1. Naming Timetable Printing Styles
 Different styles for printing timetables can be defined by the user. These styles can be
  configured according to the user’s specifications and saved for future use.
 Select Timetable / printout / edit printout / and a list view containing all existing printout
  styles is displayed:




    To change the default name of any printout styles, left click twice slowly and
     overwrite. Click OK.

    To create a new style, click the New button and rename.

    To delete a style, click Delete button.

    To select a printout style, press Timetable / Printout from the main tool bar and
     they appear as a sub menu as shown on the following diagram.

2. Printout dialog box
   Data Tab:




                                              Data tab
    Type of Focus
          This drop down list contains a list of all the resources for which timetables can be
           printed e.g. – lecturer/room/student etc.
          A list view will appear for all data items under that resource. Put this list into
           alphabetical order.
          Hi light the names of those for which printouts are required.
          Can be printed simultaneously even if separate timetables required, providing
           radio button in separate timetables.
    Style for printing – select timetable style appropriate for that printout.

    Use this tab to select individual weeks, or week range by clicking the Weeks button.
    Radio button must be in Containing any to ensure all events are included in the
     printout.

                             Title Tab
    Title – allows user to specify a title to be displayed above each timetable. The name
     and/or code of the timetable item can be used as the title by inserting one or more of
     the following string formats:
          %c: code of the timetable item
          %n: name of the timetable item
          %fd: date of the Monday of the week range selected.
          %w – CMIS week number
           o Any free text can also be entered into this field either with or without codes.
           o Alternatively, press the Title button and select from a list.
    Font (currently Header) – adjust font size and type.
    Border (Currently Footer) – the title can be given a border which is defined in the
     following ways:
          Background colour; tick fill colour checkbox and select a colour.
          Line Style; solid, dot, dash or combination
          Line Thickness & Colour
          Border sides; choice of combination of left, right, top, bottom.

                9:00 to 14:00                                     14:00 to 19:00


              This represents three timetables fitted on to one page. Three resources must
               be selected for this to work.


    Orientation / size – Default is portrait and A4 respectively.


    Individual timetable options
          Radio button in Fit. Ensures timetable fits to the requested number of pages.
          Maintain proportions must be UNTICKED.


    Header / Footer (select Set)
          Allows user to specify text to be included on any printout and can be added to the
           right, left and centre of the printout.


          The current date can be added as a header or footer by clicking Data item /
           current date / own format. Brackets appear with the word ‘date’ between the
           brackets. After ‘date’ insert %%d-%%m-%%y (no spaces).




    Distance from List: The higher the figure the further the header or footer is from the
     body of the printout.


    Font/Border: Header and footers can have font size and type adjusted and borders
     added

    A default header / footer that appears on all printouts can be set by selecting File /
     Page setup from the main menu.


Advanced Tab
    Only required when printing course timetables or columnar printouts.

    Events to display
          Radio button in Show scheduled events
          Normal event generation
    Course timetables
          Tick ‘from available and compulsory modules’.
          Add a level to the year box
    Student timetables
          Modules – tick if timetabling by module sub group.
          Class groups – tick if timetabling by class group.
          If student timetables are a mixture of both types of timetabling, tick both.
    Options:
          Tick ‘restrict weeks displayed to filtered week range’
          Tick ‘Ignore timetables with no events’ – Timetables will then not be printed for
           any resource which has no events scheduled.

3. List view (Columnar) Printing
 Tick ‘Columnar printouts instead of graphical timetables’




 Select Columns button and the following options appear:


    Modify Column details – allows the user to change which columns appear on the
     printout and their order, the attributes of each column and the default label of each
     column can be changed as well. Detailed Instructions for this function are contained
     under Modify Column Details in The Room Bookings training manual (section 5)
     and the Functions of the Timetable View Dialog box training manual (section 3.3).


    Filter column data – allows the user to control the data that is displayed in any
     printout. Detailed instructions for this function are contained in the Data Management
     Training manual (section 3.5).

    Define Default Sort – allows the user to identify the columns to be used for sorting
     and the required sorting order i.e. ascending or descending.

          The order of the columns determines the priority of the sorting. In the example
           above the printout would sort by day first, then within each day by lecturer.
          The columns can be sorted by using the Up and Down buttons or by dragging
           and dropping the column heading.


    Modify column set up


           Line Tab




           o Enables the user to create borders around the printout.
           o As the user adjusts the borders the Sample at the bottom of the page adjusts
             accordingly to reflect a graphical display.

           Columns Tab




           o Enables the user to create different colours and fonts for the column headings
             and data.
           o The default is that any colours or font selected will be applied to all columns
             but this can be changed for individual columns by selecting the column
             heading from the Column drop down menu.
           o As the user adjusts the colours the Sample at the bottom of the page adjusts
             accordingly to reflect a graphical display.


           Advanced Tab




          Ensure the Title field is left blank.

           Scaling Tab




          Radio button must be in Fit to Page and Maintain Proportions must be unticked.
           Otherwise same as Size tab in Printout Dialog box.
          A Header and footer can be applied in the usual way to all of the printouts.

4. Final Stages of Printing
 Press Continue and the screen below appears:




    The TT style should default to the same one selected in the Data tab but check as
     sometimes it is blank or has a different one selected.


    This screen gives the user the opportunity to change the appearance of the individual
     printouts without affecting the settings for the printout as a whole.


    By changing the radio button to different Periods/times the user can change the
     layout of the timetable grid. The default is Horizontal and Start Time.


    The heading can also be changed by adding or removing ticks to Code, Name and
     Total Scheduled Time.


    The timetable and cell style selected can be modified on a temporary basis by
     pressing the relevant button.

4.1 Print preview
    Allows the user to preview the printout prior to printing:




    The Next Page and Prev Page buttons allow the user to page through the printout.

    The Zoom in and Zoom out buttons allow the printout to be enlarged or reduced.

    The Two Page button will show 2 pages of the printout alongside each other as the
     diagram over the page shows.


4.2    Print
    When the Print button is pressed, the standard Print dialog box is displayed.

    Allows printer properties to be modified (e.g. orientation) and the page range and
     number of copies to be specified.
