Document Retention Policy
Adopted December 15, 2005
In the interest of document management, we the Board of the YOUR Public
Library Foundation adopt the following document retention policy.
The following items shall be maintained by the Foundation IN PERPETUITY:
Articles of Incorporation & related filings w/ state
Tax Exemption Application, Letter, & related correspondence
Forms 990 & related correspondence
Board Minutes, By-Laws, & Policies
EOY Financial Statement (or general ledger, if F/S not avail.)
Forms W-2 (Employee Wage Stmt)
The following items shall be maintained for SEVEN YEARS:
Deposit slips & related donor correspondence
Paid invoices & cancelled checks
Quarterly payroll tax returns & related correspondence
General ledger detail (see above)
Bank & brokerage (trust) statements
Any other documents for which a policy has not been adopted
The following items shall be maintained for THREE YEARS:
Interim (mid-year) financial statements & related information
