                               3. Frequently Asked Questions (FAQs)


Q. What is the difference between Space only booth and Shell stand booth?

  While the organizer provides the construction work for 'Shell stand booth', only space will be given for ‘Space only booth’.
  However, the exhibitors should be doing their own construction work. For ‘Shell stand booth’, the organizer will provide a
  three-sided divider, four spotlights (100W), one fluorescent lamp (40W), a company name sign, a set of information desk and
  chair, and fiber-textile floor cover. (Refer to Section 1)




Q. What should the exhibitors prepare besides booth spaces and stands?

  The pre-training of employees is strongly advised. In principal, the salesperson or the agent of the company should make a
  presentation on his or her own exhibits. Therefore, the employees or the presenters should be trained in terms of their attire,
  attitude, speech, and contents of bargaining for the exhibition.


  The Exhibitors should also prepare a display stand, interior materials for the inside of booth, catalogs of exhibits, and business
  cards. It is possible to use lease companies for tables and display stands. In the case of damaging 'Shell stand booth' by nailing,
  the exhibitors must compensate the party of SIBA for a reasonable recovering fee.




Q. For ‘Space only booth’, should only the subcontractors, assigned by Coex, do the construction work for
booth?

  Yes, please refer to the section on subcontractors’ list (Section 7), and then select one company among them.



Q. What is the procedure for the move-out of exhibits?

  The procedure for the exhibits move-out
  Receiving Application of Exhibits Move-out → Completion of Application → Organizer’s Confirmation (Organizer’s office)
  → Submission of Exhibits to the security → Carrying-out of Exhibits


  Exhibits cannot be moved out without the organizer’s authorization. This is to prevent theft and loss. Thus, the Exhibitors
  should make a list of all the carrying-out exhibits on the application of Exhibits Move-out, get the authorization from SIBA
  2011 Secretariat, submit the authorization to the security, and carry them out. (Refer to Section 6, Form 7)




Q. What should the Exhibitors do to prevent theft and loss?

  SIBA 2011 Secretariat will provide a reliable security service during the set-up, presentation, show, and dismantling period.
  However, regarding the unexpected crowds in the Hall, exhibitors must take an extra care of their own booth and exhibits.


  The Exhibitors are liable for the damage and loss of their exhibits during the set-up, show and dismantling period. Thus, the
  exhibitors should be insured for the unexpected accidents. (Especially for the items, such as cameras, notebooks and small-
  sized exhibits, the exhibitors should take an extra care.)

Q. Could one side of booth partition be closed or removed? (Only for Shell Stand Booth)

  The exhibitors should contact with the booth set-up companies to confirm whether it is allowed to close or remove one side of
  booth partition. An additional fee will be charged.



Q. When is the electricity going to be supplied?

  Normally, the electricity is going to be supplied from 4 p.m. Oct. 26 (the last day of installation) because the completion of
  electrical work and setting might be delayed. The electricity will never be supplied if any of the company does not complete
  the electrical work. Therefore, please cooperate with the company to complete the electrical work as soon as possible..




Q. When is the Internet able to be used?

  The exhibitors, applied for LAN, are going to have the priority for the Internet service. The exhibitors, applied for LAN,
  should install their company at the planned location. It takes only 5 minutes to install. IP address will be notified at the same
  time of the installation.

     Exhibitors who need extra hours for the booth set-up or dismantlement after the specified times
      should report it to the SIBA 2011 Secretariat. The approval is issued by the Secretariat and the
      exhibitors are bound to cover the extra hour fee.

1-2-2. Regulation

Booth will be constructed taking into consideration their overall harmony and view. In order to assure
safety during stand installation period, the following matters must be observed. If work is processed in
disregard of these regulations, the Secretariat may require companies to change or suspend their
construction and exhibitors must comply with the instructions.

A. In order to assure overall harmony and effective operation of the exhibition halls, exhibitors using
   independent stands should select official contractors designated by the Secretariat and report their
   contractors to the Secretariat. Any exhibitors, who want to install the raw space booth outsourcing an
   unregistered company, need to have the consultation with the SIBA 2011 Secretariat.

B.   Installation companies for raw space booths are required to submit a design plan to the Secretariat by
     Oct. 14, 2011. This requirement is needed to confirm whether the design violates the regulations of
     the SIBA 2011. Any kind of changes on the registered booth should be confirmed by the Secretariat.

C.   Working hours during the period of stand construction or dismantling is usually 8:00 a.m. through
     8:00 p.m. in principle. If overtime work is required, an application for overtime work form should be
     submitted to the Secretariat by 3 p.m. (by 1 p.m. in dismantling) prior to the required overtime day,
     and overtime shall be charged.

D. You must manufacture the exhibition facility beforehand and only assembly of the facility is allowed
   inside. The electrical tools such as welder, electrical sawyer, electrical grinder and electrical plane
   are not allowed to use inside the hall. And also painting besides finishing is not allowed inside the
   hall (Fire prevention safety rule).

E.   Stand materials and installation

         All materials used for stand construction should be a type of fireproof, or be made of non-
          combustible materials. Fireproofing treatments cannot be carried out in the exhibition halls.

         Flammable materials (oil, gas, etc) may not be used in the exhibition hall. If deemed to be
          inevitable, prior approval from the Secretariat should be obtained and positive safety

           precautions must be taken i.e., work should be started only after the fire extinguishers have been
           arranged.

          Painting is prohibited for the stand construction in the exhibition hall.

          If carpeting is used on floor, adhesives must be one of such types, which facilitate easy removal
           out of the floor. Floor condition after the removal shall be confirmed by the Secretariat. You
           cannot glue the carpet to the floor with the industrial bond but you may use the special glue,
           which can be taken off easily.

          If floor is damaged, expenses incurred as a result of damaged floor, will be defrayed to exhibitor.

F. The ceiling of all booths shall be left open. However, in the case of small offices or reception corners,
   ceilings may be constructed of non-combustible materials, if approved by the Secretariat. You will
   be charged reconstruction fee if you damage the hall by nailing or bonding. You cannot wash and
   clean the hall with water because of the electrical facility under the cover of the floor and cannot
   drain or spill water onto the floor.

G. The exhibitors shall employ the contractors designated by the Secretariat for the construction and
   erection of their stands. All waste and spare stand fitting materials must be removed from the
   exhibition hall by 09:00 a.m. on Oct. 27, 2011 and stand fitting must be completely dismantled and
   removed from the exhibition hall by 5:00 p.m. on Oct. 31, 2011.




1-2-3. Shell Stand

A.    Exhibitors can avail themselves of stands constructed by the organizer.

     This stand will be uniformed and will consist of :

          a. White plasticized partitions (250cm high)
          b. 30cm wide facia board and 75cm banner with stand number inscribed with exhibitor's company
              name in standard letters
          c. Carpeted floor
          d. One information desk & a chair
          e. Four Spot lights (100w), one Fluorescent lamp(40w)

        Additional stand fitting or display and electrical installation, electricity and other services are
         not included. But may be served at the exhibitor's expense.

B.    All additional construction work, including light fittings, must be contained within the Shell Stand
      structure. It should be noted that Shell Stand walls are contained within the site allocated, thereby
      reducing the effective floor area by approximately 50mm in each direction, and that the maximum
      clear headroom is 2.5m.

C.   No fixings, other than by removable adhesive or special brackets and suspensions, may be made to
     the walls of Shell Stands. The advice of Secretariat should be sought if it is desired to fix any heavy
     items on the shell stand wall.

1-2-4. Submission of Drawings for Stand Construction (Raw space booth type only)

A.    Exhibitors using independent stands shall submit drawings for stand construction to the Secretariat
      for prior approval, early as possible to have sufficient time to revise. The drawings shall include
      details and locations concerning electrical systems, telephone installations, water supplies and
      wasted water drainage, compressed air supplies, and other related facilities. If requested by the
      Secretariat, exhibitors shall also submit structure calculation confirmed by certified engineer of
      structure calculation.

B.    Should exhibitors revise their drawings and carry out alternate construction works without the
      Secretariat’s approval, the concerned exhibitors shall take all responsibilities for occurred damages
      or problems. The Secretariat has the right to claim the exhibits removal of concerned exhibitors for
      expected damage or problems.

1-3. Official Announcement for Exhibitors
1-3-1. Companies exhibiting heavy products or installing heavy facilities shall submit written reports
       describing the weight of loading with the structure calculation about the installed facilities to the
       Secretariat. Exhibitors must check their intended stand to verify that the weights of the exhibits can
       be effectively spread throughout their allocated spaces, taking the necessary measures for adequate
       loading spreading.

1-3-2. Exhibitors cannot fix machines or other items on the floor in principle. If deemed inevitable, the
       exhibitors must obtain prior approvals from the Secretariat. Exhibitors do not fix any equipment or
       attachments to the walls, columns or ceilings of their stands.

1-3-3. The exhibitors are banned from making any holes on the walls of the Coex building. The exhibitors
       are not allowed to use any glue except for the content of recommended glue.

1-3-4. Arbitrary use of multi-plug may cause fire due to the electricity overload. For the safety, all kinds
       of works for wiring should be commissioned to officially registered electrical equipment
       companies.

1-3-5. The exhibitors are required to report the needed electric capacity including electricity for lighting
       and power generator. If exhibitors fail to report the exact capacity of electricity they need, they will
       need to make an additional application for the shortage of the electricity. This is designed to
       prevent accidents and maintain safety of the show. Any exhibitors, who are responsible for fire
       caused by the electricity overload, will have to adequately compensate SIBA 2011 Secretariat or
       victims for the damages.

1-3-6. The exhibitors are needed to take security measures in order to prevent any loss during the show.

1-4. Utilities installation guide

1-4-1. Utility Information

     Utilities include electricity, telephone line, water & drainage, compressed air and System.
     Exhibitors are required to submit the application form for Utilities Service (Refer to Form #1) before
     Sep. 23 (Fri), 2011.

1-4-2. Electrical Installation

A.     Electrical installation work means the installing of wiring from existing facilities to individual stands.
       Such installing No-fuse breakers in individual stands and this electrical works shall be carried out
       by the Secretariat. The exhibitors shall carry out additional electrical installation in the stands.

B.     Electrical power supplies are as follows; if exhibitors need power supplies other than those specified
        below to operate their exhibits, exhibitors shall install transformers or transducers at their own
        expense.

C.      Power supplies are made available to exhibitors on a limited basis, starting from Oct. 26, 2011 and
        constantly from thirty minutes before the opening time to thirty minutes after closing time everyday
        during the show. You must install self-safety equipment when you exhibit sensitive equipments
        particularly. Electricity supply for the booths will be automatically suspended if the show is over
        and it passes 30 minutes. If you want 24 hours supply, you must submit the application form by Oct.
        23, 2011. (Refer to Form #1).

D.      Installation work of electricity inside stands should be performed by one of the contractors
        confirmed by the Secretariat, and work should be completed during the installation period. If
        exhibitors wish to perform installations by themselves or to select their own service companies, the
        exhibitors should report it to the Secretariat.

E.      Breakers shall be installed at least 30cm from ground level and classified into those for exhibits
        operation and those for lighting purposes.

F.      If electric heaters, which surface temperature exceeds 70 degree in centigrade, are used, appropriate
        safety devices must be provided, and such heaters must be installed on separate, non-combustible
        display stands taller than 20cm. At the same time, no carpeting will be laid in the vicinity of such
        heaters.

G.      All materials used in electrical works shall be new and KS-marked standard items approved by the
        Korean Government. Power cables must be approved items.

H.      If exhibitors require temporary power supplies in order to assemble, adjust, or test to operate
        machines and to install, disassemble or remove display systems, prior application which describes
        electric capacity is required in terms of periods of installation, exhibition, and dismantling period.
        The exhibitors shall submit attached application form for additional installation to the Secretariat.

1-4-3. Telephone Installation

A.   Local or overseas telephone line will be installed according to the application.
B.   Extra payment except the basic price will be not charged.

1-4-4. Water Supply & Drainage

A.    Upon application, the Secretariat shall connect pipes from the fixed outlets in the under-floor ducts
      of the exhibition halls to individual stands, and dimensions are as follows;

B.   There should not be any danger of machines that can cause damage during test-operations due to
     water cutoff or drop in water-pressure, exhibitors shall install protection devices and the Secretariat
     does not take any responsibilities in any ways in this regard. Water will be supplied 30 minutes
     before the show and cut off 30 minutes after the show.

1-4-5. Compressed Air Supply

     Compressed air is available for the demonstration of machines. If you need a higher pressure or a
     larger supply you may use your own compressor but you are advised to contact the Secretariat's
     Technical Service no later than two weeks before the construction period. And dimensions are as
     follows;

      Pressure(Max.) : 6-6.5kg/㎤
      Diameter : 3/8"

     Compressed air will be supplied 30 minutes before the show and cut off 30 minutes after the show.

                                                                                 SECTION 2.

                                                                  Rules & Regulations
2-1. Requirements in installation
2-1-1.   Authorized space
  Every display item must be arranged in the designated space, and must not hinder the sight or passage
  of visitors. Any structure that is placed on hallway and carpet in the same color as the pathway is
  banned. Every item and equipment should not be inflammable.

2-1-2.   Layout
  Any items that can be seen from the pathway or other exhibitor's booths should be installed upon
  exhibitor's payment. Decorative items, lighting fixtures and audio equipment should not disturb other
  exhibitors or their booths.

2-1-3.   Submission of plan
  The exhibitor who applied for raw space booth type should submit the booth plan with an indication of
  height and building material to the SIBA 2011 Secretariat by Oct. 14, 2011 submitting an application
  form in order to get an approval from the SIBA 2011 Secretariat in advance.

2-1-4. Structure
  The height of one booth is limited to 4m, 5m depending on the booth location. The arrangement of
  display items or structures should not disturb other booths or hinder passage of visitors.

2-1-5. Arrangement of exhibiting items and viewing
  The displayed items should not create inconvenience to visitors and be kept at least 30cm away from
  the booth line. Unless exhibitors confirm to this rule, the Secretariat office may demand those items to
  be relocated. This rule is designed to give an equal opportunity to every exhibitor in terms of space and
  sight.

2-1-6. Restriction on sound volume
 Exhibitors may use audio equipment for promotion provided that they keep the sound down to avoid
 disturbing other booths. The Secretariat office may intervene to restrict the use should there be any
 complaints made. Exhibitors are required to register any audio equipment, which they will use during
 the show. It must be less than 80 decibel sound level. If there is any equipment that makes sound louder
 than 80 decibel, the Secretariat office of SIBA 2011 may ask users to stop using.

2-1-7. Safety
  Exhibitors should take necessary safety measures prior to using dangerous equipment or parts during
  the show in order to prevent accidents and each exhibitor is responsible for the maintenance and safety
  of those equipments(including containers of hazardous material, X-ray generating machines,
  inflammable and explosive substance, high-voltage equipment, radio active material, accelerators,
  liquid mercury).

2-1-8. Lights
  Flash lights and revolving light equipments are banned from using. The individual lights from one
  booth should not disturb or damage other booths.

2-1-9.    Package materials (leaflets and brochures)
  Every exhibitor is obliged to keep his or her pathway clean at all times. All materials and items should
  be placed on designated area and exhibitors need to be careful not to pile goods up in the middle of the
  pathway.

2-1-10. Booth design and change
  Exhibitors who applied for raw space booth type will be required to seek for an approval from the
  SIBA 2011 Secretariat for any changes of the booth design plan.

2-1-11.    Property damages
  Each exhibitor should take care of the exhibiting items and are not allowed to drive nails and screws on
  the walls and floors. Furthermore, the exhibitors are not allowed to use painting materials that are
  indelible in case of spilling on the floors, roofs and raw materials of the booth.
  Anyone who violates the above-rules must compensate for the damages.

2-1-12. Maintenance of hazardous materials
  All the dangerous exhibiting items need to be reported to the organizers before taking in. The
  exhibitors are also required to take necessary safety measures to maintain the items.

2-1-13.    Sub-leasing
  The exhibitors are not allowed to sell or sub-let the booth to anyone without an approval from the
  organizers. Parents Company, affiliates and subsidiaries are exceptions.

2-1-14.    Cleaning
  The SIBA 2011 Secretariat will keep the hallways and shared space clean before and after the show
  and also take care of trash bins during the show. All wastes produced during the construction of the
  booth are to be removed by the exhibitors in charge.

2-1-15.    Wiring
  The work of wiring in booths and displaying items should be done in compliance with the relevant
  rules and regulations of Korea. The same applies to the construction of display facilities.




2-2. Miscellaneous
2-2-1. To avoid predicaments
  Each exhibitor should refrain from any activities that may cause troubles at the show and should try not
  to disturb other booths.

2-2-2.    PR Activities
 Exhibitors must have exclusive rights given by the SIBA 2011 Secretariat for marketing, holding
 conferences and handing out of any samples and gifts outside the designated area. That is, all
 demonstrations and promotional activities are only permitted in the designated area. This is to avoid any
 disorders caused by these activities. Exhibitors should therefore clear the pathways and the surrounding
 area.

2-2-3. Sales promotion
 The exhibitors may hand out samples and gifts only in the authorized booths. But those with exclusive
 right given by the SIBA 2011 Secretariat will be able to hand them out at the areas other than the
 designated places.

2-2-4. Recruitment
 The exhibitors are not allowed to carry items, signboards and brochures for recruitment purpose.

2-2-5. Odor
 Anything with unpleasant smell is prohibited.

2-2-6. Special exhibition
 Individual exhibitors are not allowed to display the items without an approval from the SIBA 2011
 Secretariat before and after the show hours of the exhibition.

2-2-7. Show hours
 SIBA 2011 Secretariat has the authority to set the opening hours and the days of installation and
 dismantle of booth. The exhibitors are not allowed to dismantle the booth before the show officially
 ends.

2-2-8. Occupier's obligation
 All exhibitors are entitled for the full rental fee of the entire space according to the original Contract,
 under any circumstances.
 Those exhibitors that fail to meet the deadlines for displaying items, the SIBA 2011 Secretariat obtains
 its rights to use those booths for its other purposes. Furthermore, exhibitors who fail to submit the lease
 to the SIBA 2011 Secretariat will lose their preferential rights to the booth.

2-2-9. Sales regulation
 Basically sale of items for cash during the exhibition will not be permitted. However, mail orders may
 be taken within the show period and sales can be permitted under the Secretariat’s authorization. The
 exhibitors should also be aware of the safety rules of the exhibits and public sanitation prior to the
 opening date. Unauthorized ads and sales are prohibited.

 3-1-1. Method of customs clearance of the exhibits
 A. Clearance of Bonded Goods

            Simplified clearing of the goods, without the official Import clearance, on condition that those
             goods return to overseas country once the exhibition is over. Should there be a buyer for those
             goods, an official customs clearance is needed afterwards.

            During the exhibition, SIBA 2011 Secretariat accounts for the clearance of those bonded
             exhibition goods. Therefore, the participating companies are required to report all the details of
             the bonded goods to the Secretariat by Sep. 23, 2011. (Section 6)

 B. No-Draft Clearance

            Designates goods that are less than US$5 each and the Total Invoice Value not exceeding
             US$300.


 C. Re-Export Clearance

            A promise with the customs office that the importers shall re-export the goods within a given
             period.

            Note the followings (Mortgage required)
         -    Clearing of goods by re-exporting if they do not belong to the bonded industries. (Hotel,
              general event)

        -    When the exhibits are needed by the buyers or for demonstration purpose for a fixed period
             after the exhibition is over
        -    Then, the customs inspection is the arrival inspection (different from bonded clearance) and
             customs tax is exempt

           Types of Mortgage
        -    Cash Mortgage : based on taxes (only for those below US$300)
        -    Bank Guarantee : when the bank guarantees the payment
        -    Tax Payment Insurance : issuance of the payment guarantees insurance

           ATA CARNET : Certificate documents agreed upon amongst the government
        -    Clearance by re-exporting if the goods are not classified as the bonded area
        -    In cases where the Importer requires an extra setting of its exhibits in its subsidiary before the
             opening of the show
        -    The period is principally the expiration date expressed in ATA CARNET

3-1-2. The main tasks of customs clearance and freight service companies are as follows :

C.   Downloading and storing into the booth
D. Disintegrating and storing the empty boxes

         Please record "INCHEON, Korea", and not of "Seoul, Korea", for the "Final Destination" on
         AWB to avoid unnecessary delays of the operation and additional charges

  (2)     You must write the item list and price in English and in USD for the shipping documents


  (3) The price of the exhibits should be in CIF Pusan/Incheon port or INCHEON Airport on the
  invoice. Even if the products have no commercial value, they should still have the actual prices on
  them.


  (4) You must record "These Goods are intended only for display in SIBA 2011 at COEX, SEOUL,
  KOREA DURING Oct. 27 ~ Oct. 30 , 2011 " on the B/L, Invoice and the packing list of exhibits.


  (5) You must make invoices and packing lists separately for : the returned goods, sold goods or
  consumable goods and giveaway goods.

  (6)     All shipping documents should be made in English


  (7) All exhibitors must submit the shipping documents and schedules by fax once the exhibits are
  shipped. Especially when the goods may arrive later than the schedule, exhibitors must inform their
  service companies in advance by fax.




3-4.        Packing and Box marking

3-4-1.     Packing
         Exhibitors must pack the items sturdy, even if they are carried in containers, to avoid any damage
         while transporting or working inside the hall. Special care is needed if items are to be re-used after
         the exhibits

3-5.        Duty Free products
Korean customs law stipulates that the following items are exempt from the customs tax.


3-5-1. Catalogues, pamphlets, pictures, Ad materials & Etc.
3-5-2. Samples (except for liquor, cigarettes and food), Souvenirs (badges, medals) must
        be less than 5 USD each and the total quantity and price must be approved by the
        customs office.
3-5-3. The total price and the number of paint, varnish, wall paper for booth construction
        must also be approved by the customs office
3-5-4.     Disposable products used for the machine operation in the show needs to be
           approved by the customs office.




3-6.        Others
3-6-1. Security

         Although Coex guards the show for 24 hours, the exhibitors are liable for the damage and loss of
         the exhibits during the show. Exhibitors need to ensure customs inspection, cross-checking of the
         information, state of the goods, quantity while accepting, returning and transferring.


3-6-2. Insurance

         All exhibitors must be insured to cover for the accidents, related to the exhibition, from the
         departing point to the arrival point.

3-6-3. Request for Cargo Return and Disposal

         For a prompt and precise returning process, the exhibitors must fill and submit a Disposal
         Instruction Form.

                                                                   Directory Advertisements

4-1. Official Directory

4-1-1. Content

The exhibitor official catalogue including exhibitors and exhibits information will be published by SIBA
2011 Secretariat. The show directory will be distributed to the exhibitors and buyers on site. The directory
has been consecutively requested by buyers after the show, and also the show management will send it to
international buyers who are interested in, but unable to attend to the show. Therefore, accurate
information will help your business better.

It will be printed in English, the official international business language, as well as in Korean. It will
contain introductory forewords (if any), general information of the event, complete information regarding
services available at the exhibition, lists of Exhibitors, their products and advertisements, map, etc.

4-1-2. Exhibitor's Free Entry

Each Exhibitor will be entitled to an entry in the exhibitor official catalogue, free of charge. The contents
of the exhibitor official catalogue are as follows;
        A) Exhibitor's name
        B) Booth number.
        C) Exhibitor's head office address, telephone and fax numbers
        D) Name, address, telephones and fax numbers of exhibitor's agent in Korea (if any)
        E) Name, address, telephones and fax numbers of manufacturers of the Exhibitor.
        F) Exhibits and descriptions
        G) 2 photographs of exhibit items

All exhibitors must fill out official directory application form (Form Number 9, download from
www.siba-expo.com) and submit it to SIBA 2011 using e-mail only to siba@coex.co.kr by no later
than Sep. 23, 2011. Please send photographs by e-mail, which can show exhibitor's product effectively,
to be put in the official directory (no more than two pictures).

SIBA 2011 Secretariat cannot guarantee the inclusion in the exhibitor official catalogue of any entries
received after the deadline. Only the name, address, telephone and fax numbers appearing on the " SIBA
2011 application form" will be included if the form is not submitted by Sep. 23, 2011.

  a. The Hall C limits the loading of weight to 1.5ton/㎡.
  b. Those exhibits over this limitation may not be permitted to carry out to the exhibition hall. In addition, the loading
     trucks up to 14.5t, will be able to make an excess with one another at the loading entrance of Hall C. Hence, those
     that are unable to enter the exhibition hall would be required to use forklift trucks, while parking the trucks outside
     the entrance.
  c. Only the loading trucks up to 2.5t, are allowed to make an excess into the Hall C.
  d. Please specify exhibits over 1.5t regardless of those sizes.
