LRI TIMES
Quarterly. Four pages. Classroom and social area distribution.
Content: Calendar of events, Presidents Message, longer articles relating to finances, aspects of LRI and twice
yearly a listing of contributors: patrons, supporters and donors. In part geared to board and committee
activities and actions.
Production run 600. Cost $100 plus volunteer and staff input.
MEMBERSHIP DIRECTORY
Listing of members names, addresses, phone and fax numbers, email addresses. Published twice annually.
Distribution to members only, available in classrooms and social rooms.
Cost $1.75 per copy.
PROMOTIONAL BROCHURES
Tri-fold flyer: General information and membership brochure. Mailed to prospective members, available for
any publicity events. Inexpensive, easy to use. Updated periodically, every two or three years.
Slick “Promotional Brochure”. Glossy. Four pages. Overview or “mission statement” brochure.
Produced in conjunction with University sponsor. Plenty of pictures, letter from the GMU President.
“Quick grabber”, very professional. Recruitment and external presentations main use.
Production by LRI volunteers and staff with GMU photographers and editorial consultants of the Print
Services Department.
Cost $2000 or roughly $1.00 per copy.
Very attractive, limited on hard content and organizational details. Satisfied with the result but some
question as to value and effectiveness. One time effort.
FAIRFAX INK
Literary magazine published each spring and fall, highlights short stories, poems and other writings by LRI
members. Available for a $2.00 donation in the LRI office.
Any LRI member can submit stories or poems. Many submissions come from participants in fiction and other
writing courses.
Production by volunteers. Print run 100 copies. Sales primarily to authors and friends but some to general
membership. Quality of submissions varies but overall a successful venture.
Cost partly subsidized by LRI if sales do not cover expenses.
POETS OF TALLWOOD
Published every other year by members of the Poetry Workshop class. Submissions primarily from present and
former class members.
Sales to authors, friends and general membership Price $5.00 per copy helps to offset production costs.

Well designed website, may be one of the better ones for a LLI in the country. Menu includes: Home page,

Catalog Information, Volunteer at LRI, FAQ’s (frequently asked questions), Site Map, LRI Publications,
Become a “Friend of LRI”, LRI Member Pages, and external links to Today at GMU and This Week at GMU.
Excellent information for prospective members. Source of information for current members depending on use
of internet.
Issues have arisen regarding content and style, purpose and timeliness of material, and editorial input. Web site
now updated regularly by publication committee volunteers.

E-MAIL
Is e-mail a publication? Who is authorized to send e-mails to the membership? How many e-mails are too
many? These issues are still being discussed.

Following are the Guidelines and By-Laws of the Virginia Beach Writers Group which is part of Old Dominion
University ILR.
GUIDELINES
Mission
The mission of the Virginia Beach Writers group is to provide a forum for published, unpublished and would be
authors where poetry and prose written by members can be read, critiqued and given marketing suggestions.
I General
We will critique and comment on your writing, not on your philosophy, religion or other beliefs.
Verbal personal stories are generally not appropriate but the facilitator may see fit to allow such stories if he feels
they enhance our goals. See the mission statement. Entertainment and fellowship will occur, but they are not our
primary reason for being here.
II Guidelines
a) Only written material unless facilitator permits verbal stories which should be short.
b) Read only what YOU write, not something from another person or periodical.
c) Please provide sufficient copies for facilitator and projectionist. More if written critique requested.
d) If it is something you have read before, do not read it again, unless you have changed it as a result of critiques or
there is some other imperative reason. If there is such a reason, please explain it.
e) Read only ten minutes unless the facilitator has authorized a longer period.
f) Critiques should not exceed five minutes.
g) Meeting should commence on time at 10:00 a.m. and end at 12:00 p.m.
h) Announcements and business discussions generally should not exceed 15 minutes.
i) The facilitator will control all aspects of the meeting and may take the time necessary for teaching.
j) He/she will make every effort to follow these guidelines.
III Procedures
Guests will always be introduced first and invited to read at some point in the meeting.
a) Members who arrive late read last, and then only if time permits.
b) Members who missed the last meeting read after those who did not miss the last meeting unless they have been
out of town or have other good reasons for missing a meeting.
c) Members who miss six meetings will be removed from the roster unless specifically requested otherwise.
IV Priorities
The facilitator will endeavor to give priority to the following:
a) Material with copies for the group to read will be given priority over those that don’t.
b) Newly written material to be critiqued prior to submission to a contest or publication.
c) Material modified by the author as a result of a previous critique.
d) Material written by the author that has won a contest or recently been published.
e) Material written by you that you have no intention of publishing but may be of interest to the group. (Example:
Chapters of an autobiography).

CONSTITUTION AND BY-LAWS
OF
VIRGINIA BEACH WRITERS
ARTICLE I – NAME
The name of the organization shall be Virginia Beach Writers
ARTICLE II - PURPOSE
The purpose of Virginia Beach Writers is to advance the craft of writing primarily in the city of Virginia
Beach by providing forums where published, unpublished and would be authors can be read, critiqued and
given marketing suggestions, and secondarily to conduct youth writing contests.
ARTICLE III - MEMBERSHIP
1. ELIGIBILITY AND AFFILIATION
Membership is open to anyone of any race, creed or color. The organization will be affiliated with Old
Dominion University’s Institute for Learning in Retirement. (ILR) and shall normally meet at their facilities.
2. MEMBERSHIP YEAR
The membership year shall be July 1 to June 30
ARTICLE IV - FEES AND DUES
1. There shall be no initial fees or dues.
2. The Board of Directors may propose fees or dues , however, any such fees or dues will not be
implemented until approved by a two thirds majority of the members present and voting at an
annual meeting.
ARTICLE V - OFFICERS
1. The officers shall be President, Vice President, Secretary/Historian and Treasurer.
2. The officers shall be elected at the annual meeting and shall serve for one-year terms being
eligible for re-election. The President and Vice President shall be eligible for only one successive
re-election to their respective offices.
3. Vacancies which occur, shall be filled by the Board of Directors for the remainder of the term.
ARTICLE VI - BOARD OF DIRECTORS
1. The Board of Directors shall consist of the officers, a chairperson from each of the standing
committees, and the immediate past president.
2. The Board of Directors shall have general supervision of the affairs of the organization between
annual meetings, establish recommended dues, set the hour and place of meetings and make
recommendations to the members.
ARTICLE VII - MEETINGS

1. One Organizational meeting shall be held at which time initial officers shall be elected, and their
terms of office shall commence immediately after election. The preceding sentence and this
sentence shall be deleted following that election.
2. The organization shall hold weekly meetings throughout the year on Tuesday mornings between
the hours of 10:00 a.m. and 12:00 p.m. unless the President cancels or reschedules such
meetings.
3. Annual membership meetings shall be held in June after the first year at which time new officers
will be elected whose terms of office shall commence immediately after election.
4. Other meetings of the membership may be called by the Board of Directors as
needed.
5. A quorum shall be the majority of the members attending the annual meeting or
any special meeting called by the board of Directors.
6. A quorum of the Board of Directors and of any other board or committee shall
be a majority of its members.
7. The Board of Directors shall meet at least quarterly.
ARTICLE VIII - COMMITTEES
1. The President, with the advice of the other officers shall appoint committees as required.
2. The President shall be ex officio a member of all committees except the nominating committee.
3. The Board of Directors shall appoint a Nominating committee in April of each year and such
other ad-hoc committees as are needed.
4. The committee chairpersons shall select their own committee members.
ARTICLE IX - COMMITTEE RESPONSIBILITIES
Committee responsibilities shall be as assigned by the President and Board of Directors.
ARTICLE X - AMENDMENTS
These by-laws may be amended by a two-thirds vote of those present and voting at the annual
meeting or any special meeting called by the Board of Directors, provided the notification of any
changes has been sent to all members at least thirty days prior to the annual meeting or the special
meeting.
ARTICLE XI - PARLIAMENTARY AUTHORITY
The rules contained in the current edition of Robert’s Rules of Order Revised shall govern the
organization in all cases to which they are applicable and to which they are not inconsistent with
these by laws and any special rules of order the organization may adopt.
ARTICLE XII - DISSOLUTION
If the Virginia Beach Writers ceases to function, any remaining funds and property shall be
transferred to Old Dominion University’s Institute for Learning in Retirement.
