Registration and Travel Information

Attendance Policy
Attendance is mandatory at all Annual Session seminars and meetings. ASDA leaders can expect to be in
seminars every day beginning at approximately 8:00 a.m. and will follow an active meeting schedule
throughout the week.

Registration Fees
The registration fee for the hotel package is $750 per person if the registration form and payment are
received by Friday, February 5. This fee includes hotel accommodations in a double occupancy room for
four nights, scheduled meals, all meeting fees, materials, and admittance to all meeting functions.
Students who register for the hotel package will share a double bedded room with another meeting
attendee of the same gender. Check-in is Wednesday, March 17 and check-out is Sunday, March 21.

Delegates who do not require hotel accommodations may register for the local package at the rate of
$435 per person if the registration form and payment are received by Friday, February 5.

Accepted forms of payment are Visa, MasterCard or check. Attendees may not register on-site or pay
fees in cash.

Predental ASDA members are allowed to attend ASDA’s Annual Session. The hotel and local packages
are the same price as listed above. Special one-day pricing is available. For more information, contact

Late Fee:
An additional $25 per registrant late fee will be charged for all registrations (form or payment) received
after Friday, February 5. The payment and form must be RECEIVED, not postmarked, by the ASDA
Central Office by 5:00 pm CST on Friday, February 5, or the late fee will be added to each registrant.
Registrations and payments must be received by the deadline to secure a hotel room. ASDA cannot
guarantee hotel accommodations will be available at the group rate after the deadline of Friday,
February 5. Late registrants will be responsible for any difference in hotel room rate above the group
rate.

Cancellations:
For refund consideration, cancellations must be received by the ASDA Central Office in writing by 5:00
p.m. Central Time on Monday, March 8. Cancellations are accepted via email to Meghan Keelean. All
cancellations received by the deadline will be refunded the registration fee paid, less a $25 processing
fee. Cancellations on late registrations will forfeit the $25 late fee as well as the $25 processing fee.
Refund requests/cancellations received after the deadline will not be considered. All refunds will be
processed after Annual Session.

Substitutions/Name Changes:
There will be a processing fee of $25 for any name changes or substitutions received after the
cancellation date of Monday, March 8.

Online Registration
Save time by registering online! Go to http://www.asdanet.org and under Events tab click Register.
Instructions and login information will be sent to chapter delegates via email the week of January 4th.
This chapter login is required, and delegates may not register themselves under their individual
website login. Online registrations require a credit card payment (Visa or MasterCard) and can not be
paid by check.

Travel Information
The meeting will begin at approximately 4:30 p.m. on Wednesday, March 17 and concludes with the
President’s Dinner Dance on the evening of Saturday, March 20. There is an Orientation to Annual
Session for first-time attendees at 4:00 p.m. on Wednesday.

       Closest Airport: Baltimore Washington International (BWI). This is the recommended airport to
        fly in to for the meeting.
       Arrival: Wednesday, March 17 by 2:30 p.m.
       Departure: Sunday, March 21 (anytime)**
       Book your flights early to get the least expensive fares. Southwest is a major carrier in to BWI.

**If you are a current Board of Trustees member, or are considering running for the Board of Trustees or
Executive Committee, there are mandatory meetings the morning of Sunday, March 21. Anyone who
may be involved in the Board of Trustees meeting should plan to book a flight departing after 1:00 p.m.
Candidates for Executive Committee should book a flight departing after 2:30 p.m.

Airport Transportation
Ground transportation options between BWI and the hotel include:
     Cab fare is approximately $30 one-way
     Super Shuttle: $13 one-way per person. Visit www.supershuttle.com for fare quotes and
       reservations.
           o Super Shuttle is also available from Washington, DC airports. From Dulles (IAD), prices
              start at $90 per person, and from Reagan (DCA), prices start at $48 per person.
     MTA Light Rail: You can get on the Light Rail train at BWI and get off at the Convention Center
       stop, which is right behind the hotel. The Light Rail cost $1.60 per ride. Visit

Baltimore is accessible via Amtrak from many cities in the eastern region, including Boston, Philadelphia,
and the New York City area. This is a very affordable option. Visit www.amtrak.com for more
information. The MARC commuter train is an option from Washington, DC, with rush hour trains
stopping 2 blocks from the hotel at Camden. Regional buses may also serve Baltimore. The Light Rail
has a stop at Baltimore’s Penn Station that goes to the Convention Center stop behind the hotel.

Hotel Information
The Hilton Baltimore is a new hotel, opened in August 2008. It is connected to the Baltimore Convention
Center, adjacent to Camden Yards, and centrally located in the Inner Harbor area.
    Check-in time is 3:00 p.m. Check-out time is 12:00 p.m.
    Daily self-parking at the hotel is $26 and valet parking is $37/day. Both include in and out
        privileges.
    Internet is provided to meeting attendees at a 50% discount off the regular price to $6/day in
        sleeping rooms.

Attire
Business attire should be worn to all scheduled meetings from Wednesday through Saturday. In March,
Baltimore’s average high is 57 degrees during the day and low is 37 degrees at night. Please note that
meeting room temperatures vary. Information about the attire and theme for the President’s Dinner
Dance will be sent at a later date.

Meals
Scheduled meal functions include continental breakfast, lunch and refreshment breaks Thursday
through Saturday; evening receptions, Wednesday and Thursday, and the President’s Dinner Dance on
Saturday evening. All scheduled meal functions are included in the registration fee.
