Labs Steps:
        Lab 1: Create a Search template
        Lab 2: Modify a Folder Information template
        Lab 3 (Optional): Create a Folder Contents Template
        Lab 4 (Optional): Create a Task Template




Lab 1 Objective:
        A search template allows users to retrieve and display documents, folders, or other objects from the repository. Here,
        you will create a template for a search interface. Later in TaskSpace lab, you will use this interface to display the search
        template on a Search Tab.




Lab 1 – Create a Search template – (base on Grant Request Search Form)
    In this lab you will create a search interface which will be used later in the TaskSpace lab to display the search capability.

    To start Forms Builder:
        1.   From the Windows desktop, select Start Programs Documentum Forms Builder.

        2.   On the login page, login with the user assigned to ts_designer role on the system (typically dmadmin or the
             installation owner you defined for the xCP installation), and select the repository installed with the xCP installation
             (documentum).

        3.   Click Login.

             The Welcome to Forms Builder dialog box appears. The dialog box lets you create a new template, or open an
             existing template.

4.   From the Create new template list box, select TaskSpace Component.

5.   From the Template type list box, select Search.

6.   In the Enter a name box, enter Grant Request Search Form – Lab. Click OK.




     The Simple search (based on a single document type) is already selected. This option will take you through a
     wizard, where you can specify the SELECT, FROM and WHERE clauses in your DQL query.

     Note: In the Advanced search (based on the custom query) option, you can type your DQL query as text and then
     test the syntax. For more information on setting an Advanced search, refer to Forms Builder User Guide
     documentation.

7.   From Select an object type list, select Grant Request (grant_request). This has all the data needed for searching
     the repository for all Requesters’ information.

8.   Click Next. Step 3 is where you specify the columns in your DQL query (SELECT clause).




     This is a list of all available attributes (data) within the Grant Request (grant_request) object type.

     Uncheck Only custom attributes to list all the attributes belonging to the parent of the specified object
     (dm_sysobject, in this case) as well.


9.   Add the following attributes to Search results columns list by selecting them from the Available attributes list and
     clicking the right‐arrow button. To select more than one item, use control‐click.

     Note: The list is Not in true alphabetical order.

          Applicant Legal Name (applicant_legal_name)
          Created (r_creation_date)
          Funding Amount (funding_amount)
          Funding Purpose (funding_purpose)
          Grant Priority (grant_priority)
          Grant Request Id (grant_request_id)
          Grant Status (grant_status)
          topic_status (topic_status)
          r_object_id (r_object_id)

10. Click Next. Step 4 is where you specify the filters in your DQL query (WHERE clause).




11. On a Search window, the users indicate the conditions they want the result set to be filtered on. Here, you will
     specify the columns to match the user entered values:

    11.1 From Variable list, select grant_request_id.

    11.2 Leave Condition as equal to, and Value as Get user input.


    11.3 To add more filter to the list click the Plus button            (on the right)




    11.4 Repeat steps 11.1 – 11.3 for the following columns:

              applicant_legal_name
              grant_priority
              grant_status


         Note: Don’t add another row, after you’ve created the grant_status filter, since you’re going to do that in the
         next steps.

11.5 To set the Created date range, add 2 new rows to the list, by click the Plus button twice. Change the values
     according to the following:


     Variable = r_creation_date, Condition = before, Value = Get user input radio button.

     Variable = r_creation_date, Condition = after, Value = Get user input radio button.




11.6 To set the Funding Amount range, add 2 more rows to the list of filters:

     Variable = funding_amount, Condition = greater than or equal to, click Get user input

     Variable = funding_amount, Condition = less than or equal to, click Get user input

12. You are done setting the filters. Click Next.




13. Click Finish.

14. From Design Boxes pane (on the right), drag and drop a Horizontal Box                                   right underneath
     application_logal_name control, within the same Vertical Box.




15. On the Design window, click on funding_amount1 control. Drag and drop it into the Horizontal Box.

16. On the Design window, click on funding_amount2 control. Drag and drop it into the same Horizontal Box, right
     next to funding_amount1.




17. To get rid of the empty Vertical Box (that originally contained funding_amount1 and funding_amount2), from the
     UI Model pane, right‐click on it (searchTermX control) and select Delete from the menu.




18. On UI Model pane, select searchTerm2 from the list, or on Design window, select the Vertical Box that contains
     r_creation_date1 and r_creation_date2. This will select all the controls within the Vertical Box as well, so we can
     move them together.

19. Drag and drop the whole box underneath the Horizontal Box that contains funding_amount1. This will move the
     containing controls as well.




20. Since r_creation_date1 and r_creation_date2 controls are currently a Text Field and they are supposed to be a
     DateTime Field, you need to change their data type.

   20.1 Click on r_creation_date1 control, on the Design window. On Properties pane, General Data & Storage tab,
        scroll down to Data type and change it to dateTime.




   20.2 Click Yes, when asked if you want to continue.

   20.3 Repeat step 20.1 – 20.2 for r_creation_date2.




          You should see both fields changed to a DateTime Field.

21. On UI Model pane, select searchTerm6 from the list, or on the Design window, click on the Vertical Box that
    contains grant_priority and grant_status

22. Drag and drop the whole box underneath the Vertical Box that contains r_creation_date1 and r_creation_date2
    controls.




23. The grant_status and grant_priority are supposed to be user input controls, so they need to be deleted and re‐
     created as a Dropdown List control, with predefined values:

    23.1 From UI Model pane, expand searchTerm6 and right‐click on grant_priority. Select Delete from the menu, to
         delete the control.




          Note: When you delete from the UI Model pane, it will delete the selected control only, and not the data
          associated with it. In the later steps, you will need the data to map it to the Dropdown control you’re going to
          create.


    23.2 Repeat step 23.1 to delete grant_status control.

    23.3 From Controls pane, drag and drop a Dropdown List                                   into the empty Vertical Box.

23.4 On Properties pane, General Display tab, change the Name to grant_status and the Label to Status:.

23.5 On General Data & Storage tab, change Data name to grant_status.

23.6 On Special tab, from Data binding dropdown list, select /GrantRequestSearchForm‐Lab/grant_status. This
     maps the control to grant_status attribute.

23.7 On Special tab, scroll down to Possible values.




23.8 To add a new value to the list, click Add. Enter Submitted for both Value and Display.




      Click OK.


23.9 Repeat step 23.8 for values Rejected and Approved.

      Here’s what the final list should look like:

24. To re‐create grant_priority control:

    24.1 From Controls pane, drag and drop a Dropdown List                                 , underneath the Status control, within
         the same box




    24.2 On Properties pane, General Display tab, change the Name to grant_priority and the Label to Priority:

    24.3 On General Data & Storage tab, change Data name to grant_priority

    24.4 On Special tab, from Data binding dropdown list, select /GrantRequestSearchForm‐Lab/grant_priority. This
         maps the control to grant_priority attribute

    24.5 Scroll down to Possible values. You create the list here




    24.6 To add a new value to the list, click Add. Enter Low for both Value and Display

    24.7 Repeat steps 24.6 for values Medium and High

          Here’s what the final list should look like:




25. Now, you’re going to change the labels for some of the controls so that the template looks more user friendly:

    25.1 In the Design window, click on grant_request_id control

    25.2 Under Properties pane, General Display tab, change Label to Request ID:

    25.3 Repeat steps 25.1 – 25.2 for the following controls:

27. The ListView that displays the search results is at the bottom of the Design window. To make the result set more
     readable for the users, you’re going to hide the columns that users don’t need to see and change each column’s
     name to a more meaningful label.

    27.1 Click on the ListView control at the bottom of the Design window, or on UI Model pane, click on ListView




    27.2 On Properties pane Specials tab, scroll down to Columns section. Select the r_object_id row and click
         Modify




          Note: The columns are displayed with the order you see on the Columns table. To change their order, select a

          row and use the Up‐arrow or Down‐arrow               button (on the right).

    27.4 On the same Columns table, select the grant_request_id row, and click Modify

    27.5 Change Column label to Request ID




          Click OK.

28. You now have to install the template in order for it to get saved in the repository and for TaskSpace to be able to
     access it. At the top menu, go to Tools Install, and click OK on the confirmation Message.

     Note: At any point in the process, you can validate your template by going to the top menu’s Tool Validate to
     make sure there are no errors with the data mapping.

Lab 1 Questions: Search Template

Labs 2‐4 Objectives:
       In TaskSpace, when you open a task, it brings up a form (figure 1) that consists of the following Forms Builder templates:
                 a Folder Content template (the top box)
                 a Folder Information template (the middle box)
                 a Task template (the bottom box)
       This functionality enables the Grant Manager to perform all of the functions involved in managing the grant application.
       For the purpose of this lab, you will only create the Folder Information section (Lab 2). The other Labs included in this
       document are optional.

Lab 2 – Modify a Folder Information template – (Grant Request Folder Form)
    This Folder Information form displays three tabs: Request Information, Applicant Information, and Assessments. The
    Request Information and Applicant Information tabs display information from the high‐fidelity form (Grant Request Form)
    already created in Forms Builder. The Assessments tab displays an applicant rating and a risk factor, which is automatically
    assigned by the system during the grant request creation process.


    For the purpose of this lab, you will build on top of an existing Folder Information template, which based on an existing
    template called Grant Request Folder Form.




    To modify an existing Folder Information form template:

        1. Start Forms Builder and login to it, if it’s not already open. For instructions on how to start Forms Builder, refer to
             the first section of Lab 1.

        2. In the Forms Builder software, click the Open Template… (on the left). The Open Form Template pop‐up appears.

     From the template name list, select Grant Request Folder Form ‐ Lab.
     Check the Check out template on open checkbox, at the bottom of the page.


3. Click Open.




     This template is missing a few controls on the first tab, which you will create in the following steps.

4. Here, you’re going to create a button that when clicked will invoke an action called grant_discussion. This is a
     Grants Mgmt sample application delivered action, which enables discussions on the current folder. This action is
     going to need the Object Id of the current folder (r_object_id). That’s why you have to associate the button to the
     current r_object_id (step 4.7).


     4.1 From Controls pane Action, drag and drop an Invoke Button                                          control, right next to the
            Save button, inside the horizontal box on the top.

     4.2 On Properties pane General Display tab, enter ‘show_discussion_button’ for the Name and ‘Show
            Discussion’ for the Label and Tool tips.

     4.3 On the same pane, Special tab, scroll down to Application section and click Select.




     4.4 Select GrantsManagement from the Application list, and grant_discussion from the Action list. This means
            that when the user clicks on this button, it invokes the pre‐defined action called grant_discussion.




     4.5 Click OK.

     4.6 On the same tab, scroll down to Display component by. Select Pop‐up window radio button. This will display
            the Window Size. Select large from the list.

     4.7 Scroll down to Input Parameters section. Select Override value radio button.




             Select /GrantsRequestFolderForm/dm_sysobject/r_object_id from the list


5. From Controls pane, drag and drop a Text Field                            control, right next to Project Title control, within the
   same horizontal box.




6. On the Properties pane, General Display tab, change the Name to Status and Label to Status:

7. On General Data & Storage tab, change Data name to grant_status and enter Grant Status for Description.




8. On Special tab, in Data Binding section, select /GrantRequestFolderForm/grant_request/grant_status from the
     list.

9. On Style tab, change Label orientation to Top. Also, scroll down and change Horizontal align to Left.

Lab 3 (Optional) – Create a Folder Contents template – (Grant Root Folder Contents)
    This folder establishes the folder path where the submitted applications are placed within the Grants Root Folder.




    To create a new Folder Contents form template:

        1. In the Forms Builder software, click the Create new form template                     icon on the toolbar or select File New
             Template.

        3. From the Template type list box, select Task.

4. In the Enter a name box, type ‘Grant Root Folder Contents ‐ Lab’ for the name.
5. In the Description box, type a brief description (optional) for the template. This description does not appear in the
     user interface.
6. Click OK.
     The New Template wizard appears, starting with the Step 2 page.




     Select Grant Request (grant_request) from the document types list, and click on the blue right arrow to add it to
     the Document types selected list.

7. Click Next.




8. Select Sysobject (dm_sysobject) from Select columns to be displayed list.
9. Select Name (dm_sysobject), and click on right‐arrow to add them to Columns selected list.

10. Repeat the previous step for Format (dm_sysobject) and Type (dm_sysobject)




11. Click Next. Step 4 will be displayed; no changes here.




12. Click Next. Step 5 will be displayed; no changes here.

14. On UI Model pane, expand all the controls in the tree view. Right‐click on searchTerm control and select Delete.
     This should also delete all the controls underneath searchTerm.

     options’.

Lab 4 (Optional) – Create a Task form template – (Grant Manager Task Form)
    This is the task form for the manager review. This form enables the Grant Manager to perform all of the functions involved
    in managing the grant application. The form includes the Grant Request folder information form that displays data from
    the grant application. The task form also contains the Submitted Application and Review History folders, as well as the
    required documents the applicant submits. Buttons on the form enable the manager to send the grant to a list of
    reviewers, notify the applicant with ad hoc comments, request the required documents, and approve or deny the request.




    To create a new Task form template:

        1. In the Forms Builder software, click the Create new form template                    icon on the toolbar or select File > New
             Template.

2. From the Create new template list box, select TaskSpace Component.

3. From the Template type list box, select Task.

4. In the Enter a name box, type ‘Grant Manager Task Form ‐ Lab’ for the name.

5. In the Description box, type a brief description (optional) for the template. This description does not appear in the
     user interface.

6. Click OK.

     The New Template wizard appears, starting with the Step 2 page.




     Select Manage Grants Request process from the list.

7. Click Next.




     Select Retrieve new Grant Request as the activity.

8. Click Next.




9. Shift‐select everything on Available process variables list and click on right‐arrow, to add all variables to Selected
     process variables list.

10. Click Next.




11. Click Finish.
12. Expand all the controls on UI Model pane. Besides the following controls:
          IdentificationDocument checkbox
          Liability checkbox
          TaxStatement checkbox
          Comments Text Field

     Delete the rest of the controls from both the Data Model and the UI Model panes. To do that, you right‐click on the
     control on both pane, and select Delete from the pop‐up menu.

13. Drag and drop a Docking Box (from Design Boxes pane) onto the bottom of the form.




     Click No.
     On the Style tab, change Horizontal align to Left, and enter ‘#348AE0‘ for Background color.

14. On UI Model pane, select ButtonGroup control. This highlights the box around the buttons on the form. Drag and
     drop the selected Horizontal Box onto the Docking Box.




15. Drag and drop a Vertical Box onto the top of the form. Click No, for the activity. In Properties General
     Display, change the label to ‘Required Documents Received’. In Style tab, select ‘Show label’ checkbox. (Don’t
     worry if the whole label is not displayed.)

     Drag and drop a Horizontal Box next to the vertical box. Click No, for the activity.
     Drag and drop another Vertical Box within the horizontal box. Click No, for the activity.

16. Drag and drop the three existing checkboxes: TaxStatement, IdentificationDocuments, and Liability, in the same
     order, within the same inner Vertical Box.

17. On the specified tabs, change the following values:

    In Display tab, change Name and Label to ‘Remarks’.
    In Special tab, change ‘Input width’ = 350, and ‘Input height’ = 67.
    In Style tab, change ‘Vertical align’ to Top, ‘Label orientation’ to Top, and ‘Horizontal align’ to Left.

19. Drag and drop a Text control                   on top of the outer Vertical box. Click No, for activity.
    Change Name to ‘Grant_Request_Information’ and Label to ‘Grant Request Information’.
    On Style tab, change:
              Font size = 14
              Font color = #336699
              Width = 300




20. Drag and drop another Text control underneath the previous Text control.

     Select ProcessName from the list. Click OK.
     In Display tab, change Name and Label to ‘Owner’.
     In Special tab, change ‘Default value’ to ‘CaseReviewByManager’

21. Drag and drop a Folder View control above Docking Box.




     Select DocumentId from the list.

22. Click OK.




     On Special tab, Change Height = 500, and select ‘Show Folder Information’ checkbox.

23. On UI Model pane, delete Finish button.

24. On Docking Box, make the following changes to the remaining buttons:

25. Select Approve button. On General Rule tab, click Add.




26. Select TaxStatement from condition list (you might have to scroll all the way to the right to see the attribute’s
     name). Click Add.

27. Repeat the previous step to add IdentificationDocuments and Liablity to the conditions list:




     Select Read‐only, at the bottom. Click OK.


28. On Docking Box, add an Invoke Button                                   right before the Approve button.

29. Repeat the previous step and add 2 more Invoke Button.

Appendix A

Modifying High‐Fidelity Form in Grants Management:
   1. Modify the Grants Application Request Form template. Refer to Lab1 for instructions on modifying existing templates.
        Note: You can only make changes that do not change the data model. You can delete controls.

   2. In Forms Builder, select Tools Local Install.




        Click the button in front of Form Path, and select Desktop. Click Install. This will put a saved copy of your form on to
        your desktop.

   3. Find grants.war file. The location varies, depending on where the Application Server is installed. If you’ve installed a
        single instance machine, the file would be in the following directory:

8. To make sure the file is not cached in Grants Management Portal, either purge the cache or restart the application
     server.

9. Open a Web browser and select TCM folder on the menu bar. Select Grants Management folder Department of
     Grants Portal




10. On the portal, click Create New Request.




11. The modified version of the Grants Application Request Form will be displayed.
