GUIDELINES FOR PARTICIPANTS
Welcome to the Asian Christian Faculty Fellowship II (ACFFII)! The Asian Christian Higher
Education Institute (ACHEI) of the United Board for Christian Higher Education in Asia (UBCHEA)
enjoins everyone to make the occasion an opportunity to meet new friends, strengthen old ties and
together work towards building a Christian community of Asian learning communities.
The theme of the conference is “Ethical Quest in Asian Higher Education: Opportunities and
Challenges”. The objectives are:
o To build a spiritual community: Spirituality incarnated and embodied into life, but not
worldly, such as pursuit of justice, peace, respect of other faiths, love and trust, mission of
o To engage in discussions: Affirming Christianity in our profession and in various contexts
such as Hinduism, Islam, Buddhism and Confucianism.
o Formation of a federation: consider the organization of an all-Asia Christian Faculty
Federation as well as creation and maintenance of country–based Christian faculty
Please note the following items for your guidance.
1. Indian Visa application
India requires visa from most foreigners. The invitation letter is attached for your application of
Indian visa. It is important that you apply for a Tourist visa, not any other category, to facilitate visa
2. Flight Schedule
Please have the booking of air tickets consistent with our suggested schedule (arriving on
November 18; departing on November 21 afternoon). Send us your exact flight schedule on or
before October 20 to have you included in the arrangement for airport pick up. Airport transfer will
also be arranged for your departure on November 21.
3. Information Sheet
We need an accurate and updated information about yourself and your institution. For instance, e-
mail address should be one that works or is regularly used. The institutional data will provide the
Institute basic information about your college/university. A brief questionnaire is included to help us
in our conference preparation. Please also indicate your full name as it appears in your passport.
We need accurate names for insurance purposes. The accomplished form together with flight
schedule should reach the Institute by October 20, 2004. You may send it by e-mail, fax or air mail
but make sure it gets to us on the scheduled date. Below are the contacts of ACHEI:

4. Airport Transfers
At Chennai airport, Madras Christian College staff will be at the Exit to facilitate your transfer to the
hotel. A large banner with the name Asian Christian Faculty Fellowship II (ACFFII) will be shown at
the airport. In case there is a delay in your schedule or some unforeseen circumstances unable
you to be on time for scheduled airport pick-up, you may call up Royal Southern Hotel Front Desk
for assistance (Tel: 91-4114-253156/ 253157) or take a taxi to the hotel at your expense.
The drive from the airport to the hotel is about 20 minutes.
5. Registration on November 18
Registration counter will be set up at the hotel. You will register at the counter upon arrival.
Conference folder, nametag and room key will be distributed. Sign-up sheets for the field trips on
November 20 will be posted at the registration counter.
For those who have companions other than ACFF participants, payment for room and meals
should be done at the registration counter.
6. Accommodation and Meal Arrangements
You are assigned to a room, on a double occupancy basis, and its cost is charged to ACHEI.
Expenses other than the room charge will be on your personal account. The hotel will serve
breakfast. Any inquiry or request for help concerning room and meals for extra days should be
addressed to the hotel front desk.
b. Hotel facilities
Internet facility and fax service are available at the business center. The hotel provides direct dial
local and long distance calls. Hot and cold showers are available in each room. Mineral water is
provided. Laundry and dry cleaning services are available at nominal charges. The voltage for
electrical appliances in Chennai is 220.
c. Meals on November 18
We will have buffet dinner at the hotel on the arrival day. Those who arrive early (before dinner of
November 18), please make provisions on your own. The hotel has a 24-hour multi-cuisine
restaurant and coffee shop.
If you have special diet requirements, do inform us immediately so we can brief the organizers.
7. Conference Venue
Conference venue is mainly in Madras Christian College. It is located at Tambaram, Chennai-600
059 and is about 10km distance from the hotel. A map of the college is attached.
The business meeting and closing worship on the last day (November 21) will be held at the hotel.
8. Conference Activities
a. First Day of the Program (November 19)
Please be on time to assemble at 7:45am at hotel lobby. Coach will be provided and will depart for
Madras Christian College at 8:00am. Group photo will be taken after the opening worship.
b. Conference Schedule
Would you please go by the schedule as written? To have order in this big gathering and for us to
meet the goals of this activity, everyone is asked to observe proper time management and follow
group directions. For instance, assembly time for busing participants should be closely observed.
c. Keynote Address
The keynote address serves as the framework for the flow of the conference. Group discussions
d. Group Discussions
Each participant is given a voice in the two group sessions. There will be an interdisciplinary
grouping and a country grouping. A discussion leader will be assigned. The group will appoint from
among its members a rapporteur. The role of the rapporteur is to report to the plenary the
highlights of the group discussion.
Your nametag will indicate the number of the group you will be in for the discussions.
e. Educational visit
In the afternoon of November 20 is an educational visit. You can choose to visit one of the religious
sites, such as a Hindu temple, a mosque or the St. Thomas church. Detailed information about
these religious sites will be provided upon registration. Please sign up at the registration counter or
with the secretariat at Madras Christian College on or before November 19. Coaches will be
provided and will take you to the dinner place after the field trip.
9. Program for Companions
Accompanying spouses or companions who do not wish to join the conference but would
like to have some alternative activities, may go to the reception counter of the hotel to
arrange for local tour. Sightseeing tours or any such activity can be arranged with the hotel at
The hotel is located within a radius of 35KM to the Great Pallava city, Mahabalipuram, World
famous Silk and Temple City, Kancheepuram, Vedanthangal the Bird sancturary, Kishkinta India’s
largest theme park. Vandallur Zoological Park is a 10-minute drive from the hotel.
10. Money Exchange
Foreign exchange can be done at the money exchange counters at the airport, local banks or
hotel. The current rate is Rs. 44 to US$1.
We will buy insurance package for all the ACFF II participants outside India. This covers medical
expenses, emergency medical evacuation, personal accident and lost baggage. Please contact
our Secretariat for follow up of claims, if any.
12. Dress Code and weather
Participants may come in casual business wear appropriate for the tropical climate. Temperature
of Chennai in November is about 22C to 29C. Fall season in India sometimes have rain. You may
need a light jacket or sweater in the evenings. Conference halls are equipped with large electric
For the cultural presentation and dinner on November 19, participants are encouraged to wear
their national costume or attire.
13. Evaluation Form
We earnestly seek your feedback to guide us in our next activities. Please submit the
accomplished evaluation form to the Secretariat on the last day of the conference.
14. Conference Exhibits/Display
If you have some materials or items for display, please contact Ms. Iris Ng or Miss Louisa So of
ACHEI. You may arrange for sale of own academic publications, school souvenir items (such as t-
shirts, bags, pins), or some local arts and crafts (such as handwoven materials, batik prints, native
beads). Please indicate in the information sheet or make prior arrangements through fax (852-
3163-4219) or send e-mail to firstname.lastname@example.org before October 20, 2004.
For international travel reimbursements, please submit original invoices/ receipts to ACHEI
secretariat. A table will be set up on the second day of the conference for this purpose.
Reimbursements can only be processed in our Hong Kong Office.
Pursuant to our invitation letter, For those individual participant who submit their invoice to ACHEI
office by fax (Fax number: 852-3163-4219) in Hong Kong before October 31, we will reimburse
each individual in US dollar check and reimburse country chapters by either US dollar check or
bank transfer. Processing time for reimbursement takes about 3 weeks.
16. E-mail Service
The hotel has limited e-mail service. There are e-mail service providers near the hotel. At Madras
Christian College, e-mail service will be available during tea break and lunch break.
