					UCL Key Skills System – Student User Guide




    1.What is the UCL Key Skills System?
    The Key Skills System allows you to plan and record your skills development in a systematic way. This will help you
    to assess where you need to concentrate your development efforts, think about how to best develop your skills and
    how you can best present them to others.

     2. Logging in to the UCL Key Skills System
     Go to http://www.ucl.ac.uk/portico in your
     browser and log in using your UCL user ID and
     password. This is the same username and
     password you use to access your UCL e-mail.

     You will see the PORTICO Student Home
     Page with a series of tabs near the top. Click
     on the tab labelled ‘Key skills’ to see the home
     page of the UCL Key Skills System.

     3. Getting around
      The key to getting around are the boxes on the right-hand side of the home page (called containers). Each
     container has a series of links (1) and a link to a help-box (2).



     Please note that more containers are revealed
     as you use the system – initially you will just
     see the Terms and Conditions. Once you have
     agreed to the terms and conditions, you will
     also see the Profile, Personal tutor meetings
     and Useful Links containers. Once you have
     created an initial profile, the planning and
     reports containers will also be revealed. In this
     way the system guides you through the skills
     development process – more information
     about this process is available from the
     KeySkills website (www.ucl.ac.uk/keyskills)




     The full list of containers is:
     Key skills terms and conditions – This provides a short introduction to the system and lets you know who
     can access your data and the regulations governing use of the system.
     Profile – This enables you to select a number of skills you wish to develop and identify some areas of
     strength. You can record your development and evidence for your skills and amend the privacy status of
     your entries.
     Planning – This allows you to plan the development of particular skills.
     Personal Tutor Meetings – This allows you to record when your personal tutor meetings are and any
     notes/agenda relating to them. Recording this information will enable you to see how your skills develop
     between meetings.
     Reports – These enable you to access all the information you enter into the system. It will show you your
     current skills profile, past entries of evidence and plans (both active plans and previous ones).
     Useful Links – This provides links to other facilities useful for skills development and to the key skills
     website, which provides guidance on how to use these in conjunction with each other.

     4. Starting off
     You need to accept the terms and conditions to gain access to the system’s functionality. After that, you
     should create your own profile. Doing so will enable you to access the system’s full range of functionality.

     Accept the Terms and Conditions
     From the key skills home page:
        click on Key skills terms and conditions (labelled 1 above) to go to the terms and conditions page
        tick the box next to: I agree to the people stated above having access to the data I enter in the
         system and understand which regulations govern use of the system
    click Continue to return to the key skills home page
You will now be able to see the Profile, Personal tutor meetings and Useful Links containers.

Create your skills profile
From the key skills home page:
    click on Create profile (or Create new
       profile) in the Profile container to go to
       the profile main page
    click on the + next to a skills category
       (1) to view the skills within it
    to select a skill as an area to develop
       click the button in the – column next
       to the skill (2)
    to select a skill as a strength click the
       button in the + column next to the skill
       (3)
    click the button next to Ready to
       move on (4)
    click Next (5)

This will take you to the evidence entry page.
     To enter evidence of your skills see below (from step 2).
     To complete your profile click Save Profile. You will be returned to the home page, with the full
         functionality of the system now available to you.

Enter evidence of your skill levels
Once you have created an initial skills profile you will be able to enter evidence of your skills. From the key
skills home page:
      click Update evidence in the Profile container to go to the evidence entry page
      click on the + next to a skills category to view the skills within it
      click a skill name to go to the evidence entry page for that particular skill
      in Evidence (1) enter the reasons for
         thinking you have reached a particular
         level of skill
      if you wish, you can change your
         rating by clicking on the buttons next
         to the skill levels (2)
      you can make your entry private (non-
         visible to your personal and
         departmental tutors) by ticking the box
         next to where it says Private? (3)
      click Save (4)
      click Return to go to the main
         evidence entry page
      to save your profile click Save profile,
         which will take you back to the key
         skills home page

Plan your skills development
Once you have created an initial skills profile you will be able to plan your skills development. From the key
skills home page:
      click Skills planning in the Planning container to go to the main skills planning page
      click a skill name to go to the planning page for that particular skill
      enter your plan into the text-entry boxes
      if you wish to receive an e-mail reminder, enter the date you wish to receive this in the Target
         review date box (you may wish to use the calendar tool next to this box)
      you must enter a target completion date (you may wish to use the calendar tool next to this box)
      to make the entry private click the box next to Private record
      click Save to return to the main skills planning page
      click Exit to return to the key skills home page

5. View reports of your skills development

To view non-completed plans
From the key skills home page:
     click Active plans from the Reports container to go to the active plans report page
     to expand a plan click the + next to the skill name
     to collapse a plan click the - next to the skill name
     click the key skills tab at the top of the page (see first picture in this document) to return to the key
       skills home page

To view your current skills profile, evidence of your skills and all plans
From the key skills home page:
     click All profiles and plans from the Reports container to view your current skills profile
To view the evidence entered for a particular skill:
     click on the skill name
     click Return to go back to the current skills profile report
To view the plans entered for a particular skill:
     click on either the plan target date for that skill or the word Complete in the plan target date column
        next to the skill required
     to collapse a plan click the - next to the skill name
     to expand a plan click the + next to the skill name
     click Return to go back to the current skills profile report
To return to the key skills home page
     click the key skills tab at the top of the page to return to the key skills home page

6. Allow your personal and departmental tutors to view your reports
To view reports of your skills development, your personal and departmental tutors must be entered into
PORTICO. They can do this themselves. Alternatively you may enter them into PORTICO as follows:
     click the Student Home Page tab at the top of any page in the key skills system (see first picture in
        this document) to go to the student home page in PORTICO
     click on Enter your personal and departmental tutors in the Your student record container
     enter the UPI for your personal and departmental tutors (you can get these from your personal tutor
        or alternatively look them up in the UCL directory www.ucl.ac.uk/directory)
     click Store
     click on the key skills tab to return to the key skills home page

7. Change the visibility of your data to your personal and departmental tutors
You can only change the visibility of a plan prior to marking it complete. You can do this from the individual
skills planning pages (see Plan your skills development above).
You can change the visibility of your evidence as follows:
      click on Amend public/private statuses in the Profile container on the key skills home page
      to make a record private tick the box in the Private? Column next to the record
      to make a record public un-tick the box in the Private? Column next to the record
      click Store
      click on the key skills tab to return to the key skills home page

8. Record meetings with your Personal Tutor
To record a meeting with your personal tutor:
     click Record meeting details in the Personal tutor meetings container on the key skills home page
     you must enter the date and time of the meeting (you can use the calendar tool next to the Date of
        meeting box)
     you may wish to enter notes about the meeting or a planned agenda
     click Save
     click Close to return to the key skills home page

To change details of a meeting:
     click Amend meeting in the Personal tutor meetings container on the key skills home page
     click the Date of the meeting you wish to modify
     modify the details
     click Save
     click Close to return to the list of meetings
     click Close to return to the key skills home page
