ARC Meeting
February 23, 2008
Attending: Will, Ila, Kurt, Brandt, Fedor, Parvathy, Csilla
1. Introduction of new reps
a. Ila showed up for the first time. Welcome!
b. Lloyd signups just went up.
c. Dabney is going to have someone by Monday.
d. Ricketts can send someone next week but going to have elections.
2. Core Curriculum Re-Evaluation: Alternate Rep Selection
a. Andrea is most likely going to study abroad.
b. Dan Lo is going to be the committee alternate.
3. Course complaints
a. ACM 95
i. Some of the complaints are just because the professor is different from Niles
Pierce, but others are related more specifically to the way the course is going.
ii. Kurt received 15 e-mails about the course problems within half an hour.
1. The course does not have enough applied math.
2. Problem sets are not related to the lectures.
3. Lecture notes do not make sense.
4. The professor is nice and welcomes questions but is just not teaching
material relevant to people’s future course work.
5. Students are unhappy that they cannot use notes from previous years in
the class.
6. Kurt will forward the complaints to Will.
7. Will is going to e-mail Dan to ask what went wrong with previous time
of giving feedback on course problems and she will avoid that approach
in giving feedback on this course.

i. Send all comments to Csilla or some other member of BUSAC.
c. ChE class
i. Ila will bring up complaints next time.
4. Student Experience Conference
a. Publicity
i. Large classes during SEC
1. CS21 (Kurt, Fedor): Has been dealt with.
2. CNS 102 (Fedor): Has been dealt with.
3. EE/CS 51 (Adi): Was moved to 3:30.
4. Law33 and everything else (Will)
a. Ph 2b popular TA agreed to cancel class.
b. Law 33 may do a recording for class.
c. Will has e-mailed every professor with class size over 20 people.
ii. T-shirts (Parvathy)
1. Parvathy is picking up the shirts on Thursday.
2. ASCIT paid for them.
3. We have a list of people to distribute them to.
4. We ordered 85:
a. For ARC, BoD, IHC, faculty, student life administrators, and an
extra two per house that the ARC rep can distribute.
iii. Program and fliers (Caleb), printing (Fedor)
1. Everyone put fliers outside their doors and around their houses.
a. You can even choose different colors.
b. There will be new fliers for everyone to post on Wednesday.
c. Also, make house announcements!
2. Our new reps are going to put fliers up on bulletin boards (when we have
the new ones). Kurt and Ila are willing to, but even our new reps who did
not attend the meeting today should help out.
a. To save time and effort, they can just put up the fliers on the
popular undergraduate buildings and avoid places that are
frequented only by graduate students.
3. Caleb, please add the bullet point of Student-Faculty Interactions (the
new name for other recommendations).
a. Also, add the session times as well.
4. Program updates: Caleb, please update speakers for Program.
a. Switch Brandt Belson to Fedor Manin.
b. Add session moderators.
i. Vibha is moderating Residence Life, Parvathy will
moderate the Caltech Syndrome, Will is moderating
Teaching and Advising, and Mike Woods is moderating
the Student-Faculty Interactions session.
c. Add the names of all ARC representatives who have helped on
the conference.
i. Space can be made for this by getting rid of the titles for
Chairs and Secretaries.
ii. It is more important to recognize everyone who helps us
than to have the titles on the program.
5. Fedor will get the programs printed when final drafts are sent to him.
iv. ASCIT (Will) / IHC (Caleb) / Tech (Will)
1. ASCIT is really supportive.
a. Will is going to send out a ug-list announcement on Friday with
the Student-Faculty lunch announcement.
2. Caleb is going to talk to the IHC about t-shirts, and will make sure that
they send out house e-mails about the event.
3. The Tech has not interviewed anyone so Will is going to call Sara and
Marissa to set up interviews.
b. Logistics
i. Food (Caleb)
1. Food is free and taken care of by Tom Mannion.
ii. Lottery prizes (Brandt, Caleb)
1. We have $300 and Beth is trying to get us discounts from bookstore, and
Caltech Wired.
a. The information that we are giving out hundreds of dollars worth
of prizes should be put in every bit of advertising that we do from
now on.
2. We will give out a mix of gift cards and some big prizes.
3. Lottery tickets will be given out in between every session and then we
will do the prize drawing at the end.
a. All ARC reps present will help hand out the tickets.
iii. List of Rec's to Prof. Hunt (Caleb)
1. Ryan only went through rec’s from back of report so Caleb is going to
put more recommendations in and fix.
iv. anything else?
c. Finalizing Roles at the Conference/Contact List/Times Available (Csilla)
i. Kurt (806-252-6025): at the conference the entire time.
ii. Ila (505 – 400- 6223): at the conference the entire time except for between 1- 2
pm
iii. Will (858-231-2975): at the conference the entire time.
iv. Fedor (650-575-4016): at the conference the entire time.
v. Parvathy (503-997-0911): at the conference the entire time except the end
vi. Everyone else, please let Csilla know when you can be there.
d. Speakers/Moderators: meeting
i. Speakers: Adrianne, Andrea, Caleb, Fedor
1. Fedor will e-mail Scott Fraser to let him know about the switch.
ii. Moderators: Vibha, Parvathy, Will, Mike Woods
iii. Csilla will e-mail all speakers/moderators to ask about a time that will work for
them.
iv. We will make sure there is no overlap in what speakers are talking about
v. Prepare discussion questions.
vi. Csilla will e-mail K. Mani to say that we are sorry but we do not have space for
him to speak in the conference.
e. Taking notes
i. All ARC reps in attendance who are not specifically moderating or speaking at a
session will have to take notes during the session.
ii. This part is very important for follow-up.
f. Follow-up issues
i. Csilla sent out an e-mail outlining what Will is probably going to say about
follow-up in the conference and when to say particular points on follow-up.
ii. Even though these are not instructions for how ARC reps should handle follow-
up, all of it is relevant to ARC.
iii. All ARC reps, please make comments in the next couple days.
iv. Take home point for ARC members:
1. Take notes on what anyone says to you and give them to Csilla at the end
to put in the final follow-up report.
2. Know the follow-up procedures so that if anyone asks about them, you
can answer their questions.
5. Student-Faculty Lunch (Parvathy, Kurt)
a. This week's lunch went well. Adolphs wants to reschedule and Dean Hall had an
emergency meeting to attend.
i. Kurt did a good job and is ready to take over next term.
b. Next one (March 6)
i. Apostol and Mike Brown coming next time.
ii. There will be a ug-list e-mail on Friday after Parvathy sends one to Will.
c. We will stop doing the theme of favorite professors.
6. ARC Secretary/Rep-at-Large sign-ups
a. Will be put up on March 2 and taken down a week later.
b. Interviews will be the evening of Tuesday, March 11.
c. Interviews are mandatory for all new ARC members and optional for all outgoing ARC
members.
