Swim Meet Job Descriptions
Families will be assigned a swim meet job for most of the swim meets. Notification of
each family’s assignments will be by a mailed letter, usually sent in May. Most jobs last
about 2 hours and are easy to do. It takes about 100 parents from both competing
teams to staff the various jobs for one meet. Below is a list and description of the
Riptide swim meet jobs:
Sign-In Table Lane Timer Ready Bench
Data Entry Ribbons Meet Manager & Assistant
Setup & Cleanup Lane Runner Sorter
The Sign-in job involves entering the event numbers for each Riptide swimmer on
their arm with a sharpie marker. Four parents have been assigned this job for each
There will be two separate sign-in tables for the Riptide, with 2 parents per table.
You should arrive at the pool no later than 7:50am the day of the meet. The Riptide
Meet Manager will give you a quick training session. Swimmers will start arriving for
Sign-in at 8am. The job finishes by 8:45am.
Two of the four parents assigned to Sign-in for each away meet have been given the
responsibility to bring a folding table and two folding chairs. Thus, if you have been
assigned to “Sign-in Table”, then be sure to check the "comments" column of your
family's Parent Job Assignment form to see if you have to bring these items. A four-
foot long table is sufficient. If you do not have a folding table or chairs, please
borrow from a neighbor or friend.
18 Riptide Lane Timers are needed for each swim meet (9 for each half). Three
timers (some from the Riptide and some from the other team) are assigned to each
lane. Each lane will have either one or two Riptide Timers.
The Lane Timer uses a stopwatch to measure the time it takes for a swimmer in their
lane to complete their race. When the Meet Official sounds the starting tone, each
Lane Timer starts their stopwatch. When the swimmer in a given lane touches the
end wall, the 3 Times in that lane stop their respective stopwatches. The times from
each of the 3 stopwatches for each lane are written onto the swimmer's swim card by
one of the timers, and the middle time is circled and becomes the official time for that
swimmer in that event.
NPST owns and provides the stopwatches to the Riptide Timers. The other
team supplies their own stopwatches to their parents. When you are done with your

Lane Timer assignment, return the stopwatches to the Riptide Jobs Coordinator only.
Do not return the watches to the other team. The stopwatches cost about $25 each.
Ready Bench Coordinator & Helpers
The Ready Bench parents get the Riptide Swimmers assembled at the "ready bench"
prior to their race. The Ready Bench consists of a 10' by 10' pop-up tent with
benches. The benches are marked into grids where the kids for the next 3 races sit.
A large elevated placard is used to denote what event# is being prepared at the
ready bench. Swimmers and parents will know what race numbers they are
competing in, thus when the placard is flipped to race #24, the swimmers for race
#24 should come to the "ready bench".
Hand each swimmer a swim card that contains their name, team, event#, stroke
(butterfly, etc), and their swim lane number. Place each swimmer in the proper grid
on the bench.
Occasionally a swimmer will not show up in time for their event. It is the swimmer’s
responsibility to show up in time.
For a home meet only, the Riptide Ready Bench Coordinator will walk the next group
of swimmers over to the starting blocks, making sure each kid lines up behind the
proper lane (there are 6 lanes). For away meets, the other team’s parents will do
The Date Entry job involves entering the race results for each Riptide swimmer into
the Team Manager software database, using the NPST laptop computer. This person
sits at the Head Table (in the shade). Periodically, the Data Entry person prints out
labels for the Riptide ribbons. You will receive on-the-job training from a Riptide
parent at the meet.
If you have been assigned Data Entry for the Second Half, please show up to
the Head Table 15 minutes before the Half so that the First Half Data Entry
person can train you.
This job occurs at the Head Table, in the shade. It involves taking the labels
produced by the Riptide Data Entry person, and affixing the labels to various
ribbons. The ribbons are then placed in the Riptide Ribbon File, by swimmer last
name. You will receive on-the-job training from a Riptide parent at the meet.
If you have been assigned as a Ribbon Writer for the Second Half, please
show up to the Head Table 15 minutes before the Half so that the First Half
Ribbon Writing person can train you.

Meet Manager & Assistant
A Riptide Meet Manager and Assistant are assigned to every meet. These
assignments are typically given to parents who have been on the team for a number
The Meet Manager monitors the overall operation of the meet and coordinates as
needed. If the other Riptide Coordinators and parents are doing their swim meet
jobs, then the Meet Manager just kicks back, observes, and enjoys. If there is a
hiccup somewhere, then the Meet Manager reacts to solve the problem. The
Assistant is primarily an observer, and is learning the ropes as they likely have been
assigned as Meet Manager for a later meet.
The Meet Manager responsibilities are somewhat different between home meets and

Setup & Cleanup
This job is for home meets only. Six families are assigned this job for each home
Parents assigned to the setup and cleanup job move and setup Meet-related items
from the Riptide Storage Facility to the pool. After the meet, the same group of
parents is responsible for the breakdown of the equipment and moving it back to
Setup for a meet occurs the Friday evening before the meet; be at the pool at
8:30pm sharp. Breakdown and cleanup occurs immediately after the meet is over.
The Riptide Setup Coordinator will direct your efforts for both setup and cleanup.

This is a home meet only job. Three parents per half (Runner A, Runner B, and
Runner C) provide the transportation needed to move the swim cards for each event
from the swimmers, to the timers, and finally to the Head Table.

This is a home meet only job. There are two Sorters per half (Sorter A and Sorter B),
who sit at the head table in the shade. They sort the incoming swim cards received
from a Lane Runner from the timers into heats, and within heats into places (1 st
place, 2nd place, etc). The place is marked on the cards, then the cards are turned
over to the Riptide data entry person. The Sorters will receive on-the-job training
from a Riptide parent at the meet.

This is a home meet only job, and involves selling various items from the Café Riptide
concessions stand. Concessions is an Org Position and will usually be staffed with the
8 families assigned to Concessions. However, other Riptide parents may be asked to
work at Concessions and if that is your Meet job assignment, you will be trained at
the Concessions booth on what to do.
This is a home meet job only. This person makes announcements as necessary
throughout the meet, and keeps a steady supply of music going to set the mood.
