Founded in 1973, the American Association of Diabetes Educators is a multi-disciplinary
professional membership organization dedicated to promoting the expertise of the
diabetes educator, ensuring the delivery of quality diabetes self-management training to
the patient and influencing and contributing to the future content and direction of the

Meetings Administrator

Provides support for the development and implementation of audio conferences and
webcasts. Works with team on the development of new products and publications as
needed. In preparation of the annual meeting, works with Bookstore, and the Meetings
Manager and priority matters as they arise. Responsible for the stand-alone CE
programs, program preparations and follow-up as needed. Support the Director of
Educational Content Delivery in special projects as needed.


Project Responsibilities

   1.      Independently provides support for audio conferences, webcasting, and
           stand-alone CE programs. Is responsible for accurate accounting of all
           revenues; initiates refunds and billing requests when needed; develops and
           distributes confirmations to registrants; prepares registrant name badges and
           registration rosters; provides information for final rosters for all programs;
           processes evaluations as necessary; develops and maintains required files;
           provides follow-up for all programs.

   2.      Manages the CE certification process for distance learning and stand-alone
           CE programs: monitors requirements for all three disciplines; prepares
           certificates for registrants for all standalone CE programs and audio
           conferences; processes CE sign-in sheets for accreditation purposes;
           supplies necessary information to the Coordinator for Accreditation as
           required by accrediting organizations; and fields questions from attendees as

   3.      Support the production of products and publications. Assists in the
           inventory/shipping process for the annual meeting Bookstore and in the
           follow-up process of inventorying and returning unsold items to vendors.
   4.      Attends AADE Annual Meeting. Assists as directed with setup of education
           office, organization of educational program signage and handout materials,
           and the implementation of educational breakout sessions.

   5.      Manages and delivers all CCC courses.

Other Responsibilities

   1.      Independently develops and maintains efficient filing systems for audio
           conferences and stand-alone CE programs as necessary to comply with
           certification requirements.

   2.      Manages daily incoming calls, faxes, and emails regarding CE issues for
           audio conferences and stand-alone CE programs.

   3.      Develop and maintain written processes and procedures for program
           implementation, record keeping, and program follow-up for audio conferences
           and stand-alone CE programs..

   4.      Coordinates special projects as assigned by Director of Educational Content
           Delivery and/or Project Manager of Distance Education.

Position requires extensive and ongoing contact with individuals outside the Association
such as the following but not limited to:
    Speakers and faculty for CE programs and distance learning programs
    Outside vendors for webcasting and audio conferencing
    Hotels for follow-up on logistical arrangements for stand-alone CE programs
    Association Leadership as requested/needed
    Members with questions regarding CE for audio conferences and upcoming
       stand-alone CE programs


       Excellent organizational skills
       Detail oriented
       Exceptional communication and interpersonal skills
       Computer proficiency in Word; data base systems including Access and Excel;
        Power Point; ability to learn to use IMIS efficiently; and a typing speed of 60 wpm
        or greater
       Ability to be a team member
       Ability to multi-task
       Ability to proofread and take responsibility for final product
       Understanding of how to navigate and effectively use the internet

Baccalaureate degree required with a concentration in communications, speech, or
business administration preferred.
2-4 years previous project management or administrative experience in an educational,
association, or not-for-profit environment recommended. Meetings or registration
experience a plus, but not essential.
