 BOOKING PROCEDURE
Please note that Schools and Groups are no longer limited to only one residential in this
booking period. However WELB reserves the right to impose limitations if demand is
excessive.

Groups and individuals seeking a booking at Gortatole should note the following:-

1.   TO AVOID DISAPPOINTMENT please send applications as soon as possible. The Centre is
     very popular and fees are kept low through WELB/SELB support. It is rarely the case that
     bookings are not filled soon after brochure distribution.

2.   PREFERENCE will only be given to education groups and individuals from schools, colleges and
     registered youth organisations within the Western / Southern Education and Library Boards on a
     first come first served and where applicable on the length of residential up to any stated
     closing date.

3.   ADULT STAFF are expected to accompany groups to the Centre on a ratio of 1:15 minimum.
     Free staff places are normally offered on a ratio basis. Mixed groups should be
     accompanied by male and female members of Staff.

4.   ALL GROUPS AND SCHOOLS
     Please endeavour to give an accurate estimate of numbers. Two or Three small groups may
     be booked to share with one another.
     Please indicate if you are willing to share.
     Please indicate if you have only one preferred date.

5.   PAYMENT ARRANGEMENTS - GROUPS AND SCHOOLS
     When a booking is offered and agreed in writing Clients will be liable to a 20% cancellation fee of
     their agreed minimum numbers if the residential is cancelled up to eight weeks prior to the course
     date. Subsequently cancellation fees rise by 10% each week to 100% at one weeks notice of
     cancellation. Invoices will be issued retrospectively.

6.   PAYMENT ARRANGEMENTS - INDIVIDUALS
     All individual course applications must be returned with the full course fee to Gortatole.
     Most course places will be allocated on a first come first served basis. However, the WELB
     reserve the right to allocate places using different criteria if the course would benefit from a wider
     cross-section of participants. Unsuccessful applicants will have their course fees refunded in full.

7.   GROUPS/INDIVIDUALS WITH NO LINKS TO EDUCATION
     Anyone may apply for the dates and courses advertised. Any vacancies left after ‘preference’
     and ‘education’ applications have been dealt with will then be allocated to other interested parties.

8.   CLOSED BOOKINGS - Miscellaneous
     If the dates or courses advertised are unsuitable or you feel that a project you have in mind has
     special significance, a small number of mid-week and weekend dates may be made available.
     Please put your request with full details in writing to the Youth Department, WELB,
     1 Hospital Road Omagh.
