Thank you for your interest in the post of School Business Manager at Our Lady of
Grace Catholic School.

Our school is part of a wider community incorporating the Parish of St Mary and St
Andrew and our families and we all work together to enrich the education of the children
in our care. It is interesting to note that we have a very low turnover of staff at Our Lady
of Grace, many of whom chose to stay with us for 10 or more years.

The Post

Applications are invited for the post of Business Manager at Our Lady of Grace Catholic
Infant School. The school is committed to promoting the welfare and safety of children
and therefore the post will be offered subject to an enhanced CRB check.

The School and its Catchment Area

The school serves the Catholic parish of St Mary and St Andrew, Dollis Hill, and is
located in the diverse Borough of Brent in North West London. The school has good
community links and is over subscribed.

General Information about our School

The school opened as a two form entry infant school in 1972 and is open plan in design
and the separate Nursery building opened in 1979.

We currently have 230 pupils on roll and 25 members of staff.

The school’s last OFSTED Inspection took place in November 2007 and was judged to
be ‘a good school with many outstanding features’.

In recent years the school has achieved Investors in People, Healthy Schools Status, the
Active Mark, and Financial Management Standard in Schools.

The school provides a happy, welcoming working environment and staff are committed
to the education of the children in our care.

                                   JOB DESCRIPTION

JOB TITLE:                School Business Manager

PURPOSE OF THE JOB: To organise, maintain and monitor the School’s financial
and personnel systems and to manage office functions to ensure an effective service
to the school. To contribute to the planning, development and monitoring of support
services within the school. To manage administrative and ancillary staff including
delegation of relevant activities. To contribute to the overall Catholic ethos, work and
aims of the school.

RESPONSIBLE TO:                The Headteacher



 Provide strategic support to the School Leadership Team and Governing Body on
  all aspects of school business management.
 Attend relevant meetings as required to provide information and advice.
 Ensure an effective link between the school financial plan and the school
  improvement plan, necessary to maintaining the Financial Management Standard
  in Schools (FMSIS)


 To be responsible for the effective management of financial administration
  procedures, including responsibility for compliance with financial regulations.
 Take a lead role in procurement and securing sponsorship and funding, and in
  the marketing and promotion of the school.
 Improve and develop financial statements, forecasts and best value procedures
 Undertake budget planning, management, monitoring and evaluation
 Identify the need for, select and manage the ordering of supplies and equipment
  for the school including issuing of invoices and ensuring prompt settlement of
 Manage service contracts, school licenses and insurance
 Undertake regular audit of resources and maintain an asset register.
 Monitor expenditure and advise the Headteacher/Finance Committee of possible
  under/over spending whilst providing options for varying expenditure.
 Ensure the preparation and maintenance of such reports, records and accounts
  as are required in conjunction with the School’s computerised accounting
 Ensure proper collection, reconciliation and banking of any monies received by
  the School.

 Be responsible for the day-to-day management and supervision of the
  administrative and ancillary staff.
 Be responsible for the effective operation of the payroll system
 Be responsible for school personnel administration
 Participate in the training and development of the administration and ancillary
  staff as required.
 Liaise with the Headteacher on personnel issues.
 Complete and submit timesheets and other returns for staff and supply teachers
 Be responsible for the maintenance of confidential files.


 To oversee the letting of the school premises to outside organisations and school
  staff, and for the development of all facilities of out-of-school use, with particular
  reference to the local community
 Implement risk management and loss prevention strategies in the school to
  reduce insurance costs
 Co-ordinate the maintenance of the school site and buildings, the preparation of
  maintenance schedules and the efficient operation of all facilities on the property.
 Co-ordinate the purchase, repair and maintenance of all furniture and fittings.
 Develop work specifications and manage service contracts.
 Be responsible for the management of Health and Safety within the school.
 To liaise and work with the school’s building consultant.


 Take a lead role in the planning, development, design, organisation and
  monitoring of support service systems, procedures and policies.
 Take a lead role in the development and maintenance of manual and
  computerised records and management information systems.
 Manage the administrative function including ICT facilities, school reception,
  reprographics, records and telephones.
 Manage complex administrative procedures and be responsible for completion
  and submission of forms and returns to the DCSF and other agencies.
 Carry out research, obtain information and provide detailed analysis and
  evaluation of data and information, and produce reports and records as required.
 Produce and respond to complex correspondence.
 Appreciate and support the role of other professionals and establish constructive
  relationships and communicate with other agencies and professionals.
 Provide for the preparation and production of all school records and publications.
 Ensure the maintain pupil records
 Be responsible for obtaining the necessary licenses and permissions and
  ensuring their relevance and timeliness.

                    Level 4 (Salary Range: £28269 - £30456)

                           Full Time Permanent Position
The Governors of Our Lady of Grace Catholic Infant School wish to appoint a suitably
qualified and experienced School Business Manager to ideally start June 2009.

The person appointed will be in sympathy with aims and ethos of our Catholic school.
Working with the Headteacher and Senior Leadership Team you will play a vital role in
school leadership and management. The role will involve leading and managing school
finance and personnel issues, premises, administration and extended services and
