The mission of the St. Michael-Albertville Technology Department is to provide a positive

Help Desk
Help Desk Mission Statement:
It is our mission to acknowledge and resolve all help desk requests
in a timely manner with a positive, customer service attitude.
Help Desk Policies and Procedures
Help Desk hours are Monday – Friday 7:30 am to 3:00 pm
The Help Desk phone line is extension 4357 (HELP)
Help Desk is closed from 12:00-12:30 pm Monday-Thursday and 1:00-2:00 pm on Friday for
department training. Voice mail is always available.
Steps to Take:
When you have a technology issue, we ask that you first check with the Media Specialist and/or
the Media Para in your building to assist you.
If the Media Specialist and/or Media Para are unable to assist you, you may either call the Help
Desk line (4357) or email the Help Desk (helpdesk@stma.k12.mn.us).
If you leave a voice message on the Help Desk line, you will receive an acknowledgement return
call with-in an hour from the time you left your message.
If you email the Help Desk, you will receive an email acknowledgment within an hour of when you
sent the email.
If the recipient of your call/email is unable to assist you with the issue at hand, your request will
be entered in the Help Desk queue for a Technology Support Specialist to assist you.
Once Your Request Has Been Entered In The Help Desk Queue:
Once your request is entered, it is then assigned to the Technology Support Specialist for your
building or to the person that would be responsible for the issue at hand.
It is then prioritized within their work queue.
Once the Technician has received your request, you will receive an acknowledgment from that
person within 48 hours during the work week via phone or email.
The Technology Support Specialists have assigned days for each of the buildings. It is important
to know that even if you are aware of the day the Specialist is assigned to your building, do not
“hold on to” requests until they get to your building. We ask that you call or email the Help Desk
with your request(s) to have them assigned so the Tech Specialist can be more prepared to
resolve the issue(s).
Please be aware that there may be times that the Technology Specialist will not be able to get to
your building on the assigned day due to emergency issues, i.e. lightning strikes, network issues,
server shutdowns, etc.
Remember, no question is stupid! We are here to help!

Q. My password is not letting me in.
A. Check your Caps Lock key and make sure it is not on.
A. Make sure you are not using the password you use for True Time and Employee
Access.
Q. My computer is frozen, what should I do?
A. Hold down the Ctrl + Alt + Delete keys and select Shutdown or choose shutdown
from the Start button menu and then select Restart.

Q. Things seem to be running really slow, what should I do?

Data Backup
Our network servers are backed up nightly, Monday through Friday; beginning at 7 PM.
Data that is stored on the servers can be restored up to four weeks back.
What can be recovered?
Files that are located in your Network Folder (U:), Shared Folders (S:), Student Shared
Folders (W: or S:) can typically be recovered. All documents should be saved to one of
these locations if the recovery process is to be used.
What cannot be recovered?
Items that cannot be recovered are items saved on the desktop of your computer, on the
hard drive of your computer, My Documents or Internet favorites. If you create a file in the
morning and then it gets deleted that same afternoon it will not be able to be recovered.
How far back can data be recovered?
Data can be recovered up to four weeks back.
What information is needed to recover the files?

When was the file created or used last?
Saving Documents:
All documents should be saved to a network server (U: S: or W:)

We cannot guarantee that all documents or folders can be recovered; however, we will

Long Term Sub Information
If you will be out of the district for an extended period of time and a long term sub will be
filling in for you; please consider the following items.
How does the sub get access to log in to the computer or email?
o Long Term Subs working in one position for more than 20 working days will be
assigned their own computer login and email account.
o Once the employment forms have been received by the Employee Benefits
Coordinator, the login name will be sent to the technology department to be set up.
o Once the account has been created the login information will be sent to the
Administrative Assistant of the building or the Supervisor of the program.
Voicemail
o Clear the password on your voicemail account so the sub can access it.
o If checking your voice mail from home while you are out and there is a message
pertaining to a student, please forward the message to the appropriate person so
the caller can be responded to within a timely manner.
Passwords – computer/email, ClassXP, InteGrade Pro
o Do not give out your password.
o For InteGrade Pro an account can be created for the sub that will access your
grade book.
o For SASI and ClassXP the sub will need to use the teacher’s login unless your
building has decided otherwise.
o Long Term Subs working in one position for more than 20 working days will be
assigned their own computer login and email account.
Training
o If the staff member will be using ClassXP or SASIXP they should contact the
student management (SIS) coordinator for training. Jean Schreifels – Extension

o They may also need training for InteGrade Pro, which can be provided by the
building technology integration specialist in your building.
Parent Portal
o You may want to share your login information with your long term sub so they can
have access to the Parent Portal
Folder Access
o Long term subs will have full access to your network folder with their own login
username and password.
o You will not have to share your network login username and password.
o All email correspondence from the Parent Portal and Web page will continue to go
to the main teacher and will need to be forwarded to the long term sub.

Plotter – HP DesignJet 5500ps
The Technology Department houses a large colored Plotter printer to be used for large
format printing for the classroom. Examples would be; posters, charts, maps, and
banners. These print jobs would be for items larger than 17x20”.
This color plotter has the ability to print up to 60” wide. The media (paper) we load on the
plotter is generally a 36lb weight on a roll that is 60” wide x 100’ long. We try to utilize as
much of the width of the paper when printing to save on waste.
If you would like a document printed on the plotter for your classroom, please follow
these steps:
1. Email your document as an attachment to Rita Swansen-Valerius
ritav@stma.k12.mn.us
2. Documents formatted in Publisher are preferred or as a JPG image or a PDF
3. In the email; list the following pieces of information:
o Size needed of inches/feet wide x inches/feet tall
o Quantity needed for each document
o Date needed by (one week notice is preferred during the school year and three
weeks’ notice preferred for items needed by the start of the school year)

Print Shop Guidelines

What are the goals of this initiative?
1. The goal is print and copy to the most cost effective device available. This means shifting
printing from laser printers to copy machines and utilizing the high speed copier in the
District print shop as efficiently as possible. The higher the volume of copying on the print
shot copier, the lower the overall cost for the District.
2. A secondary goal is to submit all copy jobs electronically.
3. All staff will learn how to scan and submit copy jobs electronically.
How many copies can I make at local printers and copiers in my building?
On laser printers, we are asking people to only make 1-2 prints.
On local copiers, we are asking people to make only up to 15 copies.
All other jobs should be sent to the print shop.
Please do the following:
Send any job to the district print shop of more than 15 copies.
Send tag board and construction paper with your job to the print shop. You have two
options for sending the originals over to Janice Kruschke.
a) Scan the document and put the type of paper in the special instructions portion of
the job ticket. (This is the preferred method.)
b) Send your originals with the tag board or construction paper to the print shop.
When submitting documents, they need to be in the proper format. (i.e. they need to be
scanned the way you want the finished product to look.) If you have complex jobs, please
ask your building key contact person for assistance. Examples of complex jobs would be
– booklets, submitting a few pages from a couple documents as one job, a color copy job,
and reducing or enlarging jobs to fit on a different size of paper. The people listed below
are the key contacts in each building. If you have questions they will be happy to help
you.

You can send several jobs under one ticket, but they must all have the same
requirements for copying. (i.e. same number of copies, same attributes-back-to-back,
staple, paper color, etc.)
You can get your jobs ordered in sets. The only thing to remember is the sets must be
the same size. (i.e. 100 copies in 5 sets of 20-not 21, 22, 18, 19, 20). Enter the total
number of copies in the quantity and put the number of sets in the special instructions
portion of the job ticket.

Please refrain from doing this:
Don’t run classroom sets on laser printers. This really defeats the purpose of this whole
initiative. If you run into an emergency and do not have enough time to send your job to
the print shop, make the copies on the copier in your building rather than a laser printer.
Making copies on the DocSend copier units in these buildings should be used only in
emergency situations - AP office, MS office and teacher workroom, HS teacher
workroom, and CEC office. The reason for this is that the main function of these
machines is to scan originals and we have to pay a per copy fee for copies on these
machines.
Other information:
A color copier is available in the print shop. If you need color copies, please send it to
Janice Kruschke in the same manner as you would submit a regular copy job and put the
color copy request in the special instructions.
In the elementary a successful strategy has been to have one person submit copy jobs
for the entire grade level team or split the jobs up by subject (math, language arts, social
studies, etc.).
If you are wondering how to get started-please start with the worksheets or handouts that
you know that you will need and then progress to the more complicated jobs.
The default turnaround time is 2 days. You must select a date on the screen shown
below. If you do not need the job for a week or two, please indicate this by choosing a
date to reflect your need. This will help the print shop organize the jobs more efficiently.
Files will be saved in the Digital Storefront system for 120 days. This is a change from a
previous announcement. It was originally 180 days. We have calculated the storage
space requirements and we can only keep the documents on the system for 120 days.
This will allow secondary teachers that may teach the same course the second semester
to reorder copies from the order status menu, which will be quicker than going through
and creating a new job ticket.
When your network password changes, you will need to change the password when you
log into Digital Storefront.

1. Log into the DocSend unit and click on the File Format button. The default setting is
PDF.

2. Click on the MS Word/RTF option.
3. Click OK and then SCAN. This will scan the document into a MS Word document and
you can edit it on your computer.

(EEPR)
EEPR allows Elementary Teachers – Specialists as well as homeroom teachers:
To enter marks for report cards electronically
Print report cards with freeform teacher comments
Use secured web-based data entry
Define your own objectives and report card
Have your report card system interface with SASI
How to Login into EEPR
UserID is assigned by the Administrative Assistant in each Elementary building. It is case
sensitive.
Password is assigned by the Admin. Assistants in each Elementary building and is 6
characters or more and it is case sensitive and it doesn’t have to be the same as the
network password. It has to have a number and a special character included in the
password.
How does the teacher change his/her password?
Login into EEPR and select the tab labeled Change Password and fill in old and new
password and confirm new password

To print one student
1. Select Roster
2. Teacher Class appears
3. Click on the students column to print an individual student then select the Report
Card Draft Web tab then select submit

To print all Students
1. Select Report Cards to print all the students in the roster
2. Fill in Select one layout

Accessing InteGrade Pro from home
1. If interested; check-out the IGPro CD from your building Media Center
2. Insert the CD into your computer.
3. If the CD does not automatically open, double click on My Computer and then the CD
icon.
4. Double click on the IGPro folder.
5. Double click on install InteGrade Pro.
6. On the Introduction screen click Next.
7. Leave the default location and click Next.
8. Deselect “Sample Grade book Pictures” and “Scanning Support – Windows Only”. Then
click Next.
9. On the Automatic Update screen verify that “Set grade book to update automatically on
open” is selected; then click Next.
10. A License Information screen will appear. Click OK.

11. Enter the license credentials for the school you work in. Staff at Knights Academy should
choose the high school and staff at Page Academy should choose the middle school. If
you work in more than one school, just choose one of them.

SASI and ClassXP

The difference between ClassXP and SASI
SASI – Is the Student Administration Student Information (SASI) Program. Cross-
platform software helps schools manage, analyze and report extensive data. SASI
captures the data and creates the reports you need to meet state requirements. The
graphics-based design and drag – and –drop capabilities make it easy to customize your
desktop, increasing your speed of access to up-to-date data.
ClassXP is a program within SASIxp. This software allows teachers to access student
information from their classroom. There is a link between the data entered into SASIxp
by the office and the data viewed by the teachers in the classroom. This information is
current as long as the office uses the update feature.
How to login to SASI / ClassXP
UserID is the staff/teachers first name and the initial of their last name and it is not case
sensitive.
Password is 6 characters or more and it is not case sensitive and it doesn’t have to be
the same as the network password.
Problems with the Seating Chart
If someone emails or calls the Help Desk with a problem with their seating chart in
ClassXP; we will need the following information: Your name, the building you are from,
your password and the best way to contact you either by email or phone.
Who to Contact
If someone has a ClassXP issue who do they contact first?
High School they should the building Technology Integration Specialist
Middle School they should contact the media center.
Elementary buildings they should contact the Admin. Assistants in their buildings
If they are unable to assist you, they may redirect you to the Technology Dept. for further
assistance.

Training
Every new teacher or long term sub who has a class should be trained in ClassXP at the
start of the school year either by the SASI Coordinator; Jean Schreifels or contact their
building Technology Integration Specialists.
Long term sub or a new teacher that is hired mid-year should be trained in SASI/ClassXP
by either their building Technology Integration Specialists or the SASI Coordinator, Jean
Schreifels.
Every new employee that is not a teacher should get training in SASI if they will be using
the program. You will not get a User Name and password for SASI until you have been
trained by the SASI Coordinator, Jean Schreifels or the building Technology Integration
Specialist. The training takes 1 hour depending on your responsibilities for your position.

STMA Portal
The Student Information Portal (SIP), also known as Parent Portal, is a Website setup to
view student information. It gathers data from several other programs; SASI, IGPro,
Destiny (library system), and QSP (lunch system). This data is updated on a nightly
process. Staff, parents, and even students can login to view the information. To access
the portal visit the STMA homepage and click the link on the left titled “Student
Information Portal”. Also note that the portal is “read-only”, the information must be
updated from the main program.
How to Login
Depending on who is trying to log in, there are different ways to gain access.
Office Staff – There are special logins setup for each building which will list all students
in the school. Contact the helpdesk to get the login.
Teachers – Logins are created for each teacher which will list all of the students in their
classes. This is a combination of teacher number and abbreviated name in the SASI
program, for both the username and password. (Ex: 656JohnD) Contact the school office
for this information.
Parents – Parents must first stop into the school office and show photo ID to sign for a
handout. This handout has a hash code and step-by-step directions on how to create a
login. Note: There is a hash code for each student.
Students – Parents must first have a login and “Grant Access” for the student in SIP.
After which, the student can then use their login for school computers to login to SIP.
Change Password
If you feel the need to change your portal login password you may.
1. Login to the portal
2. When you see the student list, click the “Update Profile” button
3. When you see your profile info, click the “Change Password” button
4. Enter your old password and then a new one twice
5. Click the “Save Password” button
Note: Only parents are allowed to change their username.
Forgot Password
If you have logged into the portal before but can no longer remember your password, visit
the portal login page. Click the “Password Help” button, lower right corner. Enter your e-

mail address and click the “E-mail Password” button. You should receive an e-mail with
both your username and password.
Note: This also works for parents.
Filter Student List
For teachers and office staff, the student list can be very long. There is a filter to search
for a particular student or class (Section). To search through your student list simply enter
your criteria and click the “Apply Filter” button.
View Student Info
After logging in, when viewing the student list, you must click on a student’s name to view
more information about them. Once you have selected a student there are several “tabs”
on the top to view specific information.
Note: On each tab, you can click on a row to view more details, such as a Grade Book task.
Teachers - Missing Grades
You may notice or parents sometimes notify you that grades on the “Grade Book” tab are
not updating. This information comes from your IGPro grade book. There are a few things
you can check before contacting helpdesk.
Current Spreadsheet – In your grade book go to Setup > Classes. For each class on the
left, you must choose a “Current Grade Spreadsheet” on the right. This typically changes
each quarter when you start a new spreadsheet.
Saving to IGPro Server – For the 07-08 school year we
switched to the IGPro server. When first opening IGPro, make
sure you choose the server option.
One Grade Book – If you have more than one grade book
listed under your IGPro login, the portal sometimes gets
confused as to which one to read. Delete the unused, old
grade books.
Manually Entered Data – If you had to manually enter
students or classes, contact the helpdesk. There is still data missing that is needed for
the portal.
Task IGPro Link – For each task there is an option for IGPro link. Go to Tasks > Edit
Tasks. For each task on the left there is an “Allow export to IGPro Link” option. If
unchecked, that task will not show up on the portal.
Note: The grades on the “Report Card” tab actually come from SASI and update quarterly.

Creating Your Teacher Web Page
1. Go to www.stma.k12.mn.us
2. Click on Teacher Websites (TIES) on the left side.
3. In the Find a Teachers Web Page; select Sign Up.

4. In the Sign Up window; click on I have my code and I am ready to start my page.
5. This will bring up the Activation Code Entry window. Codes can be obtained through
the building technology integration specialist or from the Help Desk at ext. 4357. After
entering the code, click on activate me.

by your extension with a 2 at the end. Example –
(763) 497-2192 ext. 14112. The 2 at the end puts

How to Use Microsoft Outlook
1. Double click on the Microsoft Outlook icon on the desktop. The following window will appear.
This is the Inbox. This is where your e-mails will appear.
2. To read an e-mail double-click on it. Then another window will appear with the message in it.
When you are finished reading the e-mail; close the window. This will bring you back to your
Inbox.

Mailbox Maintenance
1. Clean out your "Inbox".
If there are items that you no longer need please delete them.
To select adjacent items click on the first item then press and hold Shift and click on the last item.
To select random items click on the first item then press and hold Ctrl and click on the other items that you
would like to highlight.
When the items are selected, click on the X.
2. Delete your "Sent Items".
If there are items that you need to keep that is fine. I try to keep no more than 1 month of Sent Items.
Click on Sent Items on the left.
To select all of the items go to the Edit menu and choose Select All.
To select adjacent items click on the first item then press and hold Shift and click on the last item.
To select random items click on the first item then press and hold Ctrl and click on the other items that you
would like to highlight.
When the items are selected, click on the X.
3. Delete your "Deleted Items".
Click on Deleted Items on the left.

How to Check Mailbox Size
1. Right click on Mailbox – (Your name). This is located under All Mail Folders.
2. Choose Properties.
3. In the lower left click on Folder Size.

5. Once you have determined where the large file(s) is located, click Close and then OK.
6. Go to the location that has the largest total size. Then you can sort the files by size by
clicking on the column heading.

Resource Calendar
To View a Resource Calendar
A resource calendar is used to schedule a meeting time with others or to reserve a
meeting location. You don’t have to do these steps but it is recommended to get a better
picture of the whole calendar.
Click Open Shared Calendar
1. The following screen will open – type in the location abbreviation such as MS =
Middle School, HS = high School, BW = Big Woods, AP = Primary, CE =
Community Ed, SE = Elementary, FE = Fieldstone. CLICK – OK.

4. Both calendars will be viewed - your calendar and the meeting room calendar. If you
don’t want to see the meeting room calendar all the time, click on the check box next to
the calendar you don’t want to view. If you wish to view the whole meeting room
calendar, just click the check box and the calendar will appear again.
Reserving the Meeting room or sending a Meeting notice to others and
reserving the meeting room.
The recommend way to schedule a meeting or reserving a location is to use your
calendar and invite others to the meeting. IMPORTANT NOTE: You MUST include the
RESOURCE (the meeting location) or it will not reserve the room.
There is another way to schedule a meeting; however this will cause problems on double
booking the meeting location.
PLEASE FOLLOW THE RECOMMEND WAY.

OTHERS’ - SELECT – ‘ ADD from Address Book’. Start typing the initial of your
buildings meeting room or people you wish to invite. CLICK the appropriate box –
REQUIRED = people you wish to invite --- RESOURCES = room/equipment to
reserve. Or if you know the exact way of the spelling of the person you wish to invite
– CLICK the box ‘Click here to Add a Name’ and start typing.
You may use this option, if you
know the correct spelling of the
person you wish to invite.
CLICK ‘ADD OTHERS’ – select ‘Add
From Address Book’ start typing the
name from the Global Address List.

5. To reserve a meeting room – Find the room by typing the beginning letter of the
building you are in. For example HS, MS, CE, AP, BW, SE, FE. The room NEEDS to be
added as RESOURCES. IMPORTANT NOTE: If you don’t add the room as a resource,
the room will not be reserved.

If the person or room is not available, there will
be a blue square in between the lines.
This will check the availability of the room. You
can also at this point move the scroll bar to view

6. After you have completed all your information about the meeting, you can press
‘SEND’.
7. You may get one of the below messages. If you are successful, the meeting will be
scheduled. If you are unsuccessful, the message will prompt you to change the time or
date.
8. To cancel a meeting – Double click the meeting to ‘Open’ – select ‘FILE’ – ‘DELETE’.
Click send message and a message will appear. (See below)
When cancelling a meeting it is recommended to send a cancellation notice out. This will
let others to know that meeting is canceled and this will cancel the room reserved.

Outlook Web Access (OWA)
After you have selected the Email Web Access, a prompt window will appear. This is the
window that allows you to log in.

computer in your building).

An Introduction to OWA (Outlook Web Access)
Outlook Web Access (OWA) has recently been updated for the ISD 885 district from Outlook 2000 to
Outlook 2003.
With this update you will see some of the following features:
You will now be able to access the district’s Global Address Book and your personal contacts.
Better graphic interface.
Reminders can now be utilized in your calendar.
User friendly.
Summer ‘06 updates to Outlook on the in-district work stations will look the same as OWA.
OWA and Outlook 2003 share similar settings.
Below is what your OWA Inbox Folder looks like when you first log on.
When you have your “Inbox” folder open, you will see that it shows you how many items you have
and you can use the arrows to scroll thru the pages containing items.

Once you open an email, you have your user tools available (Reply, Reply to all, Forward).
You also have the following tools to utilize:
1. Print: Opens up your Print window or prints directly to your default printer.
2. Move/Copy: Allows you to relocate the message to another folder location.
3. Delete: This will move your selected item to your “Deleted” folder.
4. Previous item: This allows you to scroll thru your previous emails without having to close
the existing message.
5. Next Item: This allows you to go to your next email without having to close the existing
message.

permanently delete the messages, you must delete them from your “Deleted” folder.

Accessing the Global Address List & Your Contacts with OWA
Once you open a new email message or reply to an email you may access your Contacts and
the Global address list by doing the following:
1. Click on the To… button and this will bring you to the Find
Names dialog box
2. In the Find names in: window the Global Address List appears.
If you click on the drop-down arrow to the right, you will see that you can also choose your
personal Contacts.
3. To find the recipient; place your
cursor in the Display name window
and type in the last name initial and
click on the Find button.
4. If you want to locate a Global Distribution List (example: “All Staff”); type an underscore in
the Display name window ( _ ) and click on Find.
5. After you have located your
recipient; highlight the
name and add your
recipient name(s) to… To,
Cc, or Bcc then select
Close.

Attaching a File or Other Item in OWA
OWA allows for the attachment of files and other items to email messages. This is a quick
method of exchanging files, contacts, appointments, etc.
To attach a file to a message:
1. Display the message to which the file is to be attached. Click the Attach File icon and the
“Attachments” Window will be displayed.
2. Locate the file to be attached by clicking on the “Browse” option.
3. Locate and select the item to be attached. Highlight that item and select “Open”.
4. This item will then show up in the “Choose a file to be attached” box.
5. Now select the “Attach” option.
6. Your selected file will now show up in the “Current file attachments” box.
7. Place a check mark by clicking to the left of the file to be attached.
8. Select the “Close” option.
9. Your file attachment is now shown in your email window and listed by “Attachments”

Calendar Basics
In OWA, you can access your calendar by selecting it from your folder options on the
left hand side.
Calendaring is one of the most useful parts of OWA. This allows you to manage
your schedules and appointments. When tasks and appointments are created with
“reminders”, OWA will notify the user (assuming it is running) at the specified

The district’s “Exchange Server” is the storage and transport system for the OWA. This
exchange server will not allow you to send emails (including attachments) larger than
3MB.
FYI: Units of computer storage capacity
KB: Kilobyte = 1,024 Bytes
MB: Megabyte = 1,024 Kilobytes
GB: Gigabyte = 1,024 Megabytes
Always double check your spelling in your email as well as the recipients email address.
Some email addresses are case sensitive.
It is a good idea to set up a “signature” within your “options” so that your recipient has
your name, title and contact information with your email message.
When replying to a message, follow this rule of etiquette to save time for your recipient:
Start by quoting the sender’s original question, particularly if the entire message was
lengthy. Then start your answer. If you just launch into your reply, your recipient is forced
to scroll down to the bottom to find out what they originally wrote, and then to scroll back
up again to continue reading your reply.
Take the time to “explore” OWA for the many options and managing tools it has to offer.
Utilize the “Tasks” in your folder list to assist in outlining your “to do” list.
Always remember to “clean up” your folders by deleting and then permanently deleting
emails that you no longer need.
If you need to delete a large section of emails, you can do this by highlighting the first one,
then holding down the “Shift” key on your keyboard, highlight the last one. You will notice
that several are now highlighted. Select your “delete” option and all will be deleted.
If you choose to select several emails that are not together, you can highlight the first
email, hold down the “Ctrl” key on your keyboard and select the messages you want to
delete or move.

Password Policy
1.0 Overview
Passwords are an important aspect of computer security. They are the front line of
protection for user accounts. A poorly chosen password may result in the compromise of
St. Michael – Albertville School District’s entire network. As such, all employees
(including contractors and vendors with access to systems) are responsible for taking the
appropriate steps, as outlined below, to select and secure their passwords.
2.0 Purpose
The purpose of this policy is to establish a standard for creation of strong passwords, the
protection of those passwords, and the frequency of change.
3.0 Scope
The scope of this policy includes all personnel who have or are responsible for an
account (or any form of access that supports or requires a password) on any system that
resides at any facility, has access to the network, or stores any non-public information.
4.0 Policy
The policy will go into effect on January 15, 2007 for all employees. All passwords will be
changed at a minimum every 90 days. Password must be a minimum of 6 alphanumeric
characters. If you use a Macintosh computer the password must be no longer than 8
alphanumeric characters. The password must contain 3 of the 4 groups listed below. A
password may not be reused. You may only change your password once in a 24 hour
period.
Group Examples
Uppercase letters A, B, C ...
Lowercase letters a, b, c ...
Numerals 0, 1, 2, 3, 4, 5, 6, 7, 8, 9
Symbols found on the keyboard (all keyboard `~!@#$%^&*()_+-

4.1 General
All system-level passwords (e.g., root, enable, NT admin, application administration
accounts, etc.) must be changed on at least a quarterly basis.
All production system-level passwords must be part of the KeePass administered
global password management database.
All user-level passwords (e.g., email, web, desktop computer, etc.) must be changed
at least every 90 days.

User accounts that have system-level privileges granted through group memberships
or programs such as "sudo" must have a unique password from all other accounts
held by that user.
Passwords must not be inserted into email messages or other forms of electronic
communication.
Where SNMP is used, the community strings must be defined as something other
than the standard defaults of "public," "private" and "system" and must be different
from the passwords used to log in interactively. A keyed hash must be used where
available (e.g., SNMPv2).
All user-level and system-level passwords must conform to the guidelines described
below.
4.2 Guidelines
A. General Password Construction Guidelines
Passwords are used for various purposes. Some of the more common uses include: user
level accounts, web accounts, email accounts, screen saver protection, voicemail
password, and local router logins. Since very few systems have support for one-time
tokens (i.e., dynamic passwords which are only used once), everyone should be aware of
how to select strong passwords.
Poor, weak passwords have the following characteristics:
The password is a word found in a dictionary (English or foreign)
The password is a common usage word such as:
o Names of family, pets, friends, co-workers, fantasy characters, etc.
o Computer terms and names, commands, sites, companies, hardware, software.
o The words "STMA", "knights", "stmike" or any derivation.
o Birthdays and other personal information such as addresses and phone numbers.
o Word or number patterns like aaabbb, qwerty, zyxwvuts, 123321, etc.
o Any of the above spelled backwards.
o Any of the above preceded or followed by a digit (e.g., secret1, 1secret)
Strong passwords have the following characteristics:
Contain both upper and lower case characters (e.g., a-z, A-Z)
Have digits and punctuation characters as well as letters e.g., 0-9, !@#$%^&*()_+|~-
=\`{}[]:";'<>?,./)
Are at least six alphanumeric characters long.
Are not words in any language, slang, dialect, jargon, etc.
Are not based on personal information, names of family, etc.
Passwords should never be written down or stored on-line. Try to create passwords
that can be easily remembered. One way to do this is create a password based on a
song title, affirmation, or other phrase. For example, the phrase might be: "This May
Be One Way To Remember" and the password could be: "TmB1w2R!" or
"Tmb1W>r~" or some other variation.
NOTE: Do not use either of these examples as passwords!

B. Password Protection Standards
Do not use the same password for St. Michael – Albertville School accounts as for other
non-St. Michael – Albertville School access (e.g., personal ISP account, option trading,
benefits, etc.).
Do not share passwords with anyone, including administrative assistants or secretaries.
All passwords are to be treated as sensitive, confidential information.
Here is a list of "don’ts":
Don't reveal a password over the phone to ANYONE
Don't reveal a password in an email message
Don't reveal a password to the boss
Don't talk about a password in front of others
Don't hint at the format of a password (e.g., "my family name")
Don't reveal a password on questionnaires or security forms
Don't share a password with family members
Don't reveal a password to co-workers while on vacation
If someone demands a password, refer them to this document or have them call the Help
Desk.
Do not use the "Remember Password" feature of applications (e.g., District Printshop,
Eudora, Outlook, and Netscape Messenger).
Again, do not write passwords down and store them anywhere in your office. Do not store
passwords in a file on ANY computer system (including Palm Pilots or similar devices)
without encryption.
Change passwords at least once every 90 days (except system-level passwords which
must be changed quarterly).
If an account or password is suspected to have been compromised, report the incident to
Help Desk and change all passwords.
Password cracking or guessing may be performed on a periodic or random basis by the
Technology Department or its delegates. If a password is guessed or cracked during one
of these scans, the user will be required to change it.

Web Filter
The Web filter is a system connected to our Internet connection to block harmful
Websites. It also has other functions to both speed up Websites and limit others.
Websites are categorized by the filter company and update daily. The district has setup a
default policy on Websites but can be modified for a particular Website. Web browsing is
also tracked and can be retrieved if requested.
Block & Un-block a
Website
Even though there is a list
maintained by the filter company,
the district can block or un-block
Websites on a per-Website request.
If you would like to access a
Website that is currently blocked,
use the form on the blocked page to
send a request to the Technology
Department.
If you would like to block a Website
that is currently accessible, send an

The filter also tracks every users browsing history. The history on computer browsers are
not as accurate as the filter reports. If you would like to review where a student has been

E-mail SPAM Filter
Just to note, the SPAM filter is a separate system from the Web filter. So any issues with

What is United Streaming?
United Streaming is a service which STMA has signed up for that allows access to videos
online. There are more than 4,000 videos in their database which you can use in the
classroom. You can also link the videos in your SMART Notebook files for quick access
and integrate it into your curriculum.
How do I get there?
United Streaming is Web based so you can access it from anywhere. All you need to do
is open up your Web browser, such as Internet Explorer or Firefox. Then in the address
enter the URL: www.unitedstreaming.com From there you can login and access the
videos.

How do I get my username and password?
The first time you use United Streaming, you must create a username and password. To
do this you’ll need the proper Pass code. Below is a list of Pass codes per building:

How do I retrieve my username or password?
If you already signed up for United Streaming but forgot your username or password, you
can retrieve that from their Website.
1. On United Streaming main page, click on the “Forgot your username or password?” link.
2. Depending on what you are trying to retrieve, enter the correct field and click Continue.
3. You should either receive an e-mail with your username or be prompted with the process
to change your password.

Once you have a username and password, you can login from the main page to access
all of the videos and content. Enter your username and password into the login form and
click Go.

I’ve found a video, now what?
Once you find a video there is more than just
playing the video. You can click the play button to
just play the video. Or there are several other
options, “tabs” on the right side:
Full Video – Describes the video and has options
to play, download, save, and rate it.
Video Segments – Breaks down the video into
smaller parts to play individually.
Citations – Notes about the video
Related Materials – Additional links to related
curriculum and teacher guides.
What is the best way to play the
video?
When you are ready to play a video there
are a couple choices you can make.
Closed Captioning – Check the box to
display that while playing
Media Type Selection – If you have
multiple media players you can select
your preferred one. However, we
recommend Windows Media.
Player Selection – There are two options here:
o Embed in Web Browser – Plays the video right in the Website, good for previewing
the video.
o Stand-Alone Application – Opens up your selected Media Type player to play the
video, good for playing in the classroom.
o ** If you would like to keep things simple, just Embed
How can I make the video play in full-screen?
Depending on how you are playing the video you can
display it in full-screen. If you’ve opened the video in a
Stand-Alone Application then you’ll have to find the full-
screen button. If you Embedded the video and are using
Internet Explorer, there is a button to change to full-screen.
Windows Media Player full-screen button is in the
lower right corner. You can than press [Esc] to exit
full-screen.

The video looks “blocky” when in full screen, what can I do?
Unfortunately there isn’t anything that can be done about some poor quality videos. It is a
limitation of the size of video and the screen. An option to help would be to leave the
video out of full screen mode.
For issues playing videos on the projector see the last page of this document.
How can I save this video to use later?
You can either bookmark the page in your Web
Browser or save it in your United Streaming login. We
recommend the United Streaming login that way it is
always saved and not erased when we update
computers.
1. When you are watching the video, choose Full Video
or Video Segments tab on the right. If you are on the
Video Segments tab, check the segments which
you’d like to save. On the bottom of the tab section,
click the Add button.
2. A new window will pop-up asking where
you’d like to save it. You can choose My
Content by default or add/select a different
folder to organize your saved videos. Click
the Add button.
3. Once you’ve added the video to your list
there will be a Close link to close the pop-up.
4. Once you have added the video, you can access it again by going to the My Content link
on the top.

How can I share this video with other teachers?
You must first save the video, above, and go to the My Content page. There you will see
a list of your saved videos.
1. On the video you would like to share, click on the drop down menu for that video and
choose Share.
2. A new window will open and has several
options to choose from. There are two ways
to share the video:
a. Share to School – Allows all the
teachers in your building to view the
shared video.
b. Share to District – Allows all teachers
district wide to view the shared video.
After you decide who to share the video too,
choose where you would like the video to be
saved. There are options to save in existing
folders or create new ones. Try to keep
things organized with folders. Click the Share
button when ready.
3. Once you’ve shared the video teachers can click on the School Content tab under their
My Content page. They will then see a list of the videos.

How can I use this video in my SMART Notebook document?
You can link your objects or add shortcuts directly to
United Streaming videos in your SMART Notebook
document. To do this you MUST BE AT SCHOOL, it
will not work properly from home.
1. Start playing the video
2. Right-click on the video and select Properties
3. In the Properties windows highlight and copy the
Location. It should start with http://10.2.100.36/
4. Open your SMART Notebook document
5. Insert an object or text that you would like to click on
6. Select/highlight the object and go to Insert > Link
7. Past the Location you copied into the Address field
8. Select how you would like to launch the video, either by clicking the corner of
the object or any part of the object
9. Another option instead of objects is to just add links to your attachments.
Select the Attachments tab on the right side
10. Click on the Insert button at the bottom and choose “Insert Hyperlink”
11. Past the Location you copied into the Hyperlink
field. Enter a name for the link
12. You will then see the Hyperlink listed in the
Attachments tab which you can double click to open the video

How can a sub access the videos?
There are substitute logins for each building. These logins have access to the School and
District Content. However, they do not have access to your “My Content”. So you will first
need to share your saved video into the School Content.

The video is playing on my screen but is black on the projector, how
can I fix that?
This is an issue with the projector not working with the
computer properly. It typically happens with the older
projectors. To fix the issue:
1. Right-click on the playing video and choose Options…
2. On the Performance tab change the “Video
acceleration” option to the middle or none (left)
3. Click the Ok button on the Options window
4. You may need to close your video and get back in for the change to take effect. If that did
not help call the helpdesk.

Technology Instructional Supplies and Capital Outlay,

When completing the Instructional Supply and Capital Outlay Requisitions, please adhere to the

If you are considering a software purchase, please contact the help desk. We need this
information to verify the compatibility with our system, make sure the software gets loaded on the
proper computers over the summer, and for inventory purposes.

Use the catalog description and be specific.
Follow the deadlines set by your building administrator.
Instructional Supplies (blue) –
The instructional supply budget for each homeroom is $300 for the entire year. Reserve a portion
of the $300 for supplies that need to be purchased during the school year. For all other
departments, assume the budget is the same as last year. There is a possibility that the supply
budget may be reduced. You will be notified if you need to prioritize or support your requests.

Capital Outlay -
Capital Outlay requests include textbooks, science kits, media books, novel and leveled reader
