5 Student Web Services Homepage
  This is an example of what a student will see when they login to their personal web services
  area:




  Some services are availale all year round and other services just at specific times of year. The
  screen shot above is an example of services available during the Summer term.


6 Services Available all the time
  These facilities are available all year round.


  a. Absence Notification
      Allows student to register their non attendance at University events such as lectures,
      seminars and tutorials.

      The student will see something similar to this:

b. Academic Timetable

  When a Student clicks the Academic timetable option this is what they see:




  They are then required to select the appropriate criteria and timetable style to ‘View
  Timetable’. This is a sample of what they may see when seelcting ‘Next Week’:

c. Address Details
  Allows students to update their home, termtime or next of kin address and their mobile
  phone number, email addresses and to register their wish to be excluded from the edited
  version of the Electoral Register.

  What the student will see:




  The student selects the link to update the relevant information. Students will not be able to
  make changes to their termtime address if they are living in University managed
  accommodation as this information feeds through automatically from the college and
  residence system.

      Students will not be able to make changes to their university email address however they
      will be able to give an additional personal email address.

7 Document Ordering
  When selecting this option students will see the following window:




  They can then choose to go to ‘Available Documents’, where they can place a new document
  order, or ‘My Document Orders’ to see the status of their previous orders.


  a. Available Documents

  Once the student clicks the ‘Available Documents’ link they’ll be taken to their personalised
  Document Ordering page. This page provides detailed information for using the site and then a
  grid listing all documents that are available to that student. Different documents are available
  to different students depending on their student category and residence category.

Ordering Documents
The ‘Sample’ link will allow students to view a sample of each document type so they can ensure
they’re requesting the correct document for their needs.

The order button will take the student through a series of screens where they are asked to
confirm details already held in the Student Record System and also to provide additional details
which may be required for specific documents. The final stage asks the student to state how
many copies of the document they require and whether they want to collect the document from
the base or have it posted to them. At the end of the process the student will see their order
confirmation including an order number. Students can track the progress of their order by using
the ‘View My Document Orders’ option either from this screen or from the ‘My Document
Orders’ link on the Document Ordering homepage shown earlier.




Students will also receive an e-mail confirming their order and giving details of the expected
processing times. The e-mail is worded as shown below:

    Dear Student,

    This is an automated email from the Student Document Request Website. Please do not
    reply to this message.


                                                                                                   10
    We have received your request for the document 'Confirmation of Results'. The expected
    processing time for this order is within 24 working hours. You will receive another e-mail
    notification when your order is ready to collect from The Base. If you have any queries
    regarding your request, please e-mail thebase@lancs.ac.uk or telephone 01524 592140.

b. My Document Orders

When selecting this option the student wll see a grid displaying the basic details of each order.
Details given in the grid show ehn the order was submitted, what document was requested, how
many copies were requested and the current status of the order.




The student can choose to cancel a ‘new’ order by clicking the cancel option.

If they click ‘View’ they will see all the details of that particular order and will have the option to
print the details.

  the Student Registry)
  a. Course Module Part II Enrolment
     Allows students to enrol on modules for Part II of their course. This usually occurs during
     weeks 1 and 2 of the summer term.

     The student will see something similar to this:




  b. Exam Results
     Allows students to view their end of year exam results for the modules they have taken.
     Usually available from the week following the committee of senate until the week before
     resit examinations.

  c. Re-Registration (UG)
     Allows UG students to re-register to confirm their ongoing access to supervision and
     facilities. Available during from intro week to week 3. Available via the intranet only.

  d. Re-Registration (PG)
     Allows PG students to re-register to confirm their ongoing access to supervision and
     facilities. Available during September and October, this can be accessed from off campus.


9 Services available at specific times (access periods controlled by
  departments)
     a. Event Sign-Up
         Allows students to view their timetable and enrol on events, such as seminar and
         practical groups, for their course modules. Departments can make events available for

online sign up through the LUSI Course Handbook (Records          Bulk Events Available
Online).

To sign up to events Students select the option ‘Event Sign Up’. This will take them to
the online event sign up screen:




In the section’Your Events’ they will see the module events for all of the modules they

are enrolled on. If the events has        next to it then the student can click the icon to
sign up to for a different event. Students will see something similar to this:

b. Non-Exam Assessment Marks
  Allows students to view their non-exam assessment marks for the modules they have
  taken. This is an example of what a student might see if the deparment have made the
  element marks available online. Once the department mark an element as unavailable,
  the student will no longer be able to see the marks. All elements are recorded as
  unavailable until the department make them available. It is up to the department to
  decide whether or not to make element marks available in this way and to control when
  they are available from and to. The department should also inform the students how to
  access marks if they choose to make them available online. Instuctions for student
  access are given in the introduction section of this guide.

10 How to make events available for online sign-up
        Open the LUSI Course Handbook
        From the Records menu select the Option ‘Bulk Events Available On-Line’ as shown
         below.




11 How to make element marks available for students to see online
        Open the LUSI Course Handbook
        From the Records menu select the Option ‘Bulk Element Marks Available On-Line’ as
         shown below.




        When the parameters box opens select session, department, module and cohort if more
         than one. You will then see a grid like the one shown below:

   To make an element available online click the cross in the ‘available’ column to change it
    to a tick.

   To make all elements available online you can use the ‘Available’ button in the ‘Bulk
    Updates’ area on the right hand side of the form.

   To make all elements unavailable online you can use the ‘Unavailable’ button in the
    ‘Bulk Updates’ area on the right hand side of the form.
