Dear Colleague,

With reference to our letter of 30 July 2011 we herewith invite you, representatives of the member
associations of ECNAIS and headmasters/ teachers of your own association for the

                                    ECNAIS Conference in Warsaw, Poland on
                               Thursday the 17th and Friday the 18th of November 2011.

The theme of the conference is:

“The Independent Sector & Diversity in Education: Creating a Learning Society”
          Supported by the EU with a grant from the Lifelong Learning Programme: Jean Monnet

We kindly ask you, as we agreed during the ECNAIS Seminar, held in The Hague last 29th and 30th
September, to invite, without delay, your colleagues, headmasters and teachers to attend the conference.
The variety of approaches and the inputs are a window of opportunities to enrich the debate and to foster
the independent school sector at national as well as at the European level.

Because of the EU grant from the Lifelong Learning Programme: Jean Monnet, ECNAIS can
afford to reimburse your travel expenses, and take in charge the accommodation costs (hotel
room for 3 nights and meals).
Only a small conference fee, which you’ll find in the registration form, is required.

Please find attached the Programme and registration/reservation form. It is very important that we receive
the registration/ reservation form no later than the 28th of October, as we have to inform the hotel how
many rooms we need . You can send the registration/ reservation form to the ECNAIS secretariat,
Lexia Hulst at lhulst@vbs.nl. The invoice will be sent after we have received your registration/reservation
form.

MCM meeting
The management Committee Meeting (open for members of the MC only) will take place on Saturday 19th of
November from 09H00 till 12H00.

Please pay attention

ECNAIS will cover the travel and accommodation expenses of the participants according to Jean
Monnet financing rules:


Travelling:
Participants are to pay the travelling expenditure prior to applying for a reimbursement.
Participants are required to use the cheapest means of travel (e.g. use Apex tickets for air travel and
take advantage of reduced fares).
Reimbursement is based on real costs, irrespective of the means of travel chosen (rail, bus, plane).
Travelling expenses will be reimbursed upon delivery of the documents (e.g. boarding passes, train
tickets, bus tickets,...), within the deadline and in accordance with the procedure required, and after
verification.
Taxi expenses & travel insurance are not reimbursable.

A reimbursement form will be available on the conference. Please send the form (with the required
documents) immediately after the conference, but not later than 1 December 2011 to:
ECNAIS, c/o VBS, Peter Warnders, Bezuidenhoutseweg 251-253, 2594 AM The Hague, the Netherlands.

Accommodation:
The overnight accommodation does not include any personal expenditure (e.g. mini-bar, restaurant, or
other). The meals are part of the Conference and are referred within the programme.
