					Exercise 1)
Listen to the briefing (which) new service engineers are getting:
a) A group of newly recruited engineers are attending a briefing course on photocopier installation.
The
Technical Manager is giving the basic instructions for he installation of the 9450. As you listen,
tick the
appropriate column in the table. DO means actions that the engineer must perform, DON´T
means
actions that they mustn’t perform:

Check if the customer wants a cabinet
Presume he doesn’t want a cabinet because it isn’t on the order form
Try to persuade the customer to buy a cabinet
Assemble the copier on the floor
Assemble the copier in its final position
Adjust the feet so that the machine is level

Fit the tray under the A4 cassette holder

b) Listen again, paying attention to the way the instructions they receive are expressed. Check them
against
the following table. How would you translate the phrases?
The instructions given by the Technical Manager were of 2 types:
POSITIVE NEGATIVE
You must check if he wants the cabinet. You mustn’t use any other toner except 9450.
You ought to try to persuade him … You oughtn´t to need any force.
You should assemble the copier… You shouldn’t use a surface …
You are to take the main copier. You are not to assemble it …
You are supposed to just click it into position. You are not supposed to use force.
c) Underline all the phrases used for giving instructions in the text (to be handed out).
Exercise 2)
What is to be done when a paper gets jammed in the copier?
Below are the steps to be followed if the 9450 jams (i.e., if paper gets stuck in the machine).
Numer the steps from 1 to 12 in the correct order. Some of them have been done for you:
You shouldn’t use force when replacing the drum. 8
You oughtn´t to try to pull out the copy drum before you release the locking screw. 3
You must switch the power off. 1
You ought to replace the copy drum carefully.
You ought to check the machine is functioning.

You mustn’t forget to switch the power on again.

You are not (supposed) to touch the drum surface.

a) Underline the words giving instructions. How are they given?
b) Cover the text and write a set of instructions briefing service engineers on how to change
an inkjet
cartridge in a copier. Keep in mind the language will be considerably less formal. The
following
words will help you to remember what was in each step of the instructions:
Step 1: button
Step 2: access door, print cartridge cradle
Step 3: loading position, tape, ink nozzle, copper ribbon
Step 4: cradle, arrow, cartridge top, printer
Step 5: print cartridge
Step 6: print cartridge button




GRAMMAR SUMMARY
To express instructions and recommendations, use
1. The imperative
Switch on the light.
2. Modals (should, ought to, to be to, must)
3. Modal phrases (it is necessary to, it is conditional upon, it is a requirement that, it is permitted,
etc.)
The meaning and use of modal verbs in technical and scientific writing may slightly differ from
general
English.
Can = May - are often interchangeable and both can express possibility, but may is slightly more
formal
Can and may can/may often be interchanged. (lze)
Should = ought to - express instructions and advice to operators and employers, are often used in
manuals.
You should close the front panel. (je nutno)
- express specifications (i.e., what is required of something)
The steel should not contain more than 5% of carbon. (nemá,nesmí)
- express expectations (i.e., what is expected to happen)
The building should be completed by May. (má být)
Should - expresses politeness when must is really meant, is less imperative and urgent than
must
You should check the results again, I think. (musíš, je třeba)
To be to - expresses an expected/obligatory activity or situation
You are to be present when the briefing is to start. (musíte, má)
Must - expresses a generally accepted obligation/necessity/requirement, is more
imperative than should and therefore should be used only in such situations
You must observe the safety precautions. (musíte)
Should not = - expresses prohibition or recommendation what not to do, is more polite than
must not
Ought not to Such words should not be used by young ladies. (nemají)
You ought not to use any force to close the lid. (nesmíš)
Not to be - expresses recommendation or what not to do, and especially in the past tense is
often used instead of must
Dogs are not to be left running about.

Decide on the exact meaning of should in the statements and complete them. In some of them
use the passive. Sometimes more than one meaning is possible. Translate the sentences into
Czech.
