Front Office Coordinator
Term: May 7 to August 17, 2012
Total of 15 Weeks
Hours: 487.5 hours total, 32.5 hours per week
Supervisor: Human Resources & Operations Commissioner
Required to receive up to 15 hours of training prior to April 20, 2012 at standard wage
Front Office Responsibilities:
To answer front office telephones, direct calls to appropriate people, record messages as needed.
To respond to student and public inquiries regarding the CSA and the University. To try to find out the answer to inquiries as
best as possible. To refer students, and public to another area if necessary.
To be aware of the whereabouts of executive members during office hours in order to best respond to student inquiries.
To be responsible for booking the CSA Boardroom
To be responsible for booking CSA Equipment
To ensure that equipment is returned in good working condition, and contact the group if the equipment is not returned on
To distribute incoming mail to executive, staff, clubs, college governments, etc.
To be responsible for lost and found within the University Centre. Keeping items for 30 days and then making arrangements to
have them donated to the Stuff Swap.
To be responsible for collecting payment from students who use the Pro-Ink Refilling cartridge service, collecting recording
payments from students, etc., and answering questions regarding the service.
To be ready to advertise the CSA in a brief speech to visiting campus tour groups
(Note: CSA Front Office hours are weekdays, 9am to 4:00pm)
Providing photocopying for CSA Clubs, Executive, Staff, receiving payment for photocopying for students;
To ensure that the CSA Photocopier is in good working order and contact XEROX if service is required
Ordering toner and replacement parts as necessary.
Bus Pass Distribution & Student ID Cards:
To assist in the Summer 2012 Bus Pass Distribution and distribute bus passes throughout the summer
Collect opt-in payments from Cooperative and Distance Education students
To collect bus pass replacement fees for replacement stickers
To email students if any lost student cards are returned to the CSA Office
To send unclaimed cards to the Registrar's Office
Responsibilities to CSA Executive and Staff
To take messages, book appointments and meeting rooms, distribute information, perform photocopying, faxing, and answering
general student inquiries on behalf of the Executive and Staff Members.
To purchase and arrange for delivery of all office, operational and supply needs of the CSA. This will be done on behalf of both
CSA Executive and staff members.
To make sure deliveries arrive complete.
To maintain adequate office supplies on hand at all times, monitoring inventory in supply cabinet.
To be of general assistance in office-related tasks
General knowledge of the CSA and how it runs
Proficiency with computers, particularly with Microsoft Office programs
Ability to work independently while remaining focused and on tasks
Ability to multi-task
Strong time management
Customer Service Experience is strongly recommended
Strong understanding of and commitment to anti-oppression
Good understanding of Zimbra and its calendar system an asset
