ELIGIBILITY
Eligible hosts are any Lifesaving Society affiliate in good standing with the Society, who is currently
running Lifesaving Sport Programs and/or Club activities.

SANCTIONING PROCESS
The Lifesaving Society developed the sanctioning process to provide applicants with the resources and
support they need to host a successful sanctioned Lifesaving Sport event. The sanctioning process
includes the submission of the Intent to Host (STEP 1). Once approved, the host affiliate will need to
complete the Meet Management Confirmation (STEP 2) process and submit the required documents to
the Society. Each host is responsible to submit Reporting and Commitment (STEP 3) within 30 days from
the event completion.

Affiliates intending to host Lifesaving Sport events must submit the following information a minimum of
90 days prior to the event.

SUBMISSION #1-INTENT TO HOST
Hosts must submit all 4 sections of the Intent to Host to the Lifesaving Society.

For example, if your starting blocks are in the deep end and you have a 12 foot deep pool, then you would

PROOF OF INSURANCE
Please provide the Society with a copy of your public liability insurance of at least one million dollars,
highlighting the Lifesaving Society as a ride, for your Lifesaving Sport event.

COPY OF SAFETY PLAN
Please provide the Society with a copy of your Safety Plan outlining the emergency procedures at the host
facility, lifeguard duties, etc. A Safety and Supervision Plan template is available on the Lifesaving Sport
Toolkit CD to help hosts develop their own safety plan.

REGISTRATION PACKAGE
Download and complete the Sanctioned Event Registration Package template from the Lifesaving Sport
Toolkit CD or from the Society website www.lifesaving.org (search word “Hosting an Event”) and submit
to the Society.
After receiving and reviewing the Sanctioned Event Registration Package, the Society will upload them to
our website www.lifesaving.org, (search word “Sanctioned Competition Package”) for clubs to download
and register for your event.
Clubs may register for any Sanctioned Lifesaving Society Event by first completing the Club Registration
Form, followed by the Event Grid Sheets.
All completed forms must be sent to Lifesaving Society prior to the event registration deadline.

FACILITY RENTAL AGREEMENT
Please provide the Society with a copy of your Facility Rental Agreement stating that the pool is rented by
the host for the duration of the event.

HOST COMMITTEE LIST
Every successful event has a knowledgeable Host Committee team. Please indicate which Host Committee
positions you have filled. Please contact the Lifesaving Society to assist you in assigning any remaining
positions.

The Meet Manager will be responsible for preserving the integrity of competitive lifesaving, LSABNT rules
and regulations, and will ensure that all necessary questions and concerns are being met on the day of
competition.

HOST COORDINATOR
The Host Coordinator shall be responsible for the planning and set up of the competition and will act as a
liaison between the Meet Manager, Meet Referee and the Lifesaving Society throughout the event. The

The Sponsorship Coordinator shall be responsible for seeking sponsorship for the event and for ensuring

APPENDIX A – EVENT SANCTIONING GUIDELINES

PREAMBLE
All Lifesaving Sport events organized under an Affiliate must be sanctioned. All organizers shall comply
with the rules and regulations outlined in the most current Lifesaving Sauvétage Alberta Northwest
Territories (LSABNT) Competition Manual. No National or Provincial record can be broken on events that
are not sanctioned by LSABNT.

INTRODUCTION
The Lifesaving Society is committed to a high standard of event presentation through the process of Event
Sanctioning. To assist prospective host affiliates, the following guidelines have been developed, in
addition to the rules, standards and procedures outlined in the LSABNT Competition Manual.

SANCTIONING PROCEDURES
The host affiliate wishing to conduct an event must submit the following documents to the Lifesaving
Society Alberta Northwest Territories Branch, a minimum of 90 days prior to the event start date:
        A duly completed Contact Information, List of Events, Facility Checklist and Equipment Checklist
         (Submission #1 – Intent to Host); and
        All relevant documents requested from Submission #2 – Meet Manager Confirmation.
The Lifesaving Society is responsible for verifying all relevant documents pertaining to Submissions #1 and
#2 of the Hosting Application Process. When the Lifesaving Society sanctions the event, hosts will receive
a letter of confirmation with approval. A sanctioning site visit can be organized (if required) by an
appointed Lifesaving Society representative. The Society will include the event in the Lifesaving Society
Sanctioned Competition Schedule and post it on our website. This will serve as an official notification. All
event results and Reporting and Commitment documents (Step 3) must be sent to the Branch no later
than 30 days post event.

NOTE
A Sanctioned Application Form must be submitted for each event on an individual basis. LSABNT
Provincial Records can only be achieved at LSABNT Sanctioned Events. Only sanctioned events will appear
on the Lifesaving Society’s Sanctioned Competition Schedule.

TECHNICAL SUPPORT
Technical support to host an event in accordance with the LSABNT Competition Manual is required by the
host. The number of Key Officials will be dependent upon the event status and number of competitors
and will be determined in consultation with the Lifesaving Society.

SANCTIONING FEES
Currently there is no sanctioning fee per event. If it is deemed appropriate and Lifesaving Society Key
Officials are in a technical capacity, this may reflect a fee for services. These will be negotiated on an
event by event basis. Hosts will be charged a $200.00 fee for heat sheets and event cards along with a
$1.00 per athlete fee.

ENTRY FORMS
Entry forms must carry the following expression “Sanctioned by the Lifesaving Society” and must carry the
Lifesaving Society, The Lifeguarding Experts logo and the LSABNT logo.

CHANGE TO COMPETITION
Should the grounds upon which sanctioning was granted change at any time prior to the competition,
notification must be given to the Lifesaving Society, whereby the sanctioning will be immediately
reviewed. Should the reviewed changes to the competition not meet the sanctioning standards, the
Lifesaving Society reserves the right to advertise withdrawal of sanctioning.

COMPETITION RULES
All competitions must be conducted in accordance with the most current LSABNT Competition Manual.
Copies can be found on the Lifesaving Society website at www.lifesaving.org, search word “Competition
Manual.”

PERMITS AND APPROVALS
The Host must ensure that all requirements of the following have been met: provincial legislation, facility
policies and procedures, provincial government (council), the police and/or RCMP, the approval for use of
private property and other facility user group considerations.

INSURANCE/ RISK MANAGEMENT
The Host must have public liability insurance of at least $1,000,000.00 dollars. A copy of the insurance
certificate outlining the Lifesaving Society as a rider must be provided as per the Meet Manager
Confirmation (Step 2).

EQUIPMENT
All equipment to be used for a competition must comply with both LSABNT and ILS specifications.

FACILITIES STANDARDS
All facilities used for competition (pool, water park, open water, etc) must meet and comply with
Lifesaving Society specifications.

FIRST AID AND MEDICAL SUPPORT
Qualified Lifesaving Society NLS lifeguard personnel must be on site during the event. When automatic
external defibrillation (AED) and/or oxygen administration equipment is provided the minimum
competencies as defined by the Lifesaving Society must also be met.

DUTY OF DISCLOSURE
Before the host affiliate enters into a sanction with the Lifesaving Society all matters requested pertaining
to the event will be disclosed to the Lifesaving Society through this sanctioning process. If a host fails to
comply with your duty of disclosure, the Society may withdraw its sanction without prior notice.

FEE PAYMENT
Host affiliates are responsible for all fees associated with the event within 30 days of the event
completion, along with the Reporting and Commitment documents (Step 3). Payment can be made to:
Lifesaving Society Alberta and Northwest Territories, Event Sanctioning.

AWARDS
The Lifesaving Society favors a policy of equal division of awards for male and female competitors, in both
depth and amount. For a detailed list of awards please refer to the most current LSABNT Competition
Manual.

SANCTIONING AGREEMENT
By signing the Hosting Application Package at the end of each submission, the Host declares that he/she
has read and understood the Lifesaving Society sanctioning guidelines and recognizes that it is his/her
responsibility to conduct a fair and safe competition. He/she further cautions that the guidelines are the
minimal and special conditions and may require further cautions and actions.
He/she also agrees that the Lifesaving Society has the authority to request the cancellation of the
competition if minimum safety requirements are not in place and that the Society may announce publicly
before the commencement of the competition the withdrawal of Lifesaving Society sanctioning and
insurance cover if applicable.
He/she understands that the information supplied in the Hosting Application Package will be relied upon
by the Society in sanctioning this event, and any changes made must be notified in writing to the
Lifesaving Society as soon as practicable. It is further agreed that the Society will be included in any waiver
or release from liability.
In consideration of the Society considering any Sanctioned Lifesaving Society Event Hosting Application,
the Host and the Lifesaving Society (through its National Sport Organization) agrees as follows:
    1.   Sanction is either automatic or irrevocable. The Society, at its absolute discretion, may
         conditionally or unconditionally sanction, refuse to sanction, or withdraw its sanction of the
         competition. For example, the Society might withhold or withdraw a sanction if it considers the
         competition to risk competitor or public safety, to be unprofessionally organized, to be
         financially under-resourced, to breach the Lifesaving Society’s rules or policies, or to be
         detrimental to the promotional regulatory interests of the Lifesaving Society. The Host has no
         claim against the Society in respect of any determination made by it.
    2.   The Society reserves the right to change or amend its sanctioning policies, procedures and
         requirements from time to time.
    3.   If sanctioned, the Host must comply with all rules and directions made by the Society in respect
         to the conduct of this competition and all conditions of any sanction conferred by the Society.
         Failure to comply with any of these rules, directions or conditions entitles the Lifesaving Society
         to (amongst other things) withdraw any sanction at any time.
    4.   If the Society declines to sanction the competition or, having sanctioned the competition, elects
         to withdraw its sanction for any reason, the Host irrevocably authorizes the Society to publish
         the fact, nature and reasons for its decision to decline or withdraw sanction to any person the
         Society thinks fit, including (but not limited to) prospective competitors, sponsors and the
         general public.
    5.   It is the Host’s responsibility to conduct a safe and fair competition. Any standards and
         conditions imposed by the Society for this event and events generally are minimal standards
         only. The Host acknowledges that:
              A. A competition is not necessarily safe or viable because it is sanctioned by the Lifesaving
                 Society.

              B.   Special or unusual conditions may require further precautions and actions in the
                   interests of competitors or spectators safety.
              C.   Public liability insurance cover and/or competitors permit insurance cover arranged by
                   the Society or required by the Society as a condition of sanctioning, although negotiated
                   and arranged in good faith by the Society, might not covers all risks to the Host or
                   competitors associated with the competition. The Lifesaving Society does not warrant
                   that the terms and coverage of any such insurance are adequate for the purposes of the
                   Host or competitors and the affiliate must satisfy itself that it is adequately insured.
    6.   The Host must not advertise the competition as sanctioned unless and until the Society has
         sanctioned it and all conditions of sanction have been complied with. If the Society withdraws
         any sanction, the Host must:
              A. Prior to the competition, advise all competitors and prospective competitors of
                 withdrawal of the sanction.
              B.   Remove any reference to the Society sanction from advertising or promotional materials
                   for the competition.
