CREDIT CARD USAGE Policy: 3525
Employees of the Bladen County Schools may be required to make purchases or incur expenses
while performing their duties as employees. The Superintendent has the authority and
discretion to provide bank credit cards to selected employees to use in the performance of their
duties as employees of the school system. This policy establishes the rules governing the use
of Bladen County School’s credit cards.
A. ISSUANCE AND AUTHORITY
The Superintendent shall approve the issuance of a credit card to any school employee
that the Superintendent determines needs a credit card to perform the responsibilities of
his or her job. The Superintendent has the authority to cancel an employee’s Bladen
County School’s credit card at any time and for any reason.
B. ASSOCIATION USE ONLY
A Bladen County School’s credit card shall be used for school-related purchases and
expenses only. School credit cards may not be used to purchase personal items or to
receive cash advances. Employees are required to submit receipts to verify all expenses
charged to a school credit card. Receipts accompanied by an explanation of each
purchase or expenses shall be submitted to the finance officer each month on forms
provided by the finance department.
C. IMPROPER OR UNAUTHORIZED USAGE
If an employee uses a Bladen County School’s credit card in violation of this policy, the
employee shall immediately reimburse the Bladen County Schools for the expenditure.
If the employee is unable to repay the full amount immediately, the finance officer, in
consultation with the superintendent, shall determine the best method for securing
repayment of the funds, including withholding of funds from an employee’s paycheck.
Employees who deliberately or repeatedly misuse school credit cards are subject to
disciplinary action up to and including dismissal.
D. GAS CARDS
The finance officer shall authorize “gas” credit cards to be used solely to pay for the
purchase of fuel and approved maintenance for association-owned vehicles.
