MEMORANDUM TO: Advancement Services DTC - 125 FROM: Barb McKenna Business Manager Engineering, JHE 261A DATE: RE: Transfer of Donation Funds for “Immediate Expenditures” Please note that as per Board of Governors approved policy, charitable donations accumulated during the calendar year are released for expenditure in the fiscal year starting next May 1 unless there are “immediate expenditures” which require a memo from the requestor with the appropriate signatures. Please complete the following to authorize transfer of charitable donations required for immediate expenditures: Business Office Allocation Amount to be Allocation Account # Name Transferred Code This request must be signed by the appropriate Business Office signing authority of the account to which funds will be transferred, as well as, by the supervisor of the signing authority. Upon making this request for transfer, the signatories acknowledge that the funds requested are required for immediate expenditures. Additionally, signatories are responsible for ensuring the transferred funds are used in accordance with the donor’s wishes (as specified by the allocation name) and that the donor will not receive any direct benefit from the donation. If this transfer pertains to donations from university employees, who targeted the funds towards research within their own field, the signatories must ensure that the disbursal of these funds is approved by a research granting committee, prior to submission of this request. All duly signed transfer requests received by Advancement Services prior to the 15th of the month, will be processed and delivered to Financial Services on the 15th. If the transfer is not shown on the end of month FAS reports, please contact Financial Services for further inquiries.
